BSBPMG512 Manage Project Time
ASSESSMENT TASK
This assessment task comprises of two sections.
In the first section, develop a project time plan for your project of choice. In the second section, answer a
series of questions, referring to your project, regarding project execution and evaluation.
SECTION 1 - PROJECT TIME PLAN
1. Schedule Management Approach
the project that is considered is the establishment of the web-based CRM platform for a midsized
consumer electronics manufacturer,
the project schedule planning is an essential part of the project that needs input from all team leaders and
major stakeholders as this part of the project has a great impact on the project cost and timely completion
of all project deliverables. thus, the major inputs of the schedule consisting of input of the stakeholders,
project teams and project sponsor along with the market analysis of the costing of the resources required
for the timely completion.
the identification of the resource is based on the analysis of the requirements for the project and their
deliverables and the market analysis for the pricing for the various resources and the organization
competency and possible risks.
the way for developing realistic time estimates are the analysis of the previous projects in the same
functional area and then scaling them to fit the scope of the project. this might not be accurate but can
give an idea of the relevant and time and resource estimation for the project.
the issues that have been considered for the project are the possible risk related to the human element,
planning and the market risks that are dependent on the market forces and this affects the availability of
the external resources.
the project schedule has been created based on the input from the various project teams on the required
time for each independent tasks and then assimilating them into a range of activities in the timeline based
on their dependencies. the best practices for the project schedule has been to consider the individual
tasks as per the opinion of the expert professionals. and consider the critical path of the project to arrange
the activities in a manner that is most efficient and economic.
there have been scheduled periodic meetings to appraise the stakeholders of the progress and take their
input in case of the discrepancy and adjustment needed.

2.Work Breakdown Structure
3.Schedule Control
- the project schedule would be controlled through the use of the regular update at a fixed interval and the monthly
meeting with the stakeholders to apprise them of progress. any new development of the project would be
communicated to the emergency meetings to formulate solutions and develop mitigation.
- the change requests, in this case, are submitted to the project manager, who upon conducting an initial investigation
on the issue calls an emergency meeting to develop the probable solution that is agreeable to all stakeholders. this is
then implemented by making adjustments to the project schedule to best reallocate the resources to mitigate the
issue or in extreme circumstances to develop the requirement f allocation of additional resources to ensure timely
completion.
- the main responsibility of the schedule control, therefore, would be decentralized where the individual team leaders
would be responsible for reporting any deviation from the schedule to the project manager who in turn would call the
meeting of the stakeholders to put forth the change request to the steering committee. thus, the individual project
team leaders, the project manager and the steering committee members are all responsible for the successful
transition into the new adjusted schedule for the project.
4.Schedule Review
the schedule review is one of the main stages of the control phase of the project and this is
conducted based on the initial schedule effectiveness and the various internal and external factor
or risk causing the deviation in the project schedule. this will also include the carious stage of the
project which would be essential for the development of the PMBOK that would enrich the
knowledge base for the project management.

SECTION 2 – PROJECT TIME EXECUTION AND EVALUATION
Making appropriate reference to your project time plan, address each section covering all points.
Discuss what you would do if the following happened at execution phase:
1. One of your main deliverables (choose and describe one from your schedule) is heavily
behind (you are two days from the deliverable’s completion day and 50% of the tasks
associated with that deliverable are still to be completed) due to staffing issues.
Refer to your project plan and discuss the following (ALL points MUST be discussed)
a. Indicate what project deliverable you have chosen to discuss
the project deliverable that has been chosen for the discussion is the development of the system
and the hardware installation for the implementation of the new system into the current
framework.
b. Analyse the impact of the issue on your project progress. Consider risks, resource
requirements, interdependencies, cost, quality and so forth.
Use the table below to record your analysis

who would help in the implementation stage which would require additional
payment for the relevant staff.
Time The time requirement is subjective as the current workforce would delay the
whole project even if they are reallocated. so their lack of expertise in the
hardware installations would be a drawback which would take even more time
than necessary
Quality The reallocations of the human resources that are available are risky for the
quality of the project as their lack of expertise in the assigned task has a high
probability of affecting the overall quality and functionality of the system.
Risk The quality and lack of expertise of the workers in the matter is the main risk in
this situation that affects both cost and time.
HR The reallocation of the Human resources for the final installation phase of the
system would put a huge strain on the HR to either hire professionals externally
within a short time of reallocate the available workers and train them in the
relevant duties.
Resources The two possible choices both require additional resources while the
reallocation might seem cheaper the quality concerns make this less desirable.

c. Determine what changes will be necessary for your project schedule and how they
will be implemented. Record your answer in the table below:
Change to schedule Implementation
Allow additional time for
hiring experts externally This can be fast-tracked through an employment agency
which would allow the company to hire experts without
having to evaluate their skills.
Make adjustments to the
budget
The adjustments to the budget need to be carried out before
the mitigation is carried out an agreement of the major
stakeholders acquired for the change.
d. Discuss how you have monitored that deliverable.
the deliverable is monitored through the use of the schedule tracking and weekly progress reports
and achievement of milestones to the project manager.
e. Discuss how you are informing relevant stakeholders (mention which ones based
on your project) about the issue. Record your answer in the table below:
Stakeholder Communication strategy (media, content, timing,
frequency)
sponsor Formal report as per necessary along with weekly progress
reports.
Project team members Memo and email as the situation demand along with
unscheduled briefings.
Steering committee Formal report as per necessary along with weekly progress

reports.
f. Based on your analysis, summarise what actions you are going to undertake to
address the situation and discuss your response to maintain project objectives.
the first step would be to gain the approval of the steering committee to hire external
professionals and fast-track the process through a reputable employment agency.
then it would be essential to allocate the responsibility within the hired professionals and
estimate the cost and time for the adjustments.
communicating with the stakeholders about the adjustments will be done in the final step.
2. Address the following (ALL points MUST be discussed):
a. How would you identify and document schedule management issues and
recommend improvements for future projects?
the way to develop the schedule management issue into a coherent document would divide
them into tasks to task basis and help in the understanding of the cause-effect relations
between the factors affecting the change.
this would help organize the issues into a coherent report that would help in the future
projects.
b. Consider that you have now completed your project and you are preparing your
project review report.
Write an evaluation report on the schedule plan (to include lesson learned and
recommendations for future projects) addressed to your client. (Minimum 100
words)
the schedule plan was accurate in the initial stage and the delivery of the first of the deliverables and achievement
of the milestones were on time. however, due to the staffing issue, the final implementation of the system which
was one of the most important deliverables was affected drastically and due to the lack of available time external
resource acquiring was the only available solution at the point. thus, the employment agency was used to acquire
the necessary human resources. even though the project implementation was fast-tracked this took an additional
time for the completion which was unavoidable due to the issue concurring in the final phase of the project with
no additional time on hand.
