Introduction
This report is made to describe the management process of a project. An old beachside
cottage is brought and utilized for vacation and rental purpose. But before taking it in use it
requires some repairing work. The cottage should get repaired within two weeks with a total
budget of $20,000. This whole project is completed in such a way that it is completed within
time and cost.
The report is divided into two main part. The first part will describe the theory behind Work
Breakdown Structure, RACI chart, Gantt Chart, AoN chart, Resource Overload, Budget,
Progress reporting TimeLine, Earned Value Management, Risk Management, Change
Management, Stakeholder identification and communication and Project Closure. The second
part will describe the practical use and implementation of each element described in the first
part. Overall it explains how to manage a project.

Part A: Theoretical Explanation
WBS:- Work Breakdown Structure is the hierarchical distribution of the work implemented
by the team. It is the managing of the deliverables and breaking down of the project into the
smaller section. It is decomposed at different levels and each succeeding level provides detail
and definition. It starts with major deliverable as (pp.220-229) at the top level. WBS has the
work packages which is represented as the list of to do tasks. Work Breakdown is used to
organize the work systematically and estimate the completion time and cost of the project. It
is also used to identify the risk in the project.
RACI Chart:- RACI is also known as Responsibility matrix used to defines the roles and
responsibility of the people in completing the deliverables or tasks of the project. RACI
describes the four key factor:- Responsible, Accountable, Consulted and Informed. It is used
in making a decision. Responsible are involved in making the decision and doing a task.
Accountable owns the task and ensure it is finalized. Consulted are responsible for providing
information. Informed are kept updated (pp. 259-298) about the project. RACI helps in
smooth communication including only the right people at the right time. The RACI charts
start with identifying the scope of the project then, defining the task, assigning the RACI to
each task.
Schedule 1- Gantt chart: - Gantt Chart is a type of horizontal chart used to represent the
schedule of the project. It is the graphical representation in which the vertical axis represent
the list of the tasks and the horizontal axis gives the time interval duration of each task is
described by the width of the horizontal bar. It is used to document multiple tasks into a
single. Gantt chart helps in efficient coordination and communication. It uses a work
breakdown structure to illustrate the initial and finish date of the project. They also show the
dependency of the relationship among the activities. Gantt Chart is invented by Henry Gantt.
Schedule 2- AoN: - AoN is one of the Program Evaluation Review Technique (PERT). It
is used to (pp.246-256) construct the network diagram of the project schedule. Nodes
represent activities ann arrow shows the dependencies. AON is also known as the precedence
diagramming method.
Resource overload: - Resource overloading is processed in which more tasks are
assigned to few resources. To overcome the problem of (pp.296-303) resource overloading,

project scheduling software is used to identify when the overload comes to the worker.
Resource overload results in destroying the work breakdown structure. Once it is identified,
the project manager should re-allocate tasks to remove the burden.
Budget: -Once the cost of each task is estimated, it is followed by the planning the overall
budget by aggregating the cost and cash needed. Cost plan management is the methodology
used to plan, evaluate and control the overall project costs. It is a continuous activity which
includes revision and reforesting of the cost activity. Cost plan management involves
internal-external cost, cost baseline, (pp.329-344) budget determination, Cost estimating,
Activity resource-estimating and cost control.
Progress Reporting (Timelines): -Progress Reporting is the process in which project
manager subjects regular reports. The report includes a report date, a summary of the project,
Risk identified, Decision needed, immediate actions (pp. 465-468) to be taken, future
meetings, budget cost. Timelines are used to visualize the process and project. It is used to
highlights the important point happened in the project and provide an overview of events
occurring in the project.
Progress Reporting (EVM): - Earned value management is used to assess the project by
combining resource, schedule and scope. EVM helps to understand the progress of projects in
reference to cost and time. It is used for making (pp. 476-480) decision. It compares the
ongoing project with baseline and planned project. It has four major terms which are planned
value (PV), earned value (EV), Actual cost (AC) and Budget at Completion (BAC).
Risk Management: - A Risk is something which can result in the failure of the project.
Risk management is used to manage all the risk which can occur in the project. Risk
Management helps to identify and analyze the risk. It helps (pp. 270-284) in planning,
implementation and monitoring of the responses to take at the time of risk. Avoid, Transfer,
mitigate, Accept, Research, Exploit, Share and Enhance are the key steps in a risk
management plan.
Change Management: - Change Management plans are the process which is used to
support and deliver the changes so that the project keeps on going. Change occurs to improve
project outcomes. It starts by identifying (pp. 229-232) that need to be improved. Change
management strategy and points should be anticipated. A preparation of vision, the mission

with the team should be reinforced with the change. It is very necessary to collect the
feedback so as to ensure the change management has turned out to be a successful one.
Stakeholder identification and Communication: - Stakeholder is the people who
contribute to the project. It is very important to identify and prioritize different stakeholders
for the partial fulfilment of the project. The stakeholder should be categorised early in the
project. Robust communication should be maintained. They are categorised on the bases of
power, urgency and legitimacy. They can be external (pp. 178-188) or internal within the
organisation. Stakeholder engagement plan is defined to manage stakeholder in decision
making, planning and performing of the project. A healthy relationship with stakeholder
includes communication, trust and collaboration.
Project Closure: - It deals with how to finish the project. Project Closure includes
validation, ensuring all the commitments are fulfilled. Closing (p. 502) of all procurements
and ensuring all project members and clients have met their requirements. The closeout report
should be prepared with a transition plan and knowledge management.
