INTRODUCTION
Project management plan can be define as a process which includes different steps in
order to create or develop a project (Andersen, 2016). It is very important that each and every
step of project plan is managed in effective and efficient manner in order to achieve desired goals
and objectives. This is a well written plan which includes in depth detail and information as well
as other documents that is required for execution of project. This project includes development
as well as implementation of check in attendance software. This new software needs to be
implemented in each and every classrooms of the University as with the help of this check in
software students will be able to mark their attendance with the student card. This report includes
details about the project management plan which demonstrate the overview of PRINCE 2.
Project management plan is developed as well as different aspects has been considered such as
schedule, scope, requirement, deliverables, time, cost, human resource, risk and many more.
MAIN BODY
Project plan includes a process of different steps that is helpful for creating or developing
something new. This consist of different activities as well as other elements that are essential to
developing and creating a project. It is very important to manage project in effective and efficient
manner so that each and every activities is implemented in effective and efficient manner. There
are different aspect that needs to be consider by a project manager in order to reduce the risk. In
this project a new software is developed for the University. This software will be implemented in
each classroom of University where the students will be able to check in for the attendance
though their student card. For successful implementation of a project it is essential the manager
is consider all different factors and elements in order to perform activities in effective and
efficient manner (Binder, 2016). Project management refers to a process in which manager have
to identify as well as applies the best and most suitable method in order to manage or control the
activities at every stage. For successful implementation of project PRINCE 2 method has been
used. This is mention below in detail.
PRINCE 2 model
PRINCE 2 model can be define as a method of controlling as well as implementing a
project plan in effective manner. This is also known as a projects in controlled environment and

this is one of the most popular method for managing project activities. PRINCE 2 model was
implemented in 1996 year with the inputs of 150 organisation of Europe. This is a project
management process which is based on the different methodology of project. PRINCE 2 models
is used for managing a successful project as well as accomplishment of desired objectives. This
is a well structured project management method that focus on dividing complete project into
different parts (Heagney, 2016). This is helpful in managing as well as controlling each and
every activities in better manner so that the desired objectives could be timely achieved.
PRINCE 2 is a very flexible method of managing a project. This model or method is widely
adopted by the project management method that is used by different range of organisation as
well as sectors. This method includes different principle as well as process which will help in
implementing the project activities in effective and efficient manner.
Principle of PRINCE 2
There are several principle of PRINCE 2 model which will help in performing activities
in effective and efficient manner. It is very important for a project manager to implement project
activities in correct manner so that the desired objective could be timely achievement. Seven
major principle of PRINCE 2 model is mention below in detail.
Business justification in project – It is essential that the project must have clear need and
requirement of customers (Kerzner, 2017). This is important in development as well as creating
of project in order to meet with the requirement of customers. Project manager must have clearly
identified the realistic benefits as well as requirement of cost as per the project.
Team learning at every stages – Learning is one of the important part of organisation and
team member should learn something new at each and every stage of the project. PRINCE 2
model focus on continuous improvement of project plan as well as all employees who are part of
project plan.
Clear defined roles and responsibilities – Each and every team member of the project
should known their roles and responsibilities. So that they can work in effective and efficient
manner. By understanding the exact responsibilities and their role team members will be able to
perform project activities in correct manner. This principle of PRINCE 2 model will lead to
enhance their performance as it will reduce the risk and confusion of the project.

Work planing at every stages – This model help in dividing the whole project into
different parts in order to manage as well as control activity in effective manner (Kliem and
Ludin, 2019). PRINCE project is broken into various phase so it is essential to plan activities for
each and every stage. This project plan will help in keeping a track over the project activities as
well as meeting with the requirement of customers.
Project board must manage by expectation - Project needs to be managed with respect to
the expectations of the board members. It is essential that manager of the project is meeting the
the requirement of senior executives as well as Board members. Project includes different
elements such as cost, risk, time and scope.
Focus on the quality of work – It is important that the project work is developed with
high quality and this will help in achievement of desired goals and objectives. Though this
principle of PRINCE 2 model team member needs to keep the constant focus of the quality of
project activities (Lientz and Rea, 2016). It is essential to continually check the quality of
deliverables in respect to the expectation. This will lead to full fill the requirement of customers
as well as provide high quality product.
The approach is tailored for each project – This principle of PRINCE 2 method state
that the this model should be adjusted with the need and requirement of the project. Planning of
project activities needs to be fit with the size of project as well as number of people that are
involved. Through this principle activities of project plan will be able to implement in effective
manner as well as achieved desired goals.
The process of PRINCE 2 model
Project management plan is a process which includes different phases and this should be
implemented in effective and efficient manner in order to achieve desired goals and objectives.
In this project management plan a new software is developed for the University. This software
will help in check in for the attendance with the student card. For developing an effective and
efficient new software activities of project management plan should be implemented in correct
manner. As per the approach of PRINCE 2 model, there are seven major steps that will help in
management as well as implementation of project plan in correct way. Different phases of this
model is mention below in detail.

Starting up a project – This is the first step of managing a project plan and in this which
is will help in creating and developing an effective software. At this stage it is essential to
analyse as well as evaluate the need and want of client (Marchewka, 2016). Project manager will
be identify the business as well as its objectives while developing a project management. At the
starting of the project it is essential to analyse the main purpose of the project as well as
identification of all activities. This will help in understanding who will carry which activity and
how it should be executed. In the starting up of the project management a required for new
project is submitted in the form of project mandate. This will help in understanding the
justification of business for the propose of the project. If it is approved then other details of the
project will be created such as covering resources, deliverable and other details.
Initiating a project – Once the project has been started the initiating stage of the project
management plan will help in identifying as well as evaluating each and every detail about the
project. At this stage different elements of the project is analysed such as time, cost, quality,
scope, benefits as well as risk. All of these elements are identified at the initiating stage of the
project in order to develop appropriate and accurate software. For the required software six
month time period is required. This time frame will lead to successful completion of the project
as well as achievement of desired objectives (Meredith and et.al., 2017). It is essential the
project is completed with the high quality in order to get maximum benefits from it. Total cost
that will be required to development of the new software is 500 £. This amount will be required
by project manager in order to complete the activities of project plan as well as development of
high quality project. There is huge scope with the creation of this project plan as new software
will help students to mark their attendance in better manner. There are different type of risk are
associated with the management of project activities as well as creation of a new software. It is
important for a manager to manage all of these issues and risk factors in order to perform project
activities in correct manner.
Directing a project – Direction of a project is an ongoing process from the stating to the
end of the project. There are several activities that needs to be managed by the board manager of
the project. It is very important that project manage is keeping a track on each and every
activities in order to achieve desired goals. At this stage of the project management board
manager of the project will be directing the activities of project. Board manager needs to review
the project brief for the approval as well as determine what needs to be executed in the project.

In this stage, development of software is initiated as well as different stage boundaries are
identified. Project manager will be providing different task and activities to its team member as
their skills and capabilities. This will lead to completion of project plan in better and effective
manner (Niazi and et.al., 2016). Team members will be able to perform activities in correct way
and this will aid in reduction of risk. Ad hoc direction as well as guidance is also provided to
employees in order to executives the project activities. In this project additional help or support
to the technicians of development of software is provided to team members. Directing a project
includes a complete process of the project. At this stage new software for the university is
developed and this step also consist of project closure. While directing this project it is
responsibilities of project manager to communicate with different stakeholder. This major
stakeholder in this project are Board of directors, employees, senior person and clients.
Controlling a stage – After the project activities is directed in order to development of a
new and creative software. It is essential to control each and every activities in order to identify
whether set objective is developed or not. This stage of project management plan will help in
managing different task and activities of project in effective manner. At this stage project
manager is authorise to break the project into different parts. So that they can easily control as
well as manage activities of plan. Project manager have to control each and every stage of the
project by breaking it into different parts. They have to oversee the all activities and analyse
weather it is able to meet with the requirement of customers. The major risk that is associated
with management of this project is lack of finance as well as time management. Project manager
needs to analyse the report of the project as well as take corrective measures (Portny, 2017).
Team manager is responsible for coordinating the daily work so that day to day activities are
performing in effective manner. They have to communicate with other members in order to
resolve their issues.
Managing product delivery – At this stage of project management plan. Project
manager needs to ensure that the project activities are progressing in correct manner. This will
help in analysing as well as managing the actual product deliverable with the expectation of the
software products. Managing a products delivery includes accepting a work package, execution
of work package as well as delivering a work package. In this step delivery of product is
completely managed from the time when the work package is accepted, executed till the time it
is delivered. It is essential that the new software is developed with high quality in order to meet

with the expectations of the product. Once the project or new software is completely develop it
is responsibility of board manager evaluated it in effective manner. On the bases of evaluation
manager will approve or reject the work packages.
Managing stage boundaries – at this stage of the project management plan board
member needs to review at the end of every stage. This will help in taking major decisions
whether to continue to next stage or not. This step includes different activities such as planning
the next stage, update the project plan, updating the business case as well as providing report at
the end of each stage (Tonchia and et.al, 2018). This will help in understanding as well as
evaluating each and every activity so that desired objectives could be achieved in correct
manner. This is one of the essential stage for developing high quality software as this will help in
analysing all stage. Though this board manager will have take various decisions in order to move
to other stage of the project plan.
Closing a project – This is the last stage and at this stage project is closed. Once the
project is completed and the desired quality software is developed project manager have to close
the project plan. For closing a project it is responsibility of a project manager to full fill
necessary formalities of documentations (Young, 2016). They have to provide complete
information about the outcomes of the project plan as well as provide reporting to the required
persons. This is essential part of project management plan and in this identify the follow on the
all actions. It is very important the project manager to prepare the benefits as well as evaluate the
reviews of project.
CONCLUSION
From the above report it can be concluded that project management is very crucial part of
organisation. It is very important that project manager is evaluating as well as analysing the
activities of project plan in effective manner. There are different factors that needs to be
considered by project manager in order to perform project activities in effective and efficient
manner. By successful implementation of project plan desired objectives could be timely
achieved.
