INTRODUCTION
Managing the Project is explained as the process which involves initiating, planning,
executing, and many more to accomplish the goals within a specific period. It is necessary to
understand that in any of the projects the main goals of managers are to attain the objective (Dao
and et. al., 2016). In the context of the file, the chosen organization is Project- Xperts-20 (PX20).
The company has been involved in the business of construction and refurbishing. This fill will be
categorized into two parts where the first task will discuss the different characteristics of a
project, scope statement, specific project budget, Gantt Chart, and many more. In the second
task, the project plan will be prepared as per the requirement of the Sunderland London Campus.
Also, refurbish will be done in the library, the first floor to the third floor, lecture theaters, and
many more.
TASK 1
1) a. Key characteristics of any project
In any of the projects, their different characteristics, and are conducted for a specific purpose.
Below, some of the characteristics of the project has been discussed.
 Any of the projects have a specific motive where the company and customers, both of
them gets certain benefits.
 Any of the projects have a starting and ending date where they are short term in nature.
 To conduct any of the projects there are certain requirements which are needed to be
fulfilled so that goals can be accomplished.
 Every project is unique in itself where their requirements are different with amount of
investment is needed to be done as per the requirement of project (da Rocha, Kemmer,
and Meneses, 2016).
1)b. Briefly discuss the importance of integration management in Project Management setting.
In any of the project is necessary that all the work must be conducted in a systematic
manner so that goals can be accomplished. The importance of integration Management in Project
Management Setting is that it simply allows to manage as well as coordinate all of the necessary
activity which is required within the project cycle. In order to perform any of the task there are
certain requirements which is needed to be fulfilled such as providing proper information to each

of the stakeholder who is connected with the project and this can be done through integration
management.
2) a. Scope Statement for a project
In any of the projects, scope statement is important because it simply allows the reader to
identify that for what research has been condition. In addition, scope statement of project says
that how any of the researcher needed to act in any of the situation as allocation of roles and
responsibility with fund is done at initial stage.
b. Role does the Work Breakdown Structure (WBS) have in such a statement
In the present scenario, whenever any of the projects are conducted, it is necessary to
understand that there are certain terms and conditions which is needed to be followed. Keeping
in mind, it is necessary to make clear that WBS has an important role within the project because
it simply allows us to identify the way to conduct any of the work (Görög, 2016). It is because it
focuses on dividing the work into several small parts within the help of a hierarchical tree
structure. It helps to identify how much work has been completed and what is the area which is
still needed to be covered.
3) Approaches exist to generate a budget for a specific project budget
There are mainly two different options available for any of the person when he or she
prepares the budget and they are two bottom approach and bottom up approach. It is among one
of those tools which have well developed for making effective plan and policies with their
starting and ending period. Both of this approach allows to make business decision which is
important in current scenario.
4. Identify any four types of project risks and outline various responses you would you to
overcome two of the risks you have identified within project management settings.
In any of the projects, there are different types of risks such as resources, technology, time,
and Loss of Support. These are the risk that can create issues but this can be easily resolved as
well. For example: To manage risk related to loss of support, proper safety equipment must be
provided to the entire team so that all of the work can be managed easily. Another one is time

management, it can be solved with the help of the Gantt Chart (Illiashenko and Strielkowski,
2016).
5) Quality methods (project evaluation, monitoring and control)
Project Evaluation: It is explained as systematic or objective assessment of those types
of project which are either ongoing or either it has been completed. The main objective of project
evaluation is just to analyze all of the information which is related to the project. Also, it allows
to determine how effective the project was including its impact as well as sustainability.
Monitoring: It can be explained as the project where the project manager is required to
collect all of the necessary information and according to that they try to identify the current
status of the project. It simply allows us to find the appropriate way through which goals can be
accomplished in a short time of duration (Javani and Rwelamila, 2016).
Control: It can be discussed as one of the goal-oriented function which simply allows the
organization to ensure that all of the work which is being done within the project are based on
planning which is required to be done before starting the project. Here, the role of project
manager increases because they are the one who is required to control all of the activities.
After analyzing all of three Quality method, it can be said that project evaluation is more
effective because it simply allows to identify about the work which has been done and ho future
work is needed to be done. This simply allows the organization to identify the accurate way
through which goals can be accomplished (Remington and Pollack, 2016)..
6) Full project Gantt chart and identify the critical path. How many days does it take to complete
the project?
It is explained as the visual chart which simply indicates that how and when any of the
project is required to be started and when it should be ended.

Talking about the Gantt Chart, it is the chart where project is different into multiple number
of task which can provide the way that how any of the work is needed to be done. It has starting
date of the project and closure date which will explain that when will project end. This chart is
important because it provides guidance that what is the time period of completing any of the
specific task.
TASK 2
Project management process
In the present scenario, the project management process can be explained as an action which
is needed to be taken by the assigned manager of the respective project. It is mainly done to
accomplish the goals in the specified period. In this process, five different stages are there in
which the role of the Project Manager of PX20 increases automatically. Below, there is a
description of those stages.
 Initiation: This is the initial stage which can be beneficial for the organization like
PX20 for attaining the goals. As it is the first stage, the organization must complete all of
the documents related to work (Sachdeva, Kapur, and Singh, 2016).
 Planning: In any of the projects, the role of planning is huge as it guides how any of the
work is needed to be done by selecting the appropriate amount of budget. Organizations
like PX20 will have to decide how they are required to implement all of those plans in the
best possible manner. Also, resources should be identified in this particular stage.

 Execution: Once the process of planning is well framed, then the time of execution
occurs where the project manager must ensure that all of the work has been executed as
per the plans and policies. Just after completing the process of planning, the organization
like PX20 needs to start effectively executing those plans.
 Monitor and Control: It is that stage of a project where monitoring has a huge role
because it certainly helps to reduce unnecessary expenses. Talking about PX20, the duty
will be of a Project major to monitor all of the activities (Salah and Moselhi, 2016).
 Close: This is the last stage within the project where work is required to be windup. The
project manager of PX20 must review all of the activities after completion of the project.
It is necessary for the project manager of PX20, that their manager must be able to review all
of the activity so that any of the downfalls can overcome with the help of effective planning. All
of the skilled employees should be hired by the manager who can perform as per the requirement
of a project

becomes necessary to analyze all of the factors which can create issues because it will have a
direct impact on the goals which are required to be obtained. The project manager needs to have
some of the important skills like, time management, leadership, communication, Negotiation,
and many more because that has a positive impact on performing any of the desire manners.
Discussing Project Life Cycle can be explained as the process which allows the project
manager to identify all of the available resources and according to that they can make a decision
that can allow them to complete the project on a specific period. It allows dividing the work into
different stages which makes working conditions easier and faster within the project. There are
five different stages in the Project Life cycle and they are initiation, planning, execution, control,
and closure (Basu, 2017). These stages are helping in performing any of the work in a systematic
manner which will be beneficial for the project manager and even there will be very less chances
of any errors in it. In the context of PX20, their project manager must be able to take the help of
the Project Life Cycle as it is one of the ways through which a project can be done effectively.
Managers will even get the idea that how they are required to take any of the actions so that work

of refurbishment can be done expertly within the Sunderland London Campus. Below, there is a
detailed description of the Project Life Cycle and work can be conducted by the project manager.
Project Initiation: It is the primary stage of the project which plays an important role in
attaining the goals. As this is the primary stage, it is essential to understand that the project
manager must be able to develop the objective of the project and business problem as well as
findings of the project. In the context of PX20, they are among one of those company who has
been working in the field of conducting a project for a long time. It is necessary to understand for
the organization that they are going to do refurbishment work within the Sunderland within the
specific period which is one of the main objectives which they have (Castro-Nova, Gad, and
Gransberg, 2017). The main problem which this project will solve is related to the refurbishment
of the library as well as lecture theatres including the classroom. It will also include the DLR
train which will resolve the problem of noise which is being faced within the college premises.
This project will be beneficial for college as well as for the student who studies on this campus
because they will get new facilities within the premises of the college.
Planning: It is that particular stage with the project life cycle which plays an essential
role to accomplish the goals. Planning is always required to do based on the initiation stage
where all of the information regarding the project are mention. In the context of PX20, their
project manager has the responsibility to do effective planning to conduct the work in a required
manner so that goals can be accomplished. All of the resources must be used effectively so that
problems will not occur in any of the situations (Crowley, Hinchliffe, and McDonald, 2017). The
period which will be required to complete this project is 2 years where the class will not be
operated so that disturbance will not occur in any of the situations. On the other side, the budget
which has been passed for this particular project is £8million so that any of the projects will not
occur within the project. Below, the budget has been prepared which will be required for the
project.

As it is one of the lengthy projects, it is necessary for the manager of PX20 to hire skilled
employees who are capable of performing all of the tasks that are essential for attaining the
goals. There will be huge for the manager to manage every single task systematically. Besides, to
monitor every activity in the graphical view, the project manager can take the help of the Gantt
Chart which can be effective in this particular situation (Dehdasht and et. al., 2017).

Project Execution: It is the stage, which can be started after obtaining permission. Here,
roles and responsibilities are required to be distributed among the member who is involved in the
project. Each of the roles are given on the basis of skills and talent available within the team. In
the context of PX20, it will be the responsibility of the manager to understand that they must be
able to work as per the requirement. There requirement is all about bring changes with library
and classroom where they will introduce Smart Board within every class because of the current
requirements. For this, the manager will have to review all of the equipment’s such as Smart

Board, Soundproof Doors and any of the other work which will plays a crucial role in conducting
the project successfully. In this stage, errors should not be there because that will have a direct
impact on the overall result of an organization. Besides, the manager can also conduct meetings
regularly for ensuring that the project is being done successfully.
Project Control: It is the stage where the Project manager will require to monitor each
work which is conducting and must ensure that work is being conducted as per the requirement.
It is necessary to control the work as per the requirement so that work can be completed on a
specific period. In the context of the PX20, their project manager will have the responsibility to
manage every single work is a systematic manner. At the time of control, the major role will
ensure that all of the work is being conducted as per the plans and policies so that any of the
problems don’t occur at any period (Noble, Liu, and Hackett, 2017). This will be stage where
guidance will be provided to each and every employee is in any of the situation they face
problem related to the project. As project manager will be the one who will have a control over
project so it will be the responsibility of all of the employee to discuss with them if any problem
arises. It is necessary because this will allow to resolve most of the common issues which occurs
on a daily basis with employees.
Closure: It is the final phase of the program where the project is completed and final
delivery must be given to deliverables for ensuring the project has been completed successfully.
Although work form PX20 is completed in this particular stage but still a role of the project
manager does not end here because he will be the one who will have to evaluate and analyze the
performance within the project and even of team members. Also, all of the documentation work
has been completed are per the required manner. Finally, taking review from every member to
ensure that how better results can be obtained if a similar form of the project is required to do
again. Besides, the allocation of the remaining fund must be done for future projects. This is
some of the work which will be needed to be conducted by the project manager of PX20.
Control problems associated with management life cycle :
There are number of problem which has been faced by the manage within management
life cycle. In context of PX20, manager is focusing towards those issues in detail.
 Time management factor : In any of the project, performing any of the work as per the
specific time period. It is necessary for the manager to ensure about the starting as well as
ending time period of the project so that leader can perform work in effective manner.

 Resources factor: Allocation of resource is one of the most important thing in present
scenario where skilled employees plays the necessary role in it. In context of PX20, their
project manager is well experienced in hiring suitable candidate within the project but
still there are some of the situation where problem occurs. It is necessary to understand
that in this particular situation project manager finds difficulty in performing the required
work in appropriate manner.
 Technological factor: The modern world is completely dependent upon latest
technologies as it makes working condition easier and faster. In context of project
manager of PX20, it was found that he was unable to introduce latest technology while
working on the project due to which faced some of the major difficulties in performing
their work (Smyth and Vanclay, 2017). In order to solve similar types of project, it is
necessary for the project manager to use latest technologies for performing effectively.
CONCLUSION
From the above discussion, it can be concluded that in any of the projects, there is a huge
importance of project manager who can guide that how any of the work is needed to be done. It
is said that the project manager must be able to plan and execute every work in that particular
fashion which can easily allow the organization to accomplish its goals. Project Life Cycle helps
the manager to divide every work systematically so that manager rarely faces any of the
problems while performing any of the work. After completion of the project, the manager must
be able to determine the point where the problem was found so that a similar form of the problem
will not be performed in any other project.
