Communication Plan
A project communication plan is a simple tool which is used by the project manager
to communicate effectively with their team, client as well as other stakeholders. Accordingly,
communication plays a centre role in keeping the project on task (Larson, & Gray, 2015).
Therefore, the project manager has the responsibility to drive all project aspects. In this case
the communication plan will consists of the following elements: communication type,
objective of communication and deliverable.
Communication type
There are diverse type of communication in projects when it comes to projects. Thus
in the case of this project it will embrace a project perspective communication since the target
customers for this project include both outsiders, staff, visitors and students. The project
perspective communication will entail internal and external communication. Internal
communication is the type of communication which take place between the project managers
and team members. Accordingly, this type of communication involves much of back-and-
forth discussions about how the room can be booked. External communication involves
communication between the project teams and other project shareholders such as
administrators.
Objective of communication
The core objective of this project that is Taylor’s University room management system is
to launch a new mobile application to manage the room booking system at Taylor University.
Some of the objectives that are to be realised by Taylor’s University mobile application
include:

To make a proper room booking system which has the capacity to monitor and
schedule rooms in Taylor’s University particularly for students.
To enable room booking for all users both staff, students and outsiders.
Deliverable
The intention of this project is to allow users to book rooms using their mobile phones
instead of the current manual booking system which demands that the customer has to be
physically present for them to book a specific room. Therefore, by enabling online booking
the project will standardize the booking system where it will be possible for users to search
for available rooms for booking for their different activities. Similarly, online booking will
allow the management to easily understand the room occupancy rate for a given period.
Risk Register
A risk register is a management instrument used in project management to for
purposes of recording identified risks in a project based on the risk severity and risk impact
and the mitigation activities involved. The risk register has been illustrated in excel file.

Qualitative Risk Analysis
Qualitative risk analysis is a project management strategy which is concerned with
identifying the possibility of occurrence of a risk as well as the effect that this risk will poses
to the project if it happens. Accordingly, all risks have impact and probability. Probability if
the possibility of the risk occurring while impact is the relevance of the result of the risk
event. Normally, impact has influence of the project resources, schedule, costs, performance,
deliverables, budget and scope (Tiusanen, 2017). In this content the project quantitative risk
analysis is grouped as low medium and high. The low category risk analysis only comprise
very low risk, medium risk comprises medium and low risk while high risk comprises high
and very high risk. The quantitative risk analysis is described in the risk matrix below.

In order to perform the qualitative risk analysis in this context the project manager uses
various techniques such as use of risk rating scale, SWOT analysis of the room management
system, past data, brainstorming and interviewing customers.
Risk Response Plan
Risk response plan entails searching for ways to decline any threats to the project as
well as the opportunities to heighten their impact. As a result, project managers are supposed
to work round the clock to ensure that they eliminate project threats prior to their occurrence.
Subsequently, project managers should work to make sure that they work to see to it that
opportunities happen. Therefore, it is the responsibility of the project manager to minimise
the possibility as well as the effect of threats by enhancing the possibility and impact of
opportunities (Elmhedwi, Elmabrouk, & Sherif, 2015). On the other hand, for project threats
which cannot be mitigated, it is the responsibility of the project manager to develop a strong
contingency plan together with a response plan in cases where the response plan fail to work.
Accordingly, not all project risks need to be eliminated because of time and resource
constraints. Certainly, the project manager has to keep on reviewing the project risks. Indeed,
planning for risks is an iterative process. The risk response plan plays a significant role in
project management in various ways such as cost plan, human resource plan, procurement
plan, quality plan, schedule plan and scope.
Cost plan: The project’s general budget is likely to be influenced by risk response in the sense
that a risk response is associated with cost.

Human resource plan: the human resource plan can be affected by a risk response in a
negative and positive way. Certainly, the response plan is a catalyst which influence the
project’s costs and schedule. Therefore, human resource plan play a significant part in
making attempts to determine extra resources required to mitigate risks in a project and
ensuring that it is kept within the contingencies specified in the project cost and schedule
plan.
