INTRODUCTION
Project management plan is known as the formal document which reflects the way in
which business is done. This concept is known as application of methodologies, processes and
tools for successfully executing the projects. This procedure helps to make use of effective teams
as well as resources for completing project activities within cost, scope and time. The following
report includes budgetary information about the event management. This includes timescale,
objectives, approaches, key staff and shareholder analysis.
This project is based upon sporting event that is going to take place between London
Universities. The senior management of Roehampton University is managing the plan of
conducting this sport event. This sport event is going to take place in July or August on the
Roehampton University playing fields. There is budget of 20k assigned for every university that
is going to take part in this sport event.
Budgetary information
The budget for this sport event is £20,000. There is requirement of planning different
activities in efficient manner for executing project. Knowledge is needed for managing the work
in proper manner and utilising money for completing the project.
Timescales
The timescale required for completing this project is 4 months. The sports events will be
starting in July and August. The activities of projects are assigned in such a manner that all work
is done in efficient manner. Deadlines are set for different activities.
Objectives
The objectives of this project are given below -

Key staff
The executives of Roehampton University are planning effectively for managing and
creating new ways to manage accomplishment of new sports event. New technology is used for
attaining success in project work. Expertise are hired for managing different events of sport
function. Directors of different universities who are participating in this event are responsible for
planning out activities to manage sports event.

Stakeholder analysis
In organising sport event stake holders plays essential role in successful completion of the
project. Lots of people are engage in the completion of the project. It also combines of those
people engage in execution of the event. Stakeholder analysis is known as finding these people
before implantation of sport event. It combines of unit as per impact, interest and engagement
throughout whole event. This facilitates effective communication system within sport event.
Stakeholders are essential elements in the sport event. These people directly influence
operational activities in the event. By this strategies and techniques project manager can easily
manage flow of activities. Project manager has to analyse different categorises of stakeholder to
accomplished event goal. They need to keep on updating the list of stakeholders who deliberately
influence operational activity in the sport event. Several stakeholders who aid in achieving goal
of event are as follows-
• Executives of the event managers are stakeholders who combines if power sponsor.
• Customers who are paying for the enjoyment of several sport events.
• Project team who execute activities in the event.
• Technical department resolve technicalities and managing resources of event.
• Creditors, investors who procure and manage financial support for organising event.

to follow all laws and government guidelines.
• Local committees that sanction all the events of deliverables.
• Unions that plays important part in negotiation of several activities in the event for better
implementation of sport guidelines.
In the context of sport event of games between several universities they have access and organise
with the utilisation of upgraded technology. Stakeholder analysis in the scenario of this sport
event are as follows-
Students- Several students of various universities of London get influenced by the
completion of sport event. Student get to know about loss of technologies and opportunity to
learn sport culture. It facilitates motivation factor among students of several university and build
team spirit between universities.

Staff members- Staff members or teachers also get influence by organising such sporty
event. They get opportunities to learn technicalities of sports. Teachers would refresh their minds
by experience sporty events. They can enhance its knowledge and skills in sports. This will
integrate satisfaction level of teachers and staff. They can act as a role model for students to
develop sport skills.
Costumer- Costumer get influence by enjoying sport event and gets opportunity to meet
with their sport role model. They also get to know about several universities and their education
environments. It is main source of stakeholders for earning profit.
Government- It governs laws and rules of the event and ensure that ethical and legal
practice should be adopted by sports event among several universities. Each event should be
organising in appropriate guidelines of government.
Community- They plays essential role in affecting events they can develop many sports
person who can play for country. This will lead towards economic development of society. It
will develop sport spirit among community in the country.
Work Breakdown Structure
A work breakdown structure is developed for establishing the project activities properly.
It is seen that WBS is used by project managers for managing the project activities effectively
and completing deliverables. There are two different factors of WBS and these are set of planned
results which are collected for making effective analysis.
This is known as hierarchical description of the work which is done for completing the
deliverables of the project. The first two levels of the WBS define set of planned results which
collectively and exclusively explain the scope of project. At every subsequent level, there are
nodes and parent nodes which collectively represent scope of project. The criteria to be ensured
for minimising risk of failure of the project is analysed. By having relevant data from all parties
including planner and implementers should be in agreement as what is to be expected from
Work breakdown structure. The criteria for measuring the presence of WBS are mentioned
below -
 All tasks and activities must be clearly defined and there must be relevant start date and
end date.
 Work description and work break down structure must be easily understood.

 All tasks must be usable as communication tools in which results are used for comparing
with expectations
 The elements of WBS must be structured in a way that minimum project office control
and documentation is required.
The WBS for the project is represented by the following structure. The various activities
involved in WBS are planning and programming, architect and engineering design fees, costing
of computer laboratory, construction costs, furniture, fixtures and equipment, financing costs, etc
(Hopkinson, 2017). The project manager has to develop a good planning so that event is
organised effectively and for doing so different activities are present which includes formal
ceremony, informal opportunity for staff and students to get tours of the building, celebratory
elements including food and drink, invitations to local/national dignitaries, etc.

There are different activities involved within sports event that have to be completed in
effective manner. There are several managers who are given responsibilities to take care of
various sport event activities. A plan is prepared for analysing how and when the sports activities
re to be managed. Other activities including sport event games include tours of university,
celebratory elements including food and drink, invitations to local/national dignitaries.
A. Need for quality leadership on the project
The project managers assigned for the sports event are provided with clear vision, goals,
objectives and guidelines for people of different levels. There are different project managers who
have been hired in order to manage and control all project activities. There are different ways to
manage and control project activities assigned for the ports event. There are various directors of
different universities who are provided flexible ways to complete the project activities.
Comparison of PRINCE2, Agile and waterfall methodologies
A project management methodology is known as a proper step by step process for completing
the project activity in effective manner. In context of PRINCE 2, Agile and Waterfall
methodology, mentioned below are the procedure for managing the project activities through
these methodologies -
Prince 2 is a project management methodology used within working of actual projects.
Agile and waterfall model or approach have different principles, processes and themes. When
this is conducted properly then project manager has to complete the framework in efficient

manner. There is need to enhance guiding principles so that standardised templates can be used
for assessing project tasks and activities.
Agile development approach is a methodology which is used for managing the project when
there is a software project. The advantage if using this methodology are mentioned below -
 It includes customers at every stage of development.
 Users can constantly provide feedback on working software. In this way, project is
accomplished in effective manner.
 This approach also delivers working software more quickly to the customers, making it
ideal for projects in which speed is of the essence
 It enhances continuous improvement and helps to minimise wastage.
Waterfall development project is known as project model. This is a linear approach. It is used
by managing the needs, requirements and efficiencies in effective manner to control and manage
the project work.
Advantages – Waterfall model or approach is used when is well suited to projects that are
not urgent. There is need to manage the approach in efficient manner to control all activities in
prominent way.
