1. Purpose
The purpose of developing this project plan involves effective demonstration of the main
needs and the key requirements of setting up of a coffee shop that will be distinctive from the
existing cafés of the region. The coffee shop that is to be set up has to be distinctive for
increasing the competitive advantage of the business. The project plan outlines the tasks to be
completed for setting up of the coffee shop business along with the minimum time that is needed
for setting up of a shop. The estimation of the schedule and the resource needs of this project is
based on an extensive research and literature review.
2. Background
A project plan for setting up of a coffee shop business is to be prepared as per the
requirements of the client. For understanding the key requirements of the client a set of meeting
were held with the clients so that a project plan can be developed as per their needs. The
schedule and the budget estimates of the project were done on basis of the requirements specified
by the clients.
3. Project Requirements
The detailed meeting with the clients of the project have helped in correct identification
of the basic needs of the clients and the needs of the Project. On basic of the requirements
specified by the client and by conducting certain further researches, a detailed project plan is
prepared. The main client Requirements include setting up of a coffee shop as of now. The
coffee shop will have a provision for serving foods as well; however, that service will start after
two months of the launch. In consideration to the client’s requirements, the project is needed to
be completed within five months and accordingly a project schedule is prepared that aims in

completion of the project within four months of project start. No delays in the estimated schedule
of the project can be permitted, on account of completion of the project within the scheduled
time of four months.
4. Scope
Determination of the scope of the project is a vital need for development of a realistic
project plan. This is because the identification of scope in a project helps in outlining the main
boundaries of the coffee shop project. The in-scope and out-scope requirements of the coffee
shop project are indicated as follows-
In-Scope-
The main in-scope requirements are indicated as follows-
To finish the project within a maximum time of five months
To finish the project as per the Requirements of the Clients
To finish the project within the budget set
Out-Scope-
The out scope requirements of the coffee shop project are indicated as follows-
Incorporation of new requirements while the project is in the execution stage
Amendments in the recipes and menu as per the customers’ feedback.
The in-scope requirements indicates the works that are to be finished in the project and

assumptions. The main assumptions that were considered for preparing this project plan are
indicated as follows-

2. There will be no resource shortage during the entire project execution phase.

6. Literature Review

as MS project is used for preparation of the Work Breakdown Structure (WBS) and schedule of
the coffee shop set up project. Along with that an extensive online research is conducted to get
an idea of the use and importance of those tools in preparation of a project plan. The various
methods and tools used in formulation of this plan are indicated as follows-
7.1. MS Project
MS project is a project management software that aims in streamlining a project, its
schedule and the resources. It is further useful in displaying the critical path of a particular
project (Harrison & Lock, 2017).
7.2. WBS
A Work Breakdown Structure indicates a breakdown of a project into certain simpler
components in a deliverable oriented manner for its easy and effective management.

The project network indicates the structure of a project and determines the tasks that are
needed to be addressed at first for proper execution of the project (Too & Weaver, 2014). It
further indicates the accurate sequence of execution of a task.
7.4. Schedule
The MS project is used for preparation of the schedule of any project. The next phase of
preparation of a WBS is project scheduling (Kerzner, 2019). Scheduling is important for
identification of the timeline of the project and for approximation of the total time required for
finishing the project.
7.5. Critical Path
The critical path in a project indicates the shortest time needed for delivering a particular
project. The critical path is a technique for identification of the most important tasks in a project.
8. Work Breakdown Structure
Development of a WBS in a project is necessary for understanding the main works to be
finished in a project. The main work processes that are linked with development of a coffee shop
are indicated in the WBS (refer to appendix A). The WBS provides an idea of the phases and the
main deliverables of the project. The end of each phase is marked with a milestone. Milestones
can be identified with their duration. Any task with zero duration is termed as a milestone.
9. Project Network
The project network provides an idea of the main activities linked with the project and
the sequences of the tasks that are to be completed in the project (refer to appendix B). The
project network is prepared on basis of the WBS that is prepared at the initial parts of the project.

coffee shop project and it further identifies the critical path, which are marked in red. The critical
tasks are the most important tasks that are needed to be completed in a project; however focus
should be given to the non-critical tasks as well to eliminate the issue of project delay or issue of
delivery of a project of low quality (Todorović, Petrović, Mihić, Obradović & Bushuyev, 2015).
10. Resources
The resources in a project are an important consideration of execution of a project in
successful manner as the different types of resources involves the people, equipment, time and
capital involved in a project. The resources considered for this project is indicated in appendix C.

The time estimated for the project is approximately three months and the scheduling
indicates that the project will be finished within a budget of $61,160.00. The project is constraint
by both time and cost and therefore, neither a budget overrun or a schedule overrun can be
accepted in the project.
11. Schedule
The schedule for setting up of a coffee shop project is prepared in MS project. The
scheduling is done on the deliverables that were identified while developing the WBS of the
project. Scheduling of any project is vital as it helps in approximation of the start date and the
end date in a project (refer to appendix D). The schedule that is prepared for the project identifies
the most critical tasks in the project. While scheduling the project of setting up of a coffee shop,
each task is allocated with a resource so that the task can be completed in the given timeframe.
The sequencing is done in such a way that similar tasks are executed in parallel. The completion
of each phase indicates achievement of the milestones of the project.
