INTRODUCTION
Project management is considered as practice of leading the operations and performance
of a team or individual person to meet success or goals selected by those teams. The main
challenge for the process of project management is considered as manage to achieve all the
targets that are selected for the project. This report is providing details of project management for
business organization that is used by the organization to implement various changes and
innovations in organization to get better result (Meredith, Shafer and Mantel Jr, 2017). This
report is initially providing brief of project management in task 1. Along with importance of
project management, importance of project integrity management also has been considered in the
report. Various budget generating process also will be considered in report. Case study for
project t management will be analyzed in report.
PART 1
Characteristics of Project
There are different characteristics of project. These characteristics make projects different
from the other activities that are performed by the business organization. some of the major
characteristics of project are- these are temporary activities, all the projects of organization are
unique, and have finite time line. These are main characteristics of project. These characteristics
of project can be explained as-
All the projects are Temporary- There are different projects are run by the business
organization that are based on various aims and objective of the business organization. Each
project launch by organization have specific objective or aim. This is main aim of the project
management team to effectively target the aim of project to provide maximum benefit for
business organization (Heagney, 2016). This is how all the projects that are launched by the
business organization have specific aim or objective and after achieving business objective this
projects of the business organization are terminated with completion.
All the Projects are Unique- There are different projects are operated by the organization but
this is characteristics of project that all the project implemented by the business organization are
unique in their own way. Aim and objective of each project make them quite unique and

different from each other. Different aim and objective of project defines their uniqueness in
organization.
Finite Length of Project- All the project that are launched by the business organization have
finite length and have specific time line that is need to be followed in the project management
process. The time limit or length of the project is based on the aim of project. The need of project
starts with need or requirement of the organization (Turner, 2016). There are specific guidelines
and timelines are provided by the business organization to the project team as per the estimation
of the each project.
These are main aim and objective of projects that are run by business organization to
improve the performance of the organization.
Scope Statement of Project
Each project that is run by a project team is consists of project scope statement. Scope
statement of the projects provides the overview of the areas and targets that are considered in the
project. In other words project statement is also considered as outline of the project that are run
by organization. All deliverables of the projects are defined in the project scope statement.
Various elements of the project like deliverables, constraints, assumptions and success factors of
the project are explained in the project scope statement.
Work breakdown structure is a process or tool that is used by the project management
team to divide project in different categories in order to improve the implementation of the
project management process in order to improve the implementation of any project that is
implemented by the business organization (Kerzner, 2018). Simply the work breakdown
structure is known a strategically categorization of various processes that are run in business
organization or project plan. The main advantage of WBS is about the efficiency of the project.
This process can be used by the project management team to improve the performance of the
organization in operation process.
Budget Generating Approaches
There are different budget generating approaches are used by project management team
in order to keep project economical and highly efficient to complete project in effective manner.

management to develop proper financial plan for the budget. Some of the most common
approaches that are used by the project management team are- analogous estimation, parametric
Estimation and top down estimation processes or techniques are used by the project management
team. This is are most common approaches that are used by the project management team in
order to generate better result with budgeting process of project.
Risk in Budget Management process
There are different type of risks are faced by the project management in running on
various tasks of the project management team (Marchewka, 2016). Some of the major risks that
are faced by the project management team are- Cost of the project, program management,
resource risk and technical risks. This are most common risks that are faced by the project
management team. This risks are highly crucial for project management team. Resource
management risk and project cost are most important among all these risks. Resource
management risk can be reduced by the project team by making proper plan and estimation for
the project. This process can reduce the level of resource failure risk. Other issue is regarding
cost estimation risk. This risk can be reduced by considering specific project management. This
is how various risk in the project can be reduced by the project management through
implementing various effective practices.
Quality Management Approaches in Project
This is most important for the project management team to maintain the quality of the
processes and methods that are run by the project team. Some common approaches or quality
management approaches that are used by the quality management team are- Quality Planning,
quality assurance and quality control approaches. These are main approaches that are used by the
project team to ensure the quality throughout the project (Heldman, 2018). Quality control
process is considered as process in which different monitoring and quality testing processes are
used by the project to manage the delivery of quality result in the end of the project.

Background of Project
As per the tendering process Xperts-20 is allocated with tender to refurbish the library and al, the
lecture theatres along with the other class rooms of the organization. All the refurbishment
process is consists of implementation of complete new and high tech technology in lecture

theaters and classrooms. This main objective of the refurbishment process is to improve the
conditions of the library. Class rooms and other lecture theaters of the organization. all class
rooms and lecture theaters are need to be implemented with smart board with various work
stations in project process. initially this is important to collect complete information in order to
develop proper plan to implement various changes in library to make it suitable to implement set
up for latest technology equipment. The importance behind this project is related to providing
better facilities to the students in order to improve the education process in organization. In this
project various type of resources are required in order to improve the technology this is used in
the educational organization. With the time this is important for the education organization to
implement certain process and technologies in the organization to provide better opportunities to
the students to get vital source of data and information (Martens and Carvalho, 2017). Through
this process organization can generate higher benefits form education process they are currently
following. For the completion of this project this is important for the project team to recruit some
people who can work with new technologies and tools.
Common Constraints for Project
The project will require more monetary resources in order to complete the project in effective
manner. To complete the project in effective it will require at least 6 months to completely
refurbish the project. The proposal of the project need to be considered where it is mentioned
that no class will running during the process of refurbishment (Portny, 2017). This project
various people who can help the project team to complete the task of refurbishment in effective
manner.
This project will be complete in different phases which are need to be followed in order
to complete the project in effective manner. Some of the common processes and methods that are
need to be followed in order to complete the task are- initiation of the project, planning phase of
the project, implementation stage of the project, designing stage of the project and closing of the
project. These all steps will be followed in order to complete the task of refurbishment in right
way.
Project initiation- In this phase all the requirement of the projects are considered in the project
which are identified by the virtual and physical analyses of the place which requires

refurbishment. This is important for the project manager to implement such practice in the
library, classrooms and lecture theaters of organization.
Planning- Next step in the project process is planning phase step where proper plan for the
project will be developed by the manager with other team members. Various ideas and
technologies are used and considered in this process to develop better plan for the process of
refurbishment.
Implementation Phase- This is the nest step of the project management process. In this process
the plan that is developed in the project management process. in the implementation phase all the
plan are considered for the working process to prepare from the construction process.
Designing Phase- This is nest step of the project management plan from the refurbishment
process where different design are formed to implement various technical improvement in
technology of the organization.
Closing- This is the last step for the project of implementing refurbishment process in university.
At these stage all the prepared structures and resources are properly placed in order to make
complete handover process error free (Young, 2016). This is how complete processes will be
followed in order to complete the refurbishment work in organization.
Roles of Different People in the Project Management Process for Refurbishment Process
There are different people or professionals are part of the project. All these people have
to follow different roles and responsibilities in order to complete the project of the refurbishment
in effective way. Some of the main professional who are considered for the project management
and implementation process are- Project manager, controlling committee, budgeting director,
construction team and Technical consultants. These are different people who are considered in
the projects to gain maximum productivity with result.
Project Manager- manage the complete project work along with all the activities and operations
that are need to be followed in the project. Manage the complete work force of the project in
order to make the project more effective with time and high quality. This is also the work of
project manager to communicate all the requirements in order to develop most effective plan for
construction process. This is also role of the project manager to keep interacting with the work

Budgeting Director- The role of budgeting role of the project is most important in defining and
designing budget for the project. All the estimations are made by the budgeting director to
develop proper budget in order to complete project in economical way. This is how the main role
of the budgeting director to develop budget for project and it is their responsibility to keep
project economical.
Construction Team- These are ground level employees in the project. All the workers are fall in
this category. For example labor of the project are considered in category of construction team.
This is how by considering various people and processes proper planning for the project
can be develop to complete refurbishing process in effective way.
CONCLUSION
This report is concluding the importance of project management for the organizations
which are using projects to implement various projects to meet their various requirements. Key
characteristics of the project has been explained in the report. All the characteristics of project
has been explained in the project management process. Project scope statement also has been
discussed in the report for management of the project. Importance and need of work breakdown
structure has been analyzed in the report. Different approaches of budget generating process for
project has been considered in report. There are different type of risks are there in project
management process. Various type of project risk has been considered in study and different
processes are also suggested in report to reduce these risk for the project management team.
Process of project quality management also has been considered in report. Proper analysis and
information on project management process has been concluded in the report.
