Report
AI Summary
This report focuses on project planning and budgeting, specifically addressing the critical aspects of scope and time management. The analysis is based on a Vehicle Maintenance facility case study, where a fixed-price and fixed-scope contract is assumed. The report explores the implications of scope changes, often referred to as scope creep, on project timelines, budgets, and stakeholder satisfaction. It emphasizes the importance of effective communication between project managers and stakeholders, outlining various communication methods such as emails, discussion boards, and meetings. The report highlights the need for a well-defined communication plan, including identifying stakeholders, selecting appropriate communication methods, and establishing a communication cadence. It references several sources to support the findings and recommendations for effective project management practices. The report also touches on the importance of stakeholder communication in the event of scope changes, and the role of the project manager in ensuring all stakeholders are properly informed.

1PROJECT PLANNING AND BUDGETING
Effect on project schedule due to change in project scope
Scope change states that after defining project scope, at the time of execution of project if
project scope changes and that change in the project is to be managed, controlled as well as
documented within the project. This is sometime also known as scope creep. Scope creep can
occur when a member of project team changes the scope at the time of performing the tasks
(Pheng, 2018). Scope creep can also occur at the time of reviewing the requirement of the project
when project stakeholders might include extra requirement in the project.
In the Vehicle Maintenance facility case study, the project scope is decided and all
requirements are gathered from the client. Project management plan is to be developed for the
project and the contract for the project is fixed priced and fixed scope management. There is no
way to change the scope of the project.
For a change in scope in a project, project timeline and the cost of the project might
increase. This might result in dissatisfaction among the clients or stakeholders of the project. The
scope change might result in missing the deadlines, having budget overrun and might even result
in project failure (Lampa et al., 2017). With addition of extra work as well as increase the
requirement for the project might increase the budget and impact on the resources of the project
and not delivering the project in target time.
Communication of project manager to communicate scope change
Project might include stakeholders who gets motivated by being informed about the goal
of the project and knowing the project status except knowing the project schedule and budget
(Sanghera, 2019). Scope change might occur in every project and that has to be communicated
properly with the stakeholders associated with the project.

2PROJECT PLANNING AND BUDGETING
Project manager in a project has the responsibility to communicate the scope change with
the stakeholders. There are different communication methods that can enhance the
communication process between project manager and stakeholders of project. Communication in
a project will help to create a proper written documentation from the project manager. This will
also help to provide opportunities for the feedback that are to be shared.
There are different communication methods and those methods can be used by project
managers to communicate with the project stakeholders. Email, Discussion boards, collaboration
applications, status reports, meetings, and surveys can be done to establish a communication with
the project stakeholders. Proper communication plan is to be established in the project so that
stakeholders of the project gets updated with the project work progress (Muszyńska, 2016). For
establishing a proper communication plan, some steps are to be followed. First of all need of
project communication is to be defined and the purpose for the project is to be defined. Secondly,
a proper communication method is to be selected for the project and cadence for communication
is to be set. The stakeholders of the project is to be identified and establish proper
communication regarding the scope change with the chose communication method.
