This report analyzes the importance of effective communication and various methodologies in project management, specifically in the context of a trip to Uganda for 30 students. The report is divided into two main parts. Part A emphasizes the significance of communication, including verbal and non-verbal methods, tools, and their application within the project structure to ensure successful execution. Part B explores three key methodologies: Waterfall, Agile, and Prince2, providing their respective advantages, disadvantages, and suitability for the project. The report concludes by recommending the Prince2 methodology for the Uganda trip, highlighting its simplicity, step-by-step approach, cost-effectiveness, and ability to manage potential challenges and changes. Introduction
Effective communication and methodology play a vital role in the success of any project. The
constant communication with vendors, stakeholders and clients helps to avoid
misunderstanding and misdirection while executing the project. In this report, the importance
of communication is mentioned in the first part to ensure effective communication in project
management. In the second part of the report, three methodologies are analysed to complete
the task without any problems and misunderstandings. A successful project needs effective
communication and understanding of methodology by team and stakeholders.
Part A
Communication and the process
The process of exchanging information and understanding from one to the other by speaking,
writing and body language is called communication. Communication involves a sender, a
receiver, a message, and a medium. The exchange of information can be affected by several
things. These may include medium used, emotion, culture and even the location. The
communication not only involves verbal method but it also involves documentation,
accountability, and approval (Castells, 2013).
Importance of communication in project
Effective management of any project does not only require the best tool and methodology,
but also effective communication between the team and stakeholders. In project management,
communication is the key factor that defines improvement, issues, and corrections. While
managing a project, it is important to ensure a continuous flow of communication without
interruption and involvement of all the participants in it for the success of the project. The
trip to Uganda can reach its objective by understanding the importance of flow of
communication from the top-down and bottom-up structure of the project. The methods that

can be used in project management are; verbal, it is the direct mode of communication that
involves a speaker and at least one listener. Non-verbal, it is the type of communication that
may include the exchange of information through a written form or body language. In the
process of managing a project, several modes of communication are used with different
mediums such as e-mail, whats-app, and messenger for written communication (Hill &
McKenzie, 2011).
Communication applied to the project
In the project of a trip to Uganda for 30 students, both verbal and non-verbal mode of
communication is needed to assure the exchange of information and to avoid any
misunderstandings. There are a number of students and stakeholders involved in this project.
In order to unitedly work for the execution of the trip and to achieve the objective of the
project can be done by using e-mails to ensure everyone receives the message. It can be used
in the top-down flow of communication by structure of the project. Verbal method and
applications such as messengers and what’s-app can be used for bottom-up flow of
communication in by structure of the project. Communicating with the local citizen of
Uganda may encourage them to join the academy and it will help the students to learn new
cultures and lifestyle. Effective communication can be done by involving students as well as
citizens of Uganda to improve better understanding and knowledge (Cliffs notes, 2020).
Part B
Methodology
The methodology is a system of processes and methods used to complete any activity or
research. It is a structured combination of methods, processes, practices, and procedures
(Master of project academy, 2016). It outlines the ways and strategies in which any action or
research is to be undertaken. The type of method to be used depends on the objective of the

work. Project management methodology is used to determine the way to plan, deliver and
control a project while continuously implementing processes until the project’s successful
completion or termination (MyMG, 2020). Communication and collaboration play an
important role in establishing productive relationships among teams, departments,
stakeholders, and vendors for better implementation of the methodology in any project.
Waterfall Methodology
The waterfall methodology is a linear approach for project management. In this methodology,
project plan is created sequentially by gathering requirements of stakeholders and customers
at the beginning of the project to accommodate their requirements. This methodology is
mostly used by industries like construction, software development and IT. It contains five to
seven phases to manage the project. These phases work in a strict linear order and it
completes the work one by one (Project manager, 2020).

Agile methodology
The agile methodology is the process that helps in managing any project by breaking it in
several stages. In this methodology constant collaboration is involved with stakeholders. It
also allows continuous change and improvement at every stage of the project (Wrike, 2020).
At the beginning of agile methodology, the client describes the aim of end product and the
problems that are going to be solved by the project. In this methodology, each package of
work includes small phases to define the package, build it, then test it, and lastly release the
outcome (Hales, 2020).

This methodology is mostly used by UK government and private sectors from all over the
world. The methodology includes an organised and controlled start, middle and end. From the
beginning of the project to the end, the methodology focuses on control over the complete
project and organisation.

Conclusion
By understanding the three methodologies, it can be said that Prince2 methodology can be
used for the effective execution of the project (trip to Uganda for 30 students). It is because,
the methodology is simple to use and predictable. It works in a step-by-step method, so
managing the essential requirements of the trip will become easier. Also, the methodology is
cost-effective and successfully avoids misunderstanding and misdirection while planning and
executing the trip. It will also help in maintaining the progress of the trip and will help in case

of any unexpected changes required. Effective communication is essential in any project to
manage it and to execute correct methodology.
