this, management can also attain competitive advantage through this.
3.2 Revise the business plan to incorporate appropriate changes
Changes that must be made in proposed plan are explained below.
Developing relationship with service users- In the business plan prepared above it is
stated that strong relationship must be established with service users. Ways that must be
adopted to develop strong relationship with service users are not determined. Café
Portrait can develop strong relationship with users by launching a scheme. Under this, it
can determine that those who will come two times a week in the café will receive some
discount. By preparing this strategy firm can create its good image among the customers.
It is making available product at cheaper price to them. Hence, people will consistently
like to visit firm café. By doing so firm will easily retain customers in its business.
Retention- In order to retain employees firm needs to generate some motivating factors.
It is motivation that force and energize individual to work hard in specific direction for
benefit of an organization. In this regard, Café portrait can give attractive incentives to
the employees. Apart from this, specific items or gifts can also be given to employee for
giving best performance at the workplace.
Training- Many new amendments needs to be made to the training program. All sort of
training’s can be given collectively to the employees (Steinerowski and Steinerowska-
Streb, 2012). This approach does not guarantee that employee’s will learn each and
every thing in proper way. Hence, first of all list will be prepared in which varied
trainings names will be mentioned. These trainings will be given on varied days.
9
Document Page
Moreover, single sort of training will be divided in to multiple parts. By doing so it will
be ensured that trainees are learning each and everything in proper way.
Increasing sales- High product cost is one of the main factor that will hinder growth in
sales. In order to prevent occurrence of this situation efforts needs to make in relation to
cost control. In this regard, small workforce will be employed in Case portrait. In training
program lots of things will be teach to the employees in relation to working with other
with full coordination (Mahmood and Mohd Rosli 2013). Thus, with minimum with
minimum workforce firm will be able to deliver excellent quality service at fast pace to
the customers.

products that are available in other nations of the world will be identified. Relevant
product and services will be launched in Café portrait. Such an innovative step will help
firm in creating and retaining old customers.

stakeholders discount will be given to the customers. In order give discount to the
customers without affecting firm profitability to great extent cost control strategy will be
implemented at the workplace. In this regard items that are used by the firm to provide
service to the customers will be purchased in bulk. This strategy will help firm in
purchasing material at low price. Hence, this will help firm in selling products at low
price. Low price of product will act as lucrative offer for customers and they will like to
visit café repeatedly. This will develop strong relationship between firm and employee.
Retaining employee- In order to retain employees at the workplace strategy of the firm is
to provide them financial and non-financial benefits. In this regard quality of service that
is delivered by each employee will be measured (Torugsa, O’Donohue and Hecker,
2012). Apart from this the extent to which overall performance of the employee get
improve will also take in to consideration. On the basis of these two factors incentive will
be given to the specific employee. Hence, mentioned entity will earn additional income

Document Page
Training- In order to give proper training to the employees Café portrait will enter in to
agreement with other café. Under this agreement other café employees will give proper
training to the relevant firm workforce. For different activities varied individuals will
lead training sessions. According to specialization an individual will be selected as
trainer. After determining all these things schedule will be prepared under which day and
time for conducting training activity will be ascertained. In this way entire training
program will be implemented at the workplace.
Increasing sales- Attractive offer that is determined earlier will be implemented at the
workplace. In order to do same attractive small size posters will be prepared and same
will be placed outside premises of Café portrait (Barbieri, 2010). Apart from this,
advertisement will be given in the newspaper. This will make people aware about Café
portrait and will promote positive word of mouth marketing. Hence, all these things will
lead to elevation in sale.
Innovation- Café portrait will enter in to agreement with foreign peer firm. With help of
same new product will be introduced in the domestic market. Employee of peer firm will
provide training to the same of Café Portrait. Hence, in this way innovation will be
introduced in the firm business.
TASK 4
4.1 Impact of changes on business and personnel
The changes proposed above may have a vital effect on Portrait cafe and its personnel
also. Changing location will give advantage to organization as well as customers working in that
area. As cafe has shifted to Edinburgh, it may face some difficulties at initial level, as it takes
time to adapt changes. Locating firm at the center of city will be additional benefit for business.
Coffees are the heart of this city, and a much expanded business for attracting tourists.
With this change, organization will have to face tough competition as there is already a
big market of coffee industry in Edinburgh. The location of city is on hilly region, so to expand
cafe industry there, is a quite good plan (Ifinedo, 2011). Manager has to be concerned about local
preferences of taste and will have to put extra efforts to collect all necessary information. They
can hire a team to create advertisement of cafe to make people aware of its opening there.

Installation of MIS software will be very helpful for firm to track information of customers and
to use it in proper way.
Opening of cited firm can be put on social networking sites mentioning its successful
running at previous location. This will help cited venture to attract consumers and will assist in
saving advertisement cost as well. Some offers or schemes can also be given at initial level to
draw more attention of customers with any different type of idea which is not adopted by other
cafe organizations. The venture can render facility of home delivery or provide online service for
taking orders (Jones and Penaluna, 2013). Manager can also go for diversification with provision
of facilitating extra products besides coffee and tea like cupcakes, doughnuts, any snacks and
other eatables.
The change in business will have impact on its employees also as policies and guidelines
may change according to location of industry. To deal with it, manager can install CCTV at the
premises so that they can know perception of customers and performance of employees in front
of customers. Employees can be imparted training for giving best of their services to customers.
4.2 Management of changes in organization
The manager can make separate departments in firm so that each area can be tracked for
its shortcomings and achievements. This idea will help manager to see that which area is doing
well in improving business and which one needs to be improved. Some classifications on this
basis can be done as under: Finance department: This department will be given responsibility of keeping record of
proper accounts, inflows and outflows of cash and preparation of financial statements. It
can also compare its results with previously located business which will work as a
benchmark for organization to be reached. Besides this, formulation of profit and loss
statement, balance-sheets and other important reports will help to know current position
of venture and also its profit or loss statement. Human resource department: This department will help to track number of employees
needed at cafe and their proper supplies as well. Recruitment and selection of talented
manpower will be done who are easy to handle (Edwards, 2010). HR manager can also
look after routine activities of employees allotting them right job so that wastage of
resources can be minimized. Training and development sessions can be organized to
make employees more presentable before customers. It will help in defining
12
Document Page
organization’s objectives clearly so that they can work towards venture with full
commitment. Moreover, manager can observe the performances of employees and use
effective ways to motivate them.
Inventory department: There is a need for inventory department as well because in this
industry continuous and smooth supply of materials is necessary to meet the demands. So
a proper system can be set up which will record information about availability of supplies
and its requirement (Engelsman, and et.al., 2011). Further, this will decrease operation
cost as most of the cash outflow is for purchasing these raw material. Storage of these
supplies right quantity will decrease wastage and surplus cost as well.
Thus, by managing organization department wise will make its structure easy to
understand and managing employees will be much simpler.
4.3 Improvement in performance of business over given time scale
An appropriate level of improvement is observed in the firm performance over a given time
scale. The five areas where focus is given are evolving relationship with customers, retaining
employee, training, increasing sale and innovation. Equal focus and work on these areas greatly
improve firm performance. Due to training employees skill and efficiency get improved at the
workplace which ultimately benefits an organization. With small workforce firm serve number
of customers in single time period in proper manner. Moreover, there is proper coordination at
the workplace which contributes to growth of Café portrait profitability and business. With
passage of time firm profitability increases (Seights, 2010). Moreover, innovation in product is
another factor that play a lead role in terms of strong plunge in profitability in short time period.
Café portrait successfully retain its employees. Due to this reason there efficiency level and
coordination increases to maximum level. This results in reduction in the time period that is
taken by the employees to serve customers at the premises. Hence, it can be said that overall firm
performance get improved with passage of time period.
CONCLUSION
On the basis of above discussion it is concluded that it is very difficult to open a new
business. This is because while opening a new venture lots of factors needs to be taken in to
consideration. Apart from this detail plan needs to be outlined in order to open business in real
world. It is also concluded that proper plan must be prepared for commencing business. Firm
must not stop on this point and it must prepare a detail plan and tactics to support each and every
13

operation at the workplace. By doing so it can be ensured that each and every thing in respect to
organization is implemented in systematic way at the workplace.
