AI Summary
This report presents a student's reflection on developing a student record management system database for Torrens University Australia, focusing on the benefits of such a system for efficient data management, analysis, and administrative task reduction. The student details the implementation of various modules, including login, registration, course selection, and attendance, highlighting the importance of each module in streamlining processes and enhancing security. The assignment includes a critique of the database design, evaluating data objects and attributes, identifying areas for improvement such as the order of data objects and the inclusion of additional student details like phone numbers and emails. The student emphasizes the advantages of a computerized system over manual methods, particularly in terms of security and accessibility, and references relevant academic sources to support the analysis. The report showcases the application of database design principles within the context of a real-world student record system.

Reflection
While creating the student record management system, I understood the benefit of
implementing this kind of database in the organisations. I have understood that the extensive
success of the organisation such as Torrens University Australia depends on the ability of the
organisation to gather the accurate and real-time data regarding the operations, for managing
the data efficiently and for using this data to conduct analysis and guide the activities of the
organisation (Bobbie & Attrams, 2016). The implemented student record management system
provides the users with the combined view of various data from the multiple sources. The
implemented database in the organisation would help is storing the records of the students. It
has been purposed for reducing the time that is required for the various administrative tasks.
The system has been intended in accepting the processes, produce the accurate students report
along with the various grades and transcripts efficiently (Tamboli et al., 2017). The system
has also been intended with offering the improved services for the users, offer the
meaningful, timely and consistent data as well as information. The system would ultimately
promote significant efficiency by converting the processes that were executed on paper to the
electronic form (Ghomeed & Abdallah, 2019).
I have learnt that the integrated information systems provides the users with the
significant combined view of varied sources of data. For providing the single constant result
for each of the object that is characterized in the data sources, the data fusion has been
combined with the determining of data discrepancies viewed in sources (Subbiah, K. V.,
Dinesh, D., & Suresh, 2016). The querying of the varied sources of data, the combining of
results and providing them to user has been executed by the help of integration system. A
database is the combined collection of various kinds of data, commonly so huge that is
required to be effectively stored on any secondary storage devices like tapes or disks. This

particular data could be effectively conserved as the gathering of the files of operating system
or even stored in the DBMS (Samson et al., 2017).
While developing the student record management system, I have understood that the
student management system is the surrounding where all the process of any student within the
institution could be handled effectively. This innovative system saves significant time of
student as well as of administrator of the organisation (Saquin & Marcial, 2016). It involves
the process such as details of the registration of students, assigning the department on the
basis of the courses as well as maintaining the record of the students. This innovative system
helps in reducing the cost as well as the workforce required for the job. As system has been
placed in the online platform, the information has been made available for all the authorised
users.
In the present times, the Torrens University Australia manages the record of the
students manually that makes the data significantly vulnerable to various kinds of security
threats. The system being developed in the organisation has various segments for processing
any particular task. These particular modules are also referred as the modules (Kaushik et al.,
2017). It would assist in developing the system as user-friendly and easily. The login module
of the system would help the users with logging in the system using the institute ID as well as
the password. Any user with the valid password and userID could solely login into the
accounts. It would assist with the authentication of users who enters system. The module
offer the extensive layer of security over system as solely the authorised personnel would be
allowed to login in the system. It would help in preventing the unauthorised access by any
person who could enter the system and make any modification to the records stored in the
database. I have analysed that it is superior than any kind of manual technique as it does not
have the proper security measures of who could access system and who do not have the
functionality of accessing the system.

The registration module of system of the student record management system would be
implemented in the system for making the input of all the student details. It would have
various fields associated with the personal information such as date of birth as well as the
address along with the professional details. I have realised that with the implementation of
the new system in the organisation, the registration process of the students would be
significantly simplified and improved. The students would be able to register themselves
from anywhere using the internet. After the students has provided all the information in the
system, it would be transferred to the system admin for executing the authentication process
of all the details (Sawaneh et al., 2018). The course module of the system would have the
ability of selecting the several course that are present within the system. It would be
published by the administrator under any particular department. Each of the courses would
have appropriate criteria of qualification, it would be available for all the students who would
be eligible for applying in it.
In the Torrens University Australia, there would be huge number of students and in
any situation there is a need of searching the details of any particular student, then the new
record management system would be used for finding the appropriate data of students. In the
present manual system, it would be extensively difficult for the authorities to search any
student details as it would take significantly long time. With the introduction of this
computerised system in the organisation, the admin would easily search for any particular
student with solely typing name of the student and search for all the details associated with
the student (Atabekov, 2016). The system of the Torrens University Australia would also
have the attendance module that would provide the real time information of the attendance of
the students and then make the appropriate reports of the attendance. This particular module
could be considered as the most crucial module of the entire system as it would act as the

official document of the presence of student within the institution. It would display all the
attendance of the students in each of the courses.
Critique
From the analysis of the documents of the student, it has been determined that the data
objects and the attributes of the data objects has been selected appropriately. All the vital
information of the new system has been presented clearly that illustrates how the system
would be used. The crucial data attributes has been selected and each of the data columns in
the spreadsheet includes accurate data. The only improvement area regarding the data objects
is the order of data objects. As this spreadsheet includes the data of the students but all the
vital information are provided in the later section of the spreadsheet such as the studentID
and the TutorId. It should be placed in the first or second column of the excel sheet as it
would improve the visibility of the complete excel file. It is suggested that any attribute is the
characteristic of the data. In the database management system, the attribute mainly refers to
the components of database, such as any table. With thinking of this aspect in the terms of
database, it could be considered that any particular database mainly contains all the tables,
and each of the tables mainly contains various rows as well as columns. Each of the rows is
the data that is applied to any single item. Each of the column of the excel file comprises of
the characteristics that effectively describes rows and these columns could be considered as
the attributes. The database attribute could be considered as the column name as well as the
content of all the fields that are placed in the table.
The data objects that are defined in the excel file of the student contains the
studentID, studentName, courses, TutorID and the TutorName. There are some information
of the students that are not provided in the excel file that would help the administrator to
search the details of students accurately. It does not include the phone and the email of the

student who are registered in the system of the university. These details are significantly vital
for the administrators as it would allow the administrators to contact the student in any
situation easily. The complete file provided by the student could be easily used as the input in
the database and all the data could be easily entered in the system for future purposes. The
editing of the excel file according to the specifications has been done accordingly and
accurately. It does not contain any kind of duplicate data and primary keys could be easily
determined from the studentID and the TutorID.
