Business Information-
“You Can Fit In” is a company which provides fitness services in various cities of NSW and
Victoria. They have 13 fitness centres in different cities. Adam Apple, CEO of “You Can Fit In”
wants expansion of his business so he is opening a new fitness centre named “Supercentre” in
Gold Coast city, Queensland. If all goes well then company will think to open other new centres
on different locations. The headquarters of “You Can Fit In” is situated in Melbourne. There are
three different departments in this company and every department has a manager who has to
report to CEO directly in headquarters because he heads the management team. Donald Dollars
heads the Department of Finance, Sally Molly heads the department of Sales and Marketing and
Chia Chen heads the department of Operations. Chia Chen also manages the 13 existing centres.
It means all the managers of fitness centres have to report to Chia Chen. Mark Lewis is assigned
as manager of Supercentre because he has 3 years’ experience as fitness trainer. Adam Apple is
planning to include some new features and technology in the new fitness centre Supercentre. So
he hired Nina Stay to create report and to help in business operations of Supercentre.

Organisation Description-
As we can see in Organisation Chart Adam Apple is the CEO of “You Can Fit In” Company. He
heads all the departments of fitness centre from the Melbourne’s Headquarters. “You Can Fit In”
basically divided into three departments, Finance department, Sales and Marketing department
and Department of Operations.
All departments have their respective managers who manage the whole department and
employees who are working for their department. And all the three managers have to report to
CEO directly in headquarters.
Donald Dollars, Manager of Finance, manages the finance department and reports to CEO. He
takes care of all the financial issues of the company.
Sally Molly handles the department of sales and marketing. All the sales employees work under
him. This department also includes promotions of the company so he handles promotions and
promotional team also. He has to report to directly CEO in the Headquarters Melbourne in case
of any update.
Chia Chen, Manager of Operations, manages the department of operations. This department
directly deals with customers and takes their feedbacks. He also manages all the 13 existing
centres. It means all the centre managers have to report to Chia Chen for any sort of work.
Mark Lewis, he is newly appointed as manager by Adam Apple for the new fitness centre
Supercentre. He has 3 years of experience as a fitness trainer so Adam hired him personally. He
is now working on problems and solutions of Supercentre. He is also helping in business
operations with newly hired Consultant.
Nina Stay, Experienced Consultant is making report on the new system.
Area of Organisation-
“You Can Fit In” have fitness centres in different cities and their headquarters is in Melbourne. It
provides fitness services through their centres. “You Can Fit In” is expanding their business by
opening a new fitness centre in Gold Coast. Now these fitness centres using “OnAllAccounts”
software for all accounting work. And all the members database and list maintained by Microsoft
Word Excel Sheet. But for new centre Adam wants all new technologies so he is working on this
by hiring people for business operations. Adam is thinking for many new ideas and technologies
to help the customers and attract their interest. He wants to remove all paper work and excel
sheets work. He wants to make a Hi-Tech fitness centre in Gold Coast.

A vision document always defines the future scope and vision of a system. The clear problem
statement, its solution and features of the system will be included in this document. This outline
provides a potential guideline for the document.
Future Scope and Purpose of the System-
“You Can Fit In” is working for fitness of their customers. The CEO wants to expand this
business by opening a new fitness centre which will be operated by modern technology. This
fitness management system has fitness centres in many cities. This system works better because
this system have only 3-4 level hierarchy so it is possible to be transparent in this system so it
will be better for the company. In their fitness centres there are many other activities other than
workout which helps in removing the weekly tiredness of the members. This system works for
the customer’s fitness.
Problem Description-
The old fitness management system is not so much involved in technology. Member’s
attendance and other databases are maintained in excel sheets manually. This is not a
proper approach for a business.
The fitness centre uses OnAllAccounts software to maintain all the accounts receivables
and payments and ledger. This software is not so updated to match the new requirements.
There is no online access of training programs and progress reports for the system.
Members can’t see their progress reports anytime.
There is swimming pool in all the centres but no swimming lessons for the members. If
you miss a lesson at centre you can’t see that again.
Anticipated Business Benefits-
This system focuses on the fitness of their members. All the business should know their
objective, implementation of their promises and understanding of cost and benefit analysis of
their projects. Though it seems very simple and same but it’s a very different scenario to
implement and analysis the system. There can be many types of business benefits like, soft
benefits, hard benefits and productivity.

System Capabilities-
The system will enable only authorized user access for authorized data. When a admin
can track all applicants details but applicants can only see their application.
There is very necessary to interact with other centre that will help them to do updates in
system.
The system requires a transparency between the members and instructors so they can feel
comfortable over there.
The system always requires high level of security. It means members can easily provide
their data to the fitness centre without any fear of fraud.
Work Breakdown Structure-

In work break down structure the concerned person defines the objectives of project and then
identify the tasks to complete the milestones of the project. This chart includes the critical
elements of the project and defines the relationship between them to complete the project. The
project will be divided into milestones which are going to achieve from completing the elements
of the project.

“Supercentre” is a project which is going to start. We have an old project of “you Can Fit In” but
we have to make changes in the system. All the changes should be gathered in proper form so
that designing will be better and for last milestone we can get a proper report of the new system
“Supercentre”.
The milestones are the steps which should be followed by analyst to complete the project. We
are taking 4 milestones to complete this fitness management system. In first milestone planning
should be done by meeting with all the managers, CEO and Instructors. In second milestone
requirement gathering will be done so that every element will be clear for the project. In third
milestone the system analysis will be done in which project manager is going to see all the
requirements that they are feasible for our system or not. In fourth milestone which is the final
milestone for the project, the final milestone will be the documentation and implementation of
the project.
Work breakdown chart plays an important role in the project management. It is an hierarchical
oriental chart of all the elements of the project divided in different milestones and different tasks
so that final documentation will be done.

completed course of actions and the cost value against any decision or project policy. It is mostly
used in potential transactions and business investments to map the benefits of this action to gain
more savings. Benefits in cost benefit analysis are introduced in monetary terms and they are
adjusted in time value for money. All scenarios of cost and benefits are introduced in terms of
Net Present Value.

This Fitness management System called “Supercentre” provides fitness services to their
customers. It is a subpart of “You Can Fit In” fitness centre which is having already a system but
for Supercentre the CEO want high technology system and want to introduce more new features
for the members. He is looking and hiring people self for this system because he wants to make
this system best and fully featured so he can grow his business in other cities also.
