INTRODUCTION
Information technology is having a great influence on all business organizations which
can make work easier such as manufacturing, education, health etc. In the present era, computer
system and internet are being used everywhere which can support all operational activities such
as communication, automation, information sharing and so on (Brack and et. al., 2011).
Computer system is helping in all business activities which can increase output, performance and
efficiency. There are several components of a computer system like desktop, monitor, hard disk,
etc. Presently, 1 TB and 2 TB hard disk are attached in personal computers which give a large
storage space for users. A person can choose a computer system on the basis of their uses. The
present report is focused on SYNERGY which is a recruitment business entity. It operates their
business activities in United Kingdom which is the need of computer system to increase work
performance and efficiency. Mr Timothy Kelly is the director of this organization and wants to
integrate all departments through information technology (Britto and et. al., 2010). Systematic
design specification helps to develop systems which is in need. By this, organization can achieve
their objectives and increase their work efficiency.
TASK 1
1.1Explaining the role of computer systems in different environments
In today’s scenario, computer has become an integral part and a basic need for a human
being. Computer system is a multipurpose device which can be programmed to solve various
complex problems such as arithmetic and logical calculations. In the modern workplace,
computer systems have become an important tool for keeping database, store system, save
records and making analysis of these records and data base (Cahill and Zuckerberg, 2014). It can
save money and time both and make works easier for an individual. There are various roles of a
computer system in different environments which are given as below:
Home: Computer system at home commonly fulfills the general purpose such as keeping
personal and family records, surfing on internet, professional activities, playing games, watching
movies and so on. Apart from that, now a days, it is also used for social media networking such
as Facebook, YouTube, Instagram, etc.
Business: Computer system plays a significant role in each and every business. There are
various tasks such as maintaining records, data management, employee’s information,

documentation and so on. These systems can be used from small and medium sized businesses to
large scale organizations (Deng and et. al., 2012). In multinational companies, such systems are
used for sharing information through integrated networking system. Example: Primark
supermarket is a retail chain which is having large number of stores and warehouses across the
world. In order to maintain register and records for their products, computer system can help
them to do their work smoothly. Example; Primark super market is a retail chain which having

Educational institutions: Today, all schools, colleges and universities are using
computers in order to provide better teaching and learning to their students. There are various
fields which require computer system to make their study easy (Ellis, 2012).
Medical and Hospitals: Places like hospitals also need computer system which can help
to keep records of their patients and their staff. Apart from that, there are various medical
facilities which require such system to provide medical treatment to its patients.
Banks: There are various information and millions of date in banks which are more complex and
competitive to store for a long time. Computer system provided facilities to keep financial
information for a long time. It can also provide an integrated network to financial institution to
communicate with their various branches and share information with them.
Defense: Computer system is also used by various security organizations for their
military use. For example, keep safe country's IT and critical infrastructure form cyber threat.
Computer system provides 360 degree surveillance to various government authorities to protect
various institution from enemy country (Ferreira, 2011).
1.2 Explaining the hardware and application Software and peripheral components of a computer
system.
Hardware: It is a physical component of a computer system which consists of various
elements such as CPU, monitor, key board and hard disk, etc.
CPU: his is known as central processing unit which is one of the significant parts of a computer
system. In this system, every program directly goes to CPU in a binary language and convert in
to the output according to human language.

Monitor: Computer accepts the instructions of user and display the output in an electronic
device called monitor (Catahan and et. al., 2014). It is similar to TV but it usually displays video
and graphic with high resolutions. This is integrated with CPU which can be used for providing
input and getting output.
Keyboard: Computer key board is an input device which is used to enter characters and
functions in to computer system. There are various types of keys such as alphabet, numeric and
others which are used by a computer user to provide input to its system.
Mouse: This is another key device which looks similar to the size of mouse. This input
hardware function is also similar just like a keyboard but in a different way.
Memory: There are two types of memories which are stored in a computer which are
given as below:
RAM: This is one of the important memories which are used to store all information and
data in a computer system (Fujii and Hitachi, 2010). These types of memories are of two types in
which one is SRAM which contents as long as electrical power is applicable in the system.
Another one is DRAM which is extremely short life data typically in millisecond.
ROM: This memory is known as read only memory in a form of data storage which
cannot be easily reprogrammed. It is having various contents such as PROM, EROM and
EEPROM.
Printer: This is an output device which can be used to get the output from a computer
system. Printer provides a permanent paper record of computer output data, information,
graphics and text. There are various types of printers that can be used such as matrix, inkjet,
drum, chain and so on (Merkin and Rinaldi, 2013).
Software: This is another important part of a computer which is related with instructions
and applications. A computer system cannot run without a software. There are following types of
software which are used in a system:
System software: This is related with the operating system of a computer. There are
various types of system software that can be used by a user such as XP, window6, 7 and 8 which
can be purchased through online.
Application software: This makes the task of user easy as they provide assistance in terms
of online searching, networking, gaming and professional work. There are various application

software which can be used by users according to their requirement. Application software also
protect a computer system form virus which can damage a system.

Computer system can be classified according to its seed, size and performance which as
given below:
Personal computer: A PC is one of the small form of computer system which is
designed for personal use. This kind of computer can be used by personal and business purposes
(Mines and Bretherton, 2010). This system is based on the microprocessor technology which can
enable the entire PC's. It is used for entertainment, playing games, internet surfing etc. PC are
specially design for single use and normally linked with network.
Work station: This is quite large as compare to personal computer in terms of size,
performance and uses. Such kind of system can be used for various fields such as engineering
purpose, desktop publication, information technology, designing, software development and
other applications. These systems are large, with high resolutions in graphics and screen, more
memory space, network support, and GUI. Most of the work stations are designed according to
the requirement of a user (Misraje and Dickman, 2010). This is also used for a single person just
like PC's user. Operating system can be used in such computer are Window's NT, UNIX etc.
Mini computer: This another form of computer which is quite large in terms of size as
compare to work station. This system is capable of supporting 250 user simultaneously. It was
introduced in mid 1960's. Processor of this system is more powerful which provide more
accuracy and speed in the system. Such kind of computer system are research facilities, large and
medium size enterprises.
Main frame: This computer is very large in size and expensive where more than 100
people are working together. Mainframe executes large number of program simultaneously.
These computer system are more powerful as compare to others. It is accommodate in large
rooms due to its size (Schein and et. al., 2012). In this system large amount of data and
information can be stored. These system can be used by various large corporation like banks,
insurance companies, universities and so on in order to store data of students, customers and
insurance policy holders.

Supercomputer: These were introduced in 1960s which are most advanced computers in
the world. These system can be used by government authorities, multinational corporations,
universities and research centers. There are various large amount of data which can not be
managed by a small computer. These problems and data can be solved and stored by a
supercomputer.
TASK 2
2.1 Produce a system design specification to meet a SYNERGY needs.
System design specification is a documentation of all plan about the development of
computer-system and which help to increase the performance of the organization by installing
new systems . According to the given scenario, the director of the company Mr. Timothy Kelly
wants his laptop and 14 new computer system to connected to the server so that he can operate
the entire system (Brack and et. al., 2011). The director want the company to increase its
performance and reduce its overhead cost by reducing paperwork and time. The time taken to do
all the installation should be less as the more time it will take it will create hindrance in the work
of the company.
Following is the system design specification of SYNERGY:
Requirement of Client: The computer system should be designed as per the client requirement
so that it can be fulfil all the needs of the clients. In the given case SYNERGY wants to install 14
new computer system and director's laptop also connect all of them with an common server.
Mr. Timothy Kelly wants that all work can performed accurately and efficiently (Britto and et.
al., 2010). The system should be designed in accordance of the client so that all the needs of the
customer can be fulfilled.
Requirement of System: SYNERGY wants to install up-to date computer systems to do the
office work. With the help of common server all the department of the organization such as
reception, consultant, administrator, database network manager and client coming for interview
can be perform any task in the systematic manner and it will in increasing the efficiency of the
organization. So adequate number of computer system needed by the client should be calculated
properly and make sure that they are connected to a common server (Caballero and et. al., 2010).
Components of system: The systems which are to installed in SYNERGY should be of high
standard and will not get out dated in the near future. The hardware and software can vary from

computer to computer as the requirement of the specific customer. SYNERGY also requires
printer in the reception. While designing the system it should be taken into consideration that
UPS should be installed so that company will not loss any data due to power cut. LED screen
should be installed to save electricity.
Configuration: The computer system installed in the organization should be equipped with Intel
i7 processor and with all the legitimate MS-office software along with required software by any
specific department. The operating system should windows 10 for faster performance (Cahill and
Zuckerberg, 2012). All the data should be stored in the server so there should sufficient space in
the server like 2TB and anti-virus should be installed so that theses system shall be safe from any
virus and malware
2.2 Suitability of a system design specification for SYNERGY
It is essential for SYENRGY is that to install new computer system as per their needs.
The firm is working in the recruitment sector which are use a PC for their operational activities.
Now, the organisation wants to expand their business activities. Therefore, they required new
systems according to their varieties of needs. There are following needs described of Mr.
Timothy and business unit:
Client and system requirement: Business organization wants to expand their
operational activities across UK. Therefore, they need to change and upgrade their infrastructure
such as land, building and computer systems. They required such system for different
requirement such as administrator, recruitment consultants, receptionist and so on. With the help
of this system, company can integrated their overall computer which can help to increase their
production and performance. It can also reduced operational cost which can increase profitability
and revenue which is a common goal for every corporation (Courtois, 2014).
Limitations of current systems: According to the today, scenario, SYENRGY is having
limited infrastructure and small storage and they operate their business operations in traditional
way. They are only use one computer for their administrative and operational work which no
sufficient for them. Another reason is that, now they want to expansion in their business where
such system are not appropriate and cost effective. In today's competitive environment firm
required that to meet these competition and make their infrastructure more effective.
Suitable system on the basis of needs: As a small business organization, their needs are quite
limited which required a suitable system in terms of size, capacity, requirements and cost

effective. There are various factors which must be considered by SYENRGY in order to install
new system at workplace as given below:
Requirement: SYENRGY is having needs to install 14 computers, 1 laptop, 2 printers and a
network server for integration all systems (Deng and et. al., 2012). These all system can selected
by according to their requirement such as a PC for receptionist, 5 PC for consultants, 2 PC for
administration, one is for general manager and one is for their secretary etc. these computer help
to increase their work performance and efficiency.
Cost: This is another significant factor for SYENRGY. In this component MR. Timothy are
required to invest large sum of amount in order to expand their business operations and
installation new computer their organization. Therefore, they required to determine two or more
companies which can supply computer to them. Now they have to evaluate and compare cost
between them and chose best option on the basis of lower cost, maintenance, and quality.
Efficiency: According to their needs, they have to evaluate various configuration such as storage
capacity, model, and quality. For example, for receptionist purpose they can buy simple
configuration PC which is more suitable and cost effective for the business organization (Ellis,
2012).
Space: This is another factors where SYENRGY can analyses the space and size of their
computers. The business unit is having a small infrastructure which can not possible large
systems. Therefore, they required to select an appropriate computer according to its space limit.
As in the receptionist area they have to use LED monitor to consume lower space which can help
to communicate with clients easily.
Features: It is essential for SYENRGY that to select suitable system on the basis of
performance, capacity, speed, power etc. these configuration help to increase computer utility
and efficiency which is too important for the company (Ferreira, 2011).

3.1 Configuration of a computer system to meet Synergy's design specification
Computer configuration is related with the features and qualities of a computer system.
These features are different according to their needs. SYNERGY can required to make a list
which meets their design specification. There are following needs and its design specification of
the company:

Computer system for receptionist area:
Hardware: This is one of the important configuration which can help to meet their design
and features specification of receptionist:
CPU: As a receptionist, there are various task which have to performed by them.
Therefore, they required a medium size configuration PC which can fulfill their needs (Wu and
Genes, 2012). For example, business unit can buy approx 500GB hard disk with DDR3 and 4GB
Ram which provide greater speed and core 4 which is more advanced version for them.
Monitor:The receptionist are is quite limited which can required a small monitor for their
desk. For this, they can buy 18 inches LED monitor which is more suitable for them.
Other equipment: There are various other hardware equipment such as mouse, printer speaker
etc. to the receptionist. These also can be small in terms of size which can give more space for
their stationary (Catahan and et. al., 2014).
Computer system for administration area:
Hardware: This is one of the important configuration which can help to meet their
design and features specification of administration :
CPU: Administration department having quite large and complex task which are required
more powerful and larger storage which can solve their problems. SYNERGY can customized
their system which can be more cost effective and affordable to them. To administration
department, they can select hard disk capacity is 1 TB which have large storage capacity. Extra
large RAM having various problem therefore, company can go for 8GB RAM. Organisation can
choose Intel i7 which is more faster and suitable for them (Fujii and Hitachi, 2010).
Monitor: In this section, they can use quite large monitor as compare to receptionist ares.
For this department, company can select 24 inches LED with high resolutions which can produce
greater extra image. It can also overcome the adverse impact on eyes of the staff.
Other equipment: There are also other hardware such as key board and mouse with a
greater performance. Organization can select wire less mouse and keyboard which can best
option for them.
Computer system for consultants:
Hardware: This is one of the important configuration which can help to meet their

CPU: It is one of the significant department of SYNERGY which required more faster,
effective CPU. Therefore, firm's can select 2 TB hard desk with 16GB RAM which can provide
greater speed and performance to their staff. Apart from that, company also make sure that, they
have to use appropriate anti-virus system (Gunther, 2011).
Monitor: For this section, they can select 16 inches LED monitor for recruitment
consultant use. They can select Apple or Dell which are most suitable option to them.
Other equipment: In this section the business unit can select various equipment such as
mouse keyboard with high quality. The most important think UPS, to avoid power fluctuations
and power cut, it is having a need to install a UPS along with this desktop. Here they can install
UPS which is having 400 watt capacity.

system. There are various components is a computer such as CPU, monitor, keyboard, mouse
etc. are installed properly which can help to increase their productivity and performance.
Diagnostic faults: It is essential for the company that to diagnose root causes of
upcoming faults which can reduces the chance of faults and damages in the near future (Schein
and et. al., 2012). For this, SYNERGY required that to contact with computer and It experts
which can overcome such threats.
Troubleshoot devices: There are various technical option given in the various system
specially in the windows. In such system trouble shoot option is help to identify the problems
(Merkin and Rinaldi, 2013).

4.1Routine maintenance of computer systems
It is essential for SYNERGY is to maintain their installed computer over a period of time.
The owner of the company make sure that make a routine daily, weekly or monthly basis. It can
help to increase the operations effectiveness and reduction in maintenance cost of the business
unit (Mines, and Bretherton, Tandberg Telecom, 2010). There are following task which should
be done by the company on regular basis:
Disc cleaning: Over time, there are various unused files and folder which are required to
delete from the disc. It can help to increase the speed of the computer and reduces the operation
time which is too significant.
Defragmentation: This is one of the best way which can improve the performance and
efficiency of the user. Therefore, SYNERGY can provide training to their staff regarding the
defragmentation. It is a process where a user can store their file in to various segment which can
help to find out file from that particular location.
Updating: This is another important tools where company make sure that all system keep
update and use latest software and anti-virus. They can strict guidelines regarding update of their
system over a period of time.
Back up: Sometimes various important file delete which are required an effective back up
system. SYNERGY required that to provide a system which can easily back up their previous
system and file at the right time (Misraje and Dickman, 2010).
Physical maintenance: In addition to software maintenance, company can also do
regular physical cleaning. They have to appoint a person who is responsible regarding the
physical cleaning of all computer system which can help to remove the dust problem in a
computer.

4.2Upgrade the hardware and software on a computer system
It is important for SYNERGY is to keep update their hardware and software which can
help to provide long life to a computer system. It can also boost computer performance which
can help in productivity.
Types of Upgrade Guidelines
RAM Company can see the performance on regular basis and check the speed
of a computer system. If the case of slow down computer speed,
manager can change RAM.
Anti-virus Virus is one of the major threat for any computer system. Therefore,
SYNERGY required that to update their anti-virus software on a
regular basis which can protect their system form external threats
(Paulauskas and Garsva, 2015).
Hard drive This is another hardware of a computer system which also required to
update and change these hard drives and increase its storage capacity
according to the requirement.
Optical There are various optical such as CD and DVD's which also need to
change after some time.
Processor An effective processor can help a computer run faster but it is not easy
to update. For this company can take IT experts suggestions which is
more appropriate (Portelli, 2010).

As per the above mentioned report it has been concluded that information technology and
computer system are too important business unit. This report has explain about computer and its
role in different sector. The report also concluded that how SYNERGY can installed its
computer system according to their requirement. Further is explain about the details of hardware
and software which are the integral part of a computer system. In addition, it described that how
a company can make guidelines regarding the computer maintenance and up gradation which can

increase the speed and performance of the system. It also enables the reader of report to get the
knowledge about the latest version of Windows ; processor i7 and shows the way to maintain
software and hardware of a computer systems.
