INTRODUCTION
System analysis and design is defined as the pre process of the development of the
software to use it in any event in an organization. Before building up of the system, it is
important to analyse all the requirements that what can be necessarily needed to develop the
system, after analysing such things, it is essential to design so that at the time of the process of
development, it can be easy for the developer to execute it by following such design to build up
the system required for an event. Here the organization is Training Inc., it conducts training
seminars across the US cities. For each seminar they are conducting, logistic department are
responsible for the necessary arrangements of the meeting facilities, the training consultants
travel and the shipment of any seminar materials (Bullo and Lewis, 2019). The following
discussions are made on the use case description, use case diagram, entity relationship diagram,
class diagram, sequence diagram, activity diagram and testing and deployment activities in
context of the Training Inc. with a final conclusion.

Use case description
Meeting facilities
Logistics department is responsible for gathering the information about the site of the
seminar in the scheduled city. This information is totally dependent on the availability of dates,
how much cost they have to bear for the seminar, availability of type of space which is required
for the meeting and how much the location is convenient to conduct the seminar. After deciding
the whole location for the seminar, now it is the responsibility of the sales manager to fix the
meetings rooms where it is needed to be conducted, planning of the seating arrangements,
technical equipment mainly audio visual according to the information and the records of the
registrants for the booking of the seminar (Davis and Yen, 2019).
Training consultants travel
After fixing all the agreements with the sales manager, now it is important to make the
travel arrangements through training consultants. Coordinator reviews all the past records in the
logistic database and gathers information accordingly and starts researching the scheduled of the

flight. Travel consultant is required to be contacted for the necessary arrangements for the
travelling to the scheduled city for the seminar. They books the flight using travel agency for the
consultant. When it is booked then the written confirmation is to be sent to the consultant for
proper agreement.
Shipment of seminar materials
Seminar requires the materials which is needed during the meeting and is essential for the
succession of the seminar. They need to be shipped to the location scheduled for better
presentation and training. It needs to be arranged before two weeks of the date of the seminar
because if any wrong material is shipped then they can exchange the same with the right one.
These materials are transparencies, training guides, pamphlets and many more. It is important to
keep the track of the materials because every time there is a different set of materials required so
already used materials cannot be again used for the scheduled seminar. This is done when
coordinator finds out that actually how many participants are attending the seminar so that they
can arrange accordingly (Ghali, Favre and Elbadry, 2020). This all arrangements are done by the
material handling department where the materials are allocated, packed within a box and shipped
to the meeting address scheduled. Once the materials are sent, logistic department receives the
notification for the confirmation.

Actors
People who are involved in the whole process of the use case diagram and in the cases
are referred to as the actors. Here the actors are logistic department and sales manager, they both
are responsible for the conducting of the meeting facilities activity (Mahmud, Amin, Hossain and
Ravishankar, 2018).
Cases
Cases are referred to the possible situations that can occur during the whole plan of the
seminar from starting to the end. Here the cases can be, if the proper location is not able to find
out as per the requirements, either required dates are available or not, either they find the cost
within their budget or not, either availability of space as per requirements or not, either meeting

rooms are available or not, either planning of the seating arrangements can be done properly or
not, either equipment gathered are appropriate or not and finally the agreements are approved by
both the parties or not (Maylawati, Darmalaksana and Ramdhani, 2018).

Here the actors are travel consultants and coordinator. Because they are the ones who are
handling the activities of training consultants travel for the flight booking and everything which
is needed for the travelling for the seminar.
Cases
Here the cases are that either the flight bookings are on time or it can be delayed
according to the scheduled time and finally the written agreements as mentioned on the flight
bookings (Michalos, Karvouniari, Dimitropoulos and Makris, 2018).

Shipment of seminar materials
Actors
Here the actors are material handling department and logistic department. They are
responsible for the activities which are to be conducted in shipment of the seminar materials.
They are the people who manages the arrangements of shipment of the materials (Schneider,
Mather, Pal and Dugan, 2017).
Cases
Here the cases are, either the wrong materials are to be shipped or right materials, either
the records of the old participants are estimated accurately or not, either the allocation and
packed on time or not and then finally the conformation between the two parties.

Entity is referred to as the main contributors who are actually responsible for the
relationships between the different attributes either it can be one to one relationship, one to many
relationship, many to many relationship and many to one relationship. Here the entities are
logistic department and sales manager and it is depicted as the rectangle shape (Pedrycz, 2018).
Attributes
Attributes are referred to as the properties of the entities through which they are very well
known of because of their relationship type between them. Here the attributes are location, dates,
cost, equipment and meeting rooms. It is depicted by oval.

Here the entities are travel consultants and coordinator as they are responsible for the
events handling of their specific attributes so that it can be accurately measured in terms of the
relationship they are acquiring for the same (Montgomery, 2017).
Attributes
Here the attributes are, flight bookings as per on the time with cost effectiveness with no
delay in it. It is important to take care of such thing because punctuality is one of the main key to
success so in order to accomplish such training seminar on time, it is essential that the flight must
be pre booked so that the situations like delays and cancellations can be tackled out efficiently.

Here the entities are material handling department and logistic department. Because this
responsibility is handled by the logistic department to convey the all the necessary details to the
material handling departments (Shiel, Tarantino and Fischer, 2018).
Attributes
Here the attributes are materials, records and allocation and packing of the materials to
finally ship to the scheduled location and time without any delay with all the required
transparencies, training guides and many more. Here the some attributes are from the logistic
department side and some are from the materials handling side so the relationship can be many to
may relationship.

represented. Here the meeting facilities is the main entity and the others like location, date, cost,
meeting rooms and equipments are named as the location, date, cost, meeting-rooms and
equipments. Their data types are string, date and time, currency, integer and number. This means
that it stored with this name and with this type of data in a system to recognise them easily while
developing the system. These are the five different classes of meeting facilities to store in a
proper technical way.

This diagram tells about the data types for each variable in the system and how it can be
represented. Here the training consultants travel is the main entity and the other like flight
booking is named as flight_bookings. It's data type is date and time. This means that it stored
with this name and with this type of data in a system to recognise them easily while developing
the system. These is only one class of training consultants travel to store in a proper technical
way (Valacich, George and Valacich, 2017).

Sequence diagram
Meeting facilities
This diagram tells about the sequence of the activities that are to be performed in a
sequential manner. Meeting facilities of the seminar are sequenced in three parts that are
participants, system and initiator of the development of the system, in which parts records by the
participants are to be observed in the building of the system and then it is coordinated with the
initiator that is the Training Inc. with all such activities that are mentioned in the diagram.
