2SYSTEM ANALYSIS AND DESIGN
Introduction:
Based on the concept of system analysis and design, it can be said that the internal issues
of Swineburne Guru Consulting can be purposefully solved. The efficiency of both internal along
with the external stakeholders of this commercial establishment can be purposefully enhanced
after the conduction of the system analyses and designing. The system analysis and design can
also be very much beneficial for this commercial establishment to expand their business reach
and attract most of the potential clients of this business establishment (Wrigley and Straker
2017). The strengths and opportunities of Swineburne Guru Consulting can be capitalised in a
useful manner using the system analysis and design. Each component of this commercial
establishments can be improved using the system designing.
The notable determination of this work is to focus on the development of a consulting
management system for Swineburne Guru Consulting which is located in Hawthorn. Emily
Sodapop is the principal stakeholders of this commercial establishment. The main organizational
objectives of this commercial establishment is to provide coaching to individuals and
organizations. Leadership qualities of the customers, as well as the personal performance
coaching, are the other prime services of this organization. This commercial establishment uses
social media platforms, such as Facebook and LinkedIn to attract potential clients if this
business. This business increased considerable within a few years, and the basic website of this
commercial establishment lacks all the qualities of a professional quality website. New issues
started cropping up as their business scale is enhanced.
The data collection of this paper is one of the most significant part of this report as well
all the data will be collected from peer-reviewed scholarly articles. Thus, it can be said that

secondary data collection procedure will be considered in this report (Pedrycz 2016). Most of the
investigators who have stated their opinion about the needs of system design and analysis will be
considered in this paper. The coaching specialist of this commercial establishment had issues
which will be presented in the ensuing segment of the paper in an organized manner.
Problems:
The coaching specialist of this commercial establishment had several issues which will be
presented in this section of the report. The three identified problems of the coaching specialist as
described in the following table.
Problems Description
Static financial
structure of this
organization
Most of the existing as well as the potential clients, faces huge
complexities due to the cost of the one-on-one coaching assignments.
Most of these students want to work in smaller groups so that the cost of
the assignments is significantly reduced. It can be said that a group of
three four people should be getting the services of this commercial
establishment (Patterson et al. 2016). The revision of the financial
structure of this commercial establishment can also be very much useful
to attract the potential consumers of this commercial establishment
(Marsick and Watkins 2015). The address of this issue can be very much
useful for this commercial establishment as it can help to attract most of
the corporate clients who can help this organization to grow on a wider
scale. The most significant issue of this problem is that this organization
is losing all the employees which are given by the corporate clients of

this commercial establishments.
The prime challenge of the coaching specialist of this commercial
establishment is to revise the financial structure of this commercial
establishment which can help this organization to attract more potential
clients as many of them are opting out of this organization as there are
no group schemes available in this commercial establishment
Service problem Communication problem between the internal along with the external
stakeholders of this commercial establishment is the other significant
issues which are increasingly faced by the coaching specialist of this
commercial establishment.
The set of the assignment are sometimes urgently needed by the
consumers of this commercial establishment which cannot be provided
by this organization is the significant issues of this commercial
establishment.
The training and the mentoring materials are sometimes urgently needed
by the consumers of this organization, these services are not generally
provided by this organization, as a result, they are losing numerous
existing as well as potential clients (Long 2018). The order of service
which is provided by this organization should be altered so that this
problem is addressed.
Payment problem of
the book keepers
Payment issue is one of the other significant problems for this
commercial establishment. This problem states that when the
bookkeeper of this establishment matches the payments coming from the

clients of this establishment with the invoices of the coach of this
organization. The identification of the exact different in payments is a
significant problem for the bookkeeper of this commercial
establishment.

Scope and System Requirements:
Description of Proposed System:
The proposed system will be very much useful for this commercial establishment to
identify the ways to address the identified problems. The issue of the static financial structure of
this organisational has to be solved by matching the expectation of the consumers of this
establishment with the availability of the data, training and mentoring materials (Lessard, Recht
and Packard 2016). Each of the expectation of the consumers of this establishment must be
aligning with the availability of the resources (Kriz and Manahl 2016). The new system must be
matching with the availability of the staffs and subjects. The new system should be taking the
concept of optimal capital structure so that the existing financial structure of this establishment is
revised as it would help to address the issue of static financial structure. The incorporation of the
pecking order theory can be very much important to address this issue as well.
The expectations of the clients will be followed in the new system which can be very
much beneficial to address the service issue of this organization. Most of the urgent services of
this organization can be successfully address using the time management skills of the new

6SYSTEM ANALYSIS AND DESIGN
system (Gräßler, Taplick and Yang 2016). Engage of the consumers has to be increased using the
new system as well as it can help the coaching specialist of this organization to understand the
exact provision required to provide urgent services to the consumers of this establishment.
The new system will have global payment gateways which can be very much useful to
address the payment issue of this commercial establishment, the different between the payments
of the consumers with the invoices of the each managed using the advanced features provided by
this global payment gateway.
Objectives of the new system:
The prime objective of this proposed system is to resolve the issue of the static financial
structure of this commercial establishment by understanding the needs and requirements of the
existing customers and understanding the availability of the resources which are required by the
consumers of this commercial establishment. The new system will aim to re-structure the
financial structure using the global optimal structure and incorporation of the pecking order. The
new system will be suing the time management skills and understand the requirements of the
clients in order to address the issue of service problem (Gómez Puente, van Eijck and Jochems
2015). The new system will also aim to resolve the payment issue using the global payment
gateways such as PayPal.
System Constraint:
The new system might have some constraints as well, which are listed below:
i. Freezing of account can be one of the most significant concern of the new system.
ii. The changing needs and requirements of the client scan be the other constraint for
this new system.

Requirement gathering techniques to gather system requirements
The techniques which will be considered for gather system requirements are as
followings:
Survey: Questionnaire survey can be very much useful to understand both the functional
as well as the non-functional requirements of this new system (Balanis 2016). The budget as well
as the time constraints regarding the creation of the new system can also be identified using the
survey.
Prototyping: Feedback from the consumers of similar organization may also be very
much useful to identify the exact system requirement. The design requirements of the new
system can be done using the prototype (Cushion and Townsend 2018). User Interfaces and the
backend functionalities of the new system can also be identified using the prototype.
Interview: Interviews from users and stakeholder of similar organization can be very
much useful to understand and identify the system requirements (Dennis and Wixom 2018).
Perspectives of each of the existing clients of this organization can be understood using a
detailed interview from a person who knows the insights of similar systems.
Braining storming: Information can be gathered from a group of people with this
technique, solution of most of the identified problems can be done using this technique. Huge
number of ideas can also be identified during the brain storming procedure.

System Requirements:
Functional Requirements:
Assignment creation: In this process the client drops a request to book an appointment
with a coaching specialist. After that the receptionist creates a requirement file and forwards that
to a client relational officer.
Coaching specialist allocation: After the request is forwarded to the client relational
officer, the officer identifies a coaching specialist and checks for the availability. After the
officer is sure of the availability of the coaching specialist, the client is contacted and the
appointment gets fixed.
Payment: After an appointment is fixed the accountant creates the money receipt and is
delivered to the client.
Non-Functional Requirements:
Usability: The SGC system has a wide usability and a wide range of users like client,
receptionist, accountant, coaching specialist, client relation officer. Usability is basically
arranging the important functions of the system according to their priority. In the SGC system,
the most used function will be client query and the receptionist and the client relational officer
will play the major roles.
Reliability: The idea of reliability is that the users should have trust in the SGC system.
The main users in this system are the clients. It is very important to retain the information in the
system to implement a MTBF (mean time between failures) system.
Performance: The performance of the system is important to retain clients. A slow
response time should be fixed and it should be ensured that the system can handle the loads

during the peak seasons. SGC system are designed efficiently to handle these kind of load and
heavy traffic.
User Stories:
Stakeholder Interest:
Individual Client: The individual clients want to book an assignment for him/her. They
want the system to find best skilled coaches for them. They also want the system to understand
their reason for assignment booking.
Corporate clients: The corporate clients want the system to provide coaching to many
people. It want the system record the number of people coaching will be provided and the reason
of coaching.
Client Relations Officer: The Client Relations Officer wants the system to provide better
communication with both the client and coaches. They rely on the system for finding coaches
appropriate for assignments.
Coaching Specialist: The coaching specialist is dependent on the system to provide
information of the coaches. They wants the system to be accurate and fast.
Book Keeper: The accountant want the system to be specific about what services has
been provide to which client. The client may book more than one assignment at one time. The
system can understand and generate invoice as per the assignment.
User Story:
Individual Client: As an individual client I want the system to have an assignment
creation form so that I can provide all the details at one time.

10SYSTEM ANALYSIS AND DESIGN
Acceptance Criteria The system will have form that will get student email, coaching
requirement, dates of coaching, alternate dates and other details.
Corporate clients: As a corporate client I want the system to provide an option of video
coaching so that I can include as many people as required in training process.
Acceptance Criteria The system will allow real-time video conference option.
Client Relations Officer: As client relationship officer I want the system allow me
approve the assignment so that I can complete my job.
Acceptance Criteria I want to access the assignment details.
Coaching Specialist: As client relationship officer I want the system to provide me the
schedule of assignments and which coaches are available for coaching so that I can have
adequate data.
Acceptance Criteria The system will record the work of each coach.
Book Keeper: As an accountant I want the system to show me accurate details of services
provided to the client so that I can generate invoice with accurate data.
Acceptance Criteria The system will track services from beginning to end. The system
have an invoice generating feature.
Recommendations:
Solution: The in-house approach is suitable for long terms plans where organization
invest in system one time. However, the cost of one time investment is very high. The cloud
approach is suitable for small organizations where cost of system is calculated based on
resources used. The cloud has issues like security and control over system. The hybrid approach
Document Page
11SYSTEM ANALYSIS AND DESIGN
is good when organization wants sensitive data to reside within organization environment but
gives remote access to customer. The hybrid approach is best for SGC as it will provide both
security to data and system scalability.
Implementation of Solution: The organization will deploy a system in the cloud which
will be connected to the database installed in the organization premise. This way the organization
can implement a centralized database solution which will be connected to both in-house and
cloud system.
Methodology: Most suitable methodology for system development is the scrum. The
scrum will allow the organization to add new features into the project at any time. The time to
complete the project is also less than conventional approach.
Change Management: Proper training will be provided to each staff of the organization
so that they can use the system as soon as it is deployed. As the scrum methodology involves end
users for getting feedback, the staff will have idea about how to use system. In order to manage
technical changes, the organization will employ a system administrator.
Design Model: The structural analysis concentrates on the procedures and processes of
the system. The DFD, Flowcharts and many other models used in this approach are not quite
capable of capturing the complete dynamic behavior of the system. However, in terms of object
oriented analysis, the concentration is more on the real world objects and processes. The object
oriented analysis and modeling technique are one of the best approaches for capturing both the
structural and dynamic nature of system. That is why the object oriented approach can be the
most suitable option for modelling approach for SGC system developlemt.
