1. Summary
Eat organic food is an organic food producer and produces only organically certified food. It has
been started by Ian’s backyard. This business had uses unused land of their neighbour. Recently
they expanded their business for transforming their land into a vegetable garden with the
support of employee in several years. Now they produce a large variety of organic food with a
large volume to facilitate the highest number of customers. Because of a high number of
customer and an extensive amount of orders, management of orders and detail of customer
recording seems too difficult. Now they wanted a database system to handle their entire
business.

3. Area of organization
Ian grew organic food such as vegetable and supplies to the customer with the support of
enough strength of staff having traditional way without using any pesticides or fertilizers. There
are more than seven people who help Ian to grow organic food and managing the delivery
process. Similarly, there are more than five employees who help Ruth in managing the
customer relationship, calling and managing orders.
ACTIVITY 2
1. All the functions that the “Eat Organic Food” Information System might fulfil
Ian and Ruth look who ran a farm of organic vegetable looking for an information system and
named this “Eat Organic Food Information system”. They wanted a fully functional database
management system to manage their whole farm, including order, customer, production,
supplier and etc. The information system might fulfil the following requirement.
 Needed an automated system to manage production, selling and order management.
 The information system should have the capability to manage the order history.
 An efficient system to track the order through order date for the same customer.
 The system must capable to manage employee directory along with salary structure for
each month.
 The system has to be capable to track delivery along with the date
 It can also maintain expenditure for marketing and promotion
 Should be reliable to handle customer communication
 This system should be extendible enough and no data would be the same.
2. System Vision Document
Organic food farming ran by Ian and Ruth and wanted to have a new type of information
system to manage whole business activities. So as an analyst, it is required to develop a system
vision document for the Eat Organic Food system. Since the organic food and farming industry
of Ian is most promise fulfilment organization that innovatively produces organic food without

the use of any kind of pesticide. So Ian and Ruth want a system that could be efficient in
handling all business activity along with employee management. In order to make improvement
and further development for an information system itself and the entire organic food supply
chain. The system should have proven to be powerful and stable enough in bringing together
farming and customer handling. The system must be involved and can have management
power of finance, customer order detail, marketing and promotion and farming along with
order delivery. The organic farming information system should be able to improve sustainability
performance on the production side, critical management power and increase the number of
the client by providing the best customer service. The consumption of organic food for the
regular customer seems to be close because they become irritated as Ian wasn’t able to
manage them all. So the system could be able to manage the order of regular customer who
makes an order for the same organic food again and again.

After completion of meeting Ruth also clarifies about certification for organic food farming on
telephonic conversation and provides detail description about budget estimation for a new
information system. As an analyst after detail conversation, it is found that there some risk
associated with the project proposal because Ruth wants to document all process of order,
payment, deliveries and farm status in documentation work which means the complete flow of
information system. There are some risks also which can cause project failure:
i. Incomplete requirement-Since Ruth and Ian proposed a long scenario about their
requirement so addressing of all requirement is not an easy task. On the other hand,
they forget to include requirements like payment processing, mode of payment and
marketing platform integration. This incomplete requirement can cause project failure.

ii. Lack of technical support- In Eat organic farm, there is no one who has technical
expertise so it is a challenge to gather technical requirement for a new information
system, can compromises project.
iii. Lack of executive support- Not all executive is free who can provide their detail
requirement for new information system and go through without the support of an
executive can stop whole project development.
iv. Poor project planning- Since information system development for an organic task
requires step by step planning for effective development. If any of the steps will leave
on time of planning, then it is required to complete the whole process again.
v. Lack of required resources- Lack of required resources is another reason for project
failure. As it is important to have all required software or resource that is needed for the
development of the required system and if the system will develop through lack of
required resource, then this will no longer sustainable.
vi. Budget estimation- clear budget estimation should be done on an early stage. If the
budget increases during project development, then the project can fail.
vii. Security- Data security is most important for this type of information system, and if
project planning data leak then the whole project will compromise.
viii. Privacy- customer data is the most important asset and if the system didn’t have
enough privacy modules, then it can result in breaking customer trust.
ix. Availability- Since at the initial stage system is only available offline. So the problem for
the availability of an information system remains the same.
x. Update- Updating an offline system can loss whole data and result in the failure of the
entire project idea.
Cost-benefit Analysis
Cost-benefit analysis for the information system put a milestone for the project development
and on the basis of this analysis deliverable of the project is discussed. The cost-benefit data
has been obtained after analysis and shows the feasibility of information system. The result
shows that the project is highly feasible and it should be developed as soon as possible. The

data and provides an easy working environment. Development of an information system plays a
crucial role in an organization. It requires great consideration during planning by covering all
division of the organization and recording their requirements. A business document for such
type of bigger project is very important to develop the system effectively. This report must
consider time estimation and budget estimation for the project, act as a milestone. After detail
analysis it is found that the information system will be beneficial for Eat Organic Organization.
