INTRODUCTION
Project management is referred to as the concept which includes the managing an d
proper completion of the project which is undertaken by any of the company. The project
management is a practice of leading the whole team in the direction of attaining of a single or a
common goal or the aim and objective (Kerzner, 2017). This management of project generally
includes the five different stages that is project initiation, planning execution, control and closure
of the project. For the project to get successful the most important thing is the successful
attainment of all the different five stages mentioned above.
The current project related to Tesco which is the largest company within the retail
industry. The current project states that Tesco is planning to shift from the traditional cubicle
system of office to the modern open system of office. This is majorly because of the reason that
the latest trend is of using the open office pattern system and the whole project is directed
towards the attainment of this aim only.
MAIN BODY
Project Initiation
This is the stage wherein the idea of the project is initiated and the communicated with the other
interested people. This is the most crucial stage as here only the different aspect relating to the
project are discussed if the idea of project is being liked by others.
1.0 Introduction/ Background
The current project is relating to the company Tesco who wants to convert the
traditional cubicle space into an open plan office. The major reason behind the
execution of the project is that because of the cubicle system there was some
miscommunication. Also, there were many different issues and problems within the
employees and managers because of the cubicle system of working. Thus, because of
all these reason that project of open office was initiated. The major reason for
promoting the open office system is that this will improve the communication and also
the opportunity of flexible working will take place.
2.0 Project Aim
“To change the traditional cubicle system of working to the modern open plan office of
Tesco.”

2.0 Project Objective
The major objective of the project is to manage the proper communication
between the employees at the workplace which is hampered due to the
cubicle system of working.
Another major objective of the project is to decrease the cost of the
company which is high due to the use of cubicle system of working by
going for open plan office.
3.0 Stakeholder
Project manager- the project manager is the one which will assist the planning
and implementation of the whole project (Heagney, 2016). These are the people
who will guide all the employees and the workers that how they have to execute
the project of renovating the office to open plan office.
Shareholders- these are the people who have invested within the company and
the project. It is very essential for the company to manage the working and
effectiveness of the project. The money invested by the shareholder is only used
by the company in managing the project of making the open office plan.
Employees- these are the people who actually work on the completion of the
project. It is essential for the company to make the employees feel motivated
and energetic in managing the whole project and directing them towards the
attainment of the aim of project.
Local communities- this is the stakeholder which includes the local surrounding
the people who can be affected by the working of the project. This is majorly
because of the reason that when the project is executed then the people nearby
are also affected as this will impact the working of the nearby places as well.
4.0 Target Audience
The major target audience for the project of changing the cubicle system of
working into the open plan office is the people working within the company
Tesco (Elias, 2016). This is majorly because of the reason that if the ambiance
of the company and the working environment of the company will be upgraded
then the employees will feel good working there. Thus, this will increase the

morale of the people working within Tesco as this will increase the
environment and this soothing and calm environment will motivate the
employees to work with more capability and potential (Meredith, Mantel Jr and
Shafer, 2017).
5.0 Scope
The scope of the project is very high and for this the management of the
company is planning to execute the project in proper and effective manner.
Thus, this will project will ensure that the company is able to make the
environment of Tesco free from miscommunication and this will make sure that
employees are more comfortable within the open office set up. This project is
also wide in scope as this will influence other similar companies as well to
make the changes in the setup of open office plan.
6.0 Project Delivery
The project is delivered in the company only and the main deliverable of the
project is making up of the office structure in such a manner the cubicles are
demolished. In place of the cubicles the concept of open office will be
established. In this type of setup there will be no boundaries and the employees
will be able to manage the working in more proper and effective manner.
Alternative
The major alternative for Tesco in managing this type of project is to make sure
that till the time cubicle office pattern is converted in the open office the
employees are given a proper temporary working environment (Brown and
et.al., 2016).
Also, Tesco must ensure that all the resources required for the management of
this project are being placed at appropriate place and this will make sure that
the employees are comfortable within the new temporary place of work only till
the construction of the open office is done.
Project planning
This is the stage wherein the company will plan certain things which will be necessary for the
company to make the project successfully executed. Thus, this planning phase includes many
Document Page
different types of plan which the company has to make for the execution of the project in
successful manner.
Resources- this is the most essential thing which is necessary for project manager of Tesco to
decide for. This is majorly because of the reason that if the resources will not be arranged for in
proper manner then the company will not be able to manage the project in successful manner.
The major resources for this project completion are technology, human resource, labour, finance,
raw material for construction and many others (Kerzner, 2018).
Work breakdown structure- this is the diagrammatic presentation of the series of the stages
which are involved within the completion of the whole project. This is necessary because of the
reason that this divides all the stages in smaller parts and this will assist the company in
managing all the stages.
Financial plan- this is the most essential part of the management and planning of whole project.
This is certainly due to the fact that if the money will not be there then the project will not be
done in the required manner. The major requirement of finance for the project is $2 million.
Quality plan- the quality is also very essential for the company to manage in the project. This is
majorly because of the reason that when the company is trying to make changes in the
environment and structure of the business then it is very essential for Tesco to manage the
quality of the project (Eskerod and Larsen, 2018). Hence, for managing the quality of the project
Document Page
the technique of TQM that is total quality management will be used and this will make sure that
the work is done with high quality.
Risk plan- the risk is referred to as the uncertain event which may occur and may not and may
hamper the working of the whole project. This is majorly because of the reason that if the risk
will not be managed then the project will not be worked up easily (Raue and Klein, 2018). The
risk is of two main types that is internal and external risk. The internal risk involves the possible
negative impact from the employees along with the fact that cost may be increased. On the other
side the external risk is that the contractor could not finish the work on time. But all these risk
need to be mitigated and the most important thing is the market research and this will help the
company in assessing all the risk and the changes which are taking place within the company.
Project execution
After ever stage of the project is being planned the next stage is the execution of the project
which is planned and initiated in the beginning (Karuppiah, Marthandan and Shanmugam, 2018).
This includes different decision which the company and the project manager have to take in
order to complete and successfully finish the project. This includes the following different aspect
relating to the project-
Time- the time is the most important thing for the project to be completed in that duration only.
The start data of the project is 27/ 03/2020 and the end data is the 05/ 06/ 2020.

Change- there are many different changes taking place within the business environment and all
these changes need to be managed and implemented within the project. This is essential because
of the fact that when the business environment changes are taking place then the project also has
to undertake all these changes within the project (Paquin, Gauthier and Morin, 2016).
Issue- also, when two or more people work together then the company faces much different kind
of issues which will affect the working of the company over the project. In addition to this when
more people work together then there are many differences because of the perception and
thinking of the people working on the project. Thus, this need to be managed in proper and
effective manner.
Communication- this is the only and the most important thing for the successful execution of the
project. This is majorly because of the reason that if the communication will not be good then the
company will not be able to manage the working of project in proper and effective manner thus,
for this the most recommended measure of communication is the written communication. This is
a good source of communication as this help the project manager in keeping the record of all the
things which are being said during the project and it can be kept as a proof for future reference.
Project control
This is another major stage within the completion of the project and here all the different
stages of the project are checked that whether these have taken place in the intended manner or
not. Thus, for this the project manager has to make sure that all the planned activities are
measured and executed in the same and intended manner. In this stage the manager monitors and
keeps a check over all the different types of stages which are being followed for the completion
of the project. Thus, for this the most important tool for the controlling of the project is of setting
the standard (Xia and et.al., 2018). This is majorly because of the reason that these standards will
provide a direction to the employees that is in which manner they have to work. Thus, for this the
standard plays the role of the target which the employees working on the project have to attain in
proper and effective manner. Thus, this is a good method of controlling the activities of the
Document Page
project and tries to complete the project in successful manner (Parker, Kunde and Zeppetella,
2017).
Another major important tool for the controlling of the project is the hiring of the
supervision that will personally be responsible for the effective control for the whole project.
This supervision will be responsible for ensuring that whether the actual working of the project is
same with the planned performance or not. If these are not same then the company and the
supervisor had to find out different strategies which will assist the project to complete the project
in the planned manner only. Also, it is the duty of the supervisor to hire and recruit all the
capable and skilled employees for the completion of the project. This is essential due to the
reason that if the good employees will not be recruited then the company will not be able to
manage the project in good and effective manner.
Project closure
This is the last stage of the successful completion of the project of restructuring from the cubicle
pattern of office to the open plan office. In this stage the project has been completed in the same
and the intended manner which the project manager was requiring. In this stage the project has
been closed out as all the requirements and necessities of the project have been attained
(Karuppiah, Marthandan and Shanmugam, 2018). Also, the project has been accomplished in the
estimated time only and the project has been accomplished with the given required set of
resources only. Though the time and the resources were very less for the project but then also the
project manager tried their best and completed the whole project within the given time frame
only. Also, the resources were very limited and scarce but then also the manager of the project
managed to work in good way and complete the research in effective manner.
Also, the manager was able to construct the required type of open office plan instead of the
cubicle system of office. This was necessary as in accordance with the latest trend the most
important thing is the good working environment for the employees within the company. If his is
not provided to the employees then the employee’s will not work up to their fullest potential and
this will affect the working of the company and the project to a great extent. Thus, the whole
project was successful in attaining the aim of the project that is constructing the office pattern
which is open (Delerue and Sicotte, 2017). Also, in the end it was seen that the problems of
cubicle system was overcome within the project of using the open office pattern. This is majorly
due to the fact that in a open office pattern the communication is much clear and effective. Thus,

this has resulted in the successful completion of the project and all the aims and objectives of the
project are been attained in proper and effective manner.
CONCLUSION
In the end it is concluded and inferred that the management of the project is very essential for the
company. This is majorly because of the reason that when the project is managed then this will
include the use of all the stages of the project. This majorly includes the project initiation,
planning, execution, control and closure. Thus, for the success of the project the most important
thing is the fulfilment of all these stages in very effective and proper manner. Thus, the current
project was the up gradation of the cubicle system of office to the open office system. Thus, this
system was successful as all the different stages were able to attain what it was intended to attain.
