Introduction
The study of usage of systems for storage, retrieval as well as transmission of
information is referred to as information system. Enterprise communication denotes ways
through which interaction takes place within the organisation and comprises of web chats, video
conferencing, email and many other mediums (Abdullah and Hassanpour, 2020). This report is
based on TGVK Pty Ltd which is small firm and are specialised within formulation of
architectural drawings for construction organisations. This report will provide an overview of
problems that are being faced business, analysis of their requirements and objectives. Along with
this, ways of migration will be illustrated. Furthermore, hardware needed, budget for resolving
their problems will be mentioned.
Business Problem
While rendering services within the market, firms experience huge problems. With respect
to TGVK Pty Ltd is that the interaction which takes place in between their two offices is through
different internet accounts and phone accounts. Now as they have more demands for services
they need to have email in house with different email domains as it will be tome consuming to
deploy in suburbs. Along with this, as they need more employees, there have to be video
communication through which they can formulate plans and discuss their drawings. In addition
to this, they need to have voice mailboxes as, it can be time consuming to illustrate each aspect
by writing and then making use of other medium to explain this, instead a video mailbox will
serve the purpose.
Business requirements, objective, scope and opportunities
As per demands for their work, TGVK Pty Ltd needs to have their own email in-house to
ensure that there is not any kind of delay within their services. For this they need to have email
server within their working premises. They will have employees 6 in each office then this means
that they to have 12 systems in total but they already have 4 which means 8 systems are required
which are connected with internet. As they are making use of NBN which is high speed data plan
it will be enough. The objective is to expand their services across country to have impelling
profits. TGVK Pty Ltd have a good opportunity as both private as well as government agencies
are looking for services from them so it is necessary that they make investments to ensure that
requirements of their probable clients are accomplished adequately. By implementation of in

house email server the scope of firm will increase as they need not to pay to someone else for
services and can manage all by them.
Migration of existent mails into new system
Management of TGVK Pty Ltd needs to follow certain steps while migrating their emails
from one server to other or system. But here some requirements must be ensured that both of
systems support IMAP (Internet Message Access Protocol implies standard email protocol that is
liable for storing message on mail server as they were locally stored in other server or computing
system) (Logan, 2020). The password is required for email account which is to be migrated and
IMAP capable local email client. The steps are mentioned below:
 Here, same email account has to be created on new system which was on the old system
which means that if it was in capital then it should be same. This implies that it has to be
case sensitive.
 Same password must be given to new email account which was used within old system or
server. This can be changed once migration process has been completed if it is required.
 Within local email client, sign up for two email accounts. They will be created for same
email address and also same password must be utilised. Along with this, they have to be

AMD or Nvidia 3GB video card. Furthermore, email server is required with TCP/IP network
protocol installed within this along with intranet or internet interaction capabilities.
Autocad is a software which need high processing as well as storage space but if adequate
system or hardware is not available then it will be difficult for them to work as system can hang
and can heat up along with this there can be storage issues (Barker and Swart, 2020). For
resolving such kind of issues, an adequate solution is represented that is hardware specification
and it will enable TGVK Pty Ltd to have enhanced performance in terms of production of
architectural drawings.
Budget as well as coordination
As per the hardware specification illustrated above, the budget required for this will be
around $3250. Around $730 will be needed for having their own in-house email server. It
implies that overall budget needed for having better service is it will around $3980. This has to
ensure that all these requirements are coordinated.
Conclusion
Form the above mention it can be concluded that to ensure firm deliver adequate services
they need to identify problems faced by them in an affirmative manner so that appropriate
solution can be identified. Along with this, they need to have clear solution as when hardware is
installed and same problems occur then it will be wastage of budget.
