This report examines communication strategies and project management methodologies for a hypothetical trip to Uganda. 1. Introduction to communication
1.1 Definition
Communication is referred to as an act of sharing thoughts, information, feeling and ideas
with other (Pollard 2019). The different components associated to communication include a
sender, receiver and a communication channel. The processes of communication start with
ideation. Then the sender sends the message to the recipient through a communication channel.
As soon as the receiver receives the message the receivers decodes the message and tries to
understand the information send from the sender (Delerue and Sicotte 2017). Different types of
communication processes are there such as upward, downward, horizontal and open
communication. Based on the scenario the sender and the receiver decide which specific type of
communication is applicable (Kerzner 2019).
1.2 Importance of communication in projects
In project management communication plays a vital role in other words, communication
prcatices is referred to as one of the most essential and important knowledge area. The project
manager is responsible to make sure that all the involved parties in the project are sharing their
point of views and creative ideas with each other followed by effective communication channel
and style (McClure 2019). The role of communication in project is just unavoidable. During the
project progress stage if any issue is highlighted then in order to resolve that issue team
discussion is very essential (Yap and Skitmore 2020).
Therefore, it can be said that for discussion project related problems communication is
very important. Cultural barrier and misunderstanding can also be resolved effectively with the

help of communication. Communication is the only way to share information. Therefore, it is
very essential to use proper communication to share project related data with other via proper
communication. Communication gives transparency and helps to create believe and faith on each
other involved in a project. Proper communication makes every aspect of project clear and also
uncovers the hidden agendas (Takagi and Varajão 2019). A healthy and effective communication
motivate the project team members and also make sure that they are all contributing a lot as per
the assigned responsibilities. (Delerue and Sicotte 2017).
1.3 Verbal and non verbal communication mechanism
Verbal communication is referred to as an act used to share information with speech and
words. It can be said that any kind of conversation that uses the spoken words are verbal
communication. Verbal communication is defined as a very essential part of business and
industry. In organizations oral communication is widely used in staff meeting, official meetings,
training, personal discussion telephonic conversations and presentations (Gablas, Ruzicky and
Ondrouchova 2018) Verbal communication is important because it helps to maintain the business
relationships. Excellent business relationships can be successfully established if employees use
proper verbal communication to share their creative ideas and business information with each
other(Abney et al. 2017)
Nonverbal communication is basically the way people look, move, listen and react. In
other words, non verbal communication is basically a signal that shows clarity, trust. The
different types of non verbal communications are facial expression, gesture, body language,
posture etc (Jonker 2019). sometimes eye contact and facial expression of an employee’s makes
the project manager understand that he or she is not comfortable with the current situation.

1.4 Communication tool used for this purpose
A variety of communication tools are there applicable for the project “
trip to Uganda”.
The communication tools applicable for the project are email, telephones, web conferencing and
online collaboration (Joslin and Müller 2016). The stakeholders involved in the project are
project manager, managing director, operation director, students, marketing director, project
sponsor; the medical centre hotels transport companies, restaurants and insurance companies.
1.5 Explanation on how this communication style in applicable in “
trip to Uganda”
Each of the project stakeholders is important for the project. Therefore, there has to be
proper communication between all the stakeholders. The verbal communication is applicable for
the project to keep all the project stakeholders informed about its current status and progress of
as well. Verbal communication will give opportunity to all the project team members including
students to share their points of views and opinions with others. If any problem is occurred then
that can also be easily reduced and even resolved with proper verbal communication tools like
face to face meeting, emails, web conference etc.
The purpose of the trip is to make all the 30 students engaged with the academic program
and make them feel interested in sustainable business. The trip will be ethical and successful
completion of the trip will help to keep the students engaged with the course work. Verbal
communication is important for the project because it is time saving, cost saving, obtains
feedback or response very quickly. It will give clear understanding on new ideas. This style is
reliable for the students and stakeholders. Verbal communication is essential for the Trip to
Uganda Project because this style gives immediate action. Non verbal is equally essential to
understand the interest of the students in business prcatices and the detail course.

2. Methodology in project management
2.1 Introduction on Methodologies in project management
In order to achieve project goals and planned results within the pre defined project budget
and schedule. A project manager needs to use proper project management methodology to
prepare, plan and implement any project (Esteki, Gandomani and Farsani 2020). Different types
of project management methodologies are there such as agile Waterfall, Prince2, spiral etc
(Kononenko and Lutsenko 2017). In other words, project management methodology is defined as
a model used to employ project design, plan and implementation. The pros and cons of the
methodologies are elaborated in the below section and also a conclusive evidence is presented
which implies that in order to develop and implement the Trip to Uganda project, agile
methodology is best suited.
2.2 Waterfall
Definition
It is a sequential software development life cycle model that helps to divide a large
project into small segments (Rehacek 2017). In this model before completion of one stage the
very next stage cannot get started. In other words, there is no presence of activity over lapping.
(Joslin and Müller 2016).
Advantages
 The output of one phase act as the input to next phase
 Applicable for small projects
 Any changes can be incorporated during progress

Disadvantages
 It never allows revision and reflection
 High risks are associated
 Not applicable for complex and long term running projects
Real world example
Waterfall model is used to implement CRM, ERP system in organizations (Esteki,
Gandomani and Farsan 2020). From a KPMG survey it has been determined that in order to
develop the IT related projects the company has used Waterfall software development life cycle
model followed by requirement gathering, design, implementation, verification and maintenance.
Toyota used waterfall model for a software project (Andrei et al. 2019).
2.3 Agile
Definition
Agile project development method is referred to as a framework that is applicable for
software development project. However, in order to implement any other projects also Agile
development life cycle can also be used (Ajam 2018). This methodology is highly flexible and
beneficial for project development.
Advantages
 It reduced the rate of risks and uncertainty
 It gives creativity in projects
 Agile encourages frequent communication between the project manager and
project team associates

 It reduces the chances of rework (Gablas, Ruzicky and Ondrouchova2018)
Disadvantages
 The first attempt mostly goes wrong
 The end delivery is not at all predictable
 It needs high collaboration but mostly missed
 This development method is intensive for the project developers (McClure 2019)
Real world example
In order to implement machine learning method in the healthcare industry Agile is used.
IBM used agile method to design a software project (Jackson 2019)
2.4 Prince2
Definition
Prince2 project management method is a four stage integrated method that comprises
principles, themes, processes and project environment as well (Pace 2019)(10). This process base
method helps to organize the project activities.
Advantages
 This method gives predictable methods
 It utilizes best prcatices
 This is cost and time effective (Esteki, Gandomani & Farsani, 2020).
Disadvantages

 It needs experiences employees
 It has only 2 techniques and tools
 It needs senior management support (Pace 2019)
Real world example
Prince2 project management method is applicable in enterprise supply related projects
because its gives new business opportunities and commercial benefits as well. Many software
companies like IBM, TCS has adopted Prince2 project management methodology (Esteki,
Gandomani & Farsani, 2020).
Conclusive evidence
In order to implement the Trip to Uganda project among agile, prince2 and waterfall
project management methodologies, agile project management method is the most suitable one.
The agile PM method gives high production quality that helps to define and test integrated
project activities. It gives clear opportunity to the project team members to communicate with
each other. It allows the project team members to share information and give creative ideas with
each other. The project manager can control the project development activities and make sure
that the project will be accomplished within the given deadline and budget of $60,000. This
method is always very advantageous because it satisfies the project customers very easily.
Rather, it helps to reduce the rate of risks. In other words, if Prince2 PM Method is properly
applied then it would be able to meet the trip to Uganda project’s aim, goals and objectives. The
stakeholders will be satisfied and the quality of the project will meet the expected aspects.
