Dear Chris,
Hope you are doing well and regarding the voicemail I have got the urgent news
regarding the current executing project and have acknowledged the fact. This case is an
emergency case and we have to handle it carefully. I know that depending on the current
circumstances reviving back the obsolete storage tanks within that short amount of time is quite
difficult task. Though it is a difficult task it is never an impossible task. So, me and my teams
will be trying our best to the make the storage tanks functional within three weeks so that we will
be able to receive that four million litres of aviation fuel which has been rescheduled from
another shipment. To make the obsolete storage tanks functional within three weeks, currently I
am having a plan which I would like to discuss with you.
In this situation all of the available storage tanks are engaged and to arrange a backup we
need require about 12 weeks where we are having only 3 weeks left in our hand. So, plan for
arranging a backup is not viable for this project. Also, as per the message I have also
acknowledged that not extra budget can be allotted on this time so this option is also blocked for
us. Thus the only way which is currently left to make the project successful is altering the master
schedule of the project. The current schedule of the project requires more than 3 weeks to make
the storage tanks functional where we are having the deadline of 3 weeks max. Thus, in this case
we will finish the task that we were executing previously. Here if we work another five days then
will be able to complete our tasks for a single storage tank. In this way first storage tank will be
prepared for the operations and we will be having 6 days before our deadline reaches. This
happens as we were already running 10 days late for the project. In the six days it will be

impossible to ready the other tanks in the functional modes as it will require 4 days more to
complete the project. Thus, some alterations need to be made in the project and with that some
extra manpower is also required for completion of the project. Without some extra manpower
there is no way that we can complete this project. Here, first we will start repairing the storage
tanks in which the fault is detected during the onsite. To repair this storage tank we will be using
our maximum of manpower and in this way we will be able to complete the task within 6 days.
So, the first tank will become operational and we will be having 5 days left with the deadline. To
make the first storage tank functional we need absolute the five days and for these five days no
extra man power will be requiring. We need to just execute our normal schedule for making the
first tank functional and it will be completed within five days.
So, as you can see, from the above scenario we will be able to ready the storage tanks at
the day of deadline and in this way you will be able to receive those four millions litres of
aviation fuel. So, the project might be competed in this way, but there are two condition for
successful completion of this project. These conditions are that, first of all we need to alter the
master schedule of the project and with that we need to arrange some extra man power to
accelerate this project. No new workers will be hired for the extra man power as this will be
increasing the budget of the project. Rather than some overtime need to be done by the workers
and payment of this extra work will be paid to the workers later as an incentive. Thus, in this
way project can be completed successfully.
