The purpose of this memorandum is to present to you the concerns that the organization
has been facing lately, and some of the measures on how to tackle them by using the method of
virtual team. Not only we will be able to save cost to the company but also we will able to deal
with some of the current issues the company is facing.
As we are located in 4 different locations, first of all we are facing hindrance due to
language difficulties. Due to the fact, all of our 4 locations has employees of different culture and
communication style, it is difficult to get in contact with one another. This has created many
issues it the past however by creating a virtual team, we will be able to get in touch with one
another. As do not have face-to-face contact with the different branches, we are not able to
express the issues within the branches due to communication gap (Shimozono and Ito 2015).
However, by implying the method of virtual team, we can perform conference calls to get update
on the teams. As we know that face-to-face interactions are always better than sending an email
or a fax. Also in these four locations, we are having lots of unproductive meetings which are not
leading to a profitable solution just with the basis of numbers. With conference meeting, we will
be able to sort out this issue as well (Cannon et al. 2015). With the advantage of virtual team, the
employees can work from any place and would be available 24x7 based on their working hours,
this is one of the proposals I have for you.
Another advantage of virtual team is that we will have access to multiple markets across
the world. As per the current profit margin of our company is at a stagnant level. As per this
concern, we have come up with a new method to tackle the issue that is with the advantage of the
internet we will be able to use that to our full profit (Farris et al. 2014). As per our company’s
survey, we have located numerous sales people in multiple locations. If we were to recruit them,
they can work for our company and we will not have to go through the cost of opening an office
in a new location. Through this method, we can increase the workforce and even scale up or

down the sales team more easily. When dealing with short term issues, there are often deadline
related to sales matter (Kermani and Kleinrock 2014). However, with that in mind, the long-term
goals cannot be ignored. The job of the company is to provide data to consider quality and
integrity depending on the initiative that is built to govern, centralize and standardize the data.
Virtual teams would be efficient because it is not physically present, as it would ask real time
questions with which the participants can clear the confusion on the spot.
Another major point I would like to address to you is that the tools that is available today
can be used for various benefits of the company. It is known to most sectors that the
communications that would be required on a real time basis would make the company use
synchronized methods like voice chats. These tools help in creating a solution for the issues that
are dealt in asynchronous methods (Babelyuk et al. 2017). However to use the full advantage of
these benefits we will require a high-speed internet connection that would keep a track of all the
employees. This in turn will also help in determining the source of the mistake or problem that is
made during the real time-conversation. Due to the vast difference in time zone across these 4
different locations there is the gap of communication. At that moment, we will be able to
perform the analysis and using the methods effectively. The entire analysis would be difficult in
finding out the origin of the issues. However, it would stop the communication if the person is
not available or is absent. When we utilize time and effort with a co-located team that would
create a compelling business that would influence the entire business that would help the
objectives in hand, no matter if it is long or short term.
Therefore, from the above ideas I have presented to you, with the setback related to it. If
we were to bring in virtual teams in place, it would certainly benefit the company in a long term
as nowadays this is utilized in almost every business across the world and if we make the best
out of this method, I firmly believe that it would benefit us as well.
