Project plan
1.
Necessary assumptions about the business and articulate to incorporate “Voice Recognition”
technologies

Autopia Tours is a leading Australian tour business operating through Melbourne. The

organization has expanding the business and therefore, there is need of the voice recognition

technology to serve the customers. The organization is expecting to integrate the technology in

the business to ensure that the customers are more engaged in the business operations and the

overall satisfaction for the services is effective. It is also ensured that the customers have

wireless connectivity to connect their devices with the business from the local or remote access.

Therefore, the online system is required for the business which can be accessed through the

voice recognition to execute the desired commands.

2

Figure 1: Project management activities and processes
The organization has to consider the several necessary assumptions for the business project. The

requirement gathering and other phases of the projects are mainly concerned with the availability

and capabilities in the resources. The organization has to consider the following assumptions:

Cost
: Suppose that the organization has effective cost to initiate and complete the project. Also,
the cost is required to purchase and integrate the technology in the business system and make the

suitable changes in the business infrastructure. It is assumed that the organization has provided

the required amount of the capital to purchase and update the devices, infrastructure and other

3

things. Also, the cost for the human resources is effective (Kerzner and Kerzner, 2017). The
additional cost to manage the risks and threats in the project is also available. It is essential to

understand the availability of the cost for the project to understand the potential execution and

planning for the desired outcomes.

Skills and capabilities:
It is assumed that the organization has effective number skilled peoples
those can contribute for the information, design and implementation during the project. The

organization has capabilities in the resources to reduce the inclusion of the resources from

outside the project. The project has assumed that the skills are effective to execute the

requirements.

Stable plans:
It is also assumed that the project has stable requirements and plans so that there is
no need of the change management. The cost and efforts are also not included for the changes in

the practices. The technology available for the project is stable and not reconsidered to make the

changes. The project plan is stable for the activities and resources to ensure the smooth execution

(
Turner, 2014).
Critical paths:
The project has assumed that the risks and threats are identified in the initial stage
and there are no more critical paths. The critical paths for the cost management, timelines and

efforts are managed during the planning stage and there is no impact on the design phase to

achieve the stable execution of the business requirements (
Firouzi et al., 2013).
The integration of the voice recognition technology is assumed to integrate in the existing

systems and infrastructure so that the organization can less cost and changes in the business

practices. It is also ensured that agile methodology is used in the project management to engage

the required stakeholder and improve the quality and performance. The technology will be

accessible for the local and remote customers with proper integration of the wireless devices.

2. Expanding your ICT unit to incorporate “Voice Recognition” technologies

The organization can expand the unit to achieve the project management and outcomes in the

effective manner. The technology can be integrated in the systems through the skilled and

capable employees. The organization can expand the team in the following manner to achieve

the technological advancements in the systems:

Human resource planning: various enterprise environmental factors, process assets and
resource requirement can be used as the input for the planning. The organization can use the

position and chart descriptions to achieve the effective management of the human resources. The

planning phase can assign the roles and responsibilities to the resources whereas project charts

can be achieved with the effective performance. Staff can be managed for the contribution and

the design process (
Briscoe et al., 2012). The project can use the networking among the human
resource and use the organizational theories to motivate the resources and engage them in the

project work. The planning has to consider the skills and capabilities to support the project.

Acquire project team
: The organization can determine the resources for the availability and
ensure the assignment of the modules to them. The plan also can be updated to meet the current

requirements. Pre-assignments can be used to understand the skills and capabilities of the

resources to support the project whereas negotiation can be used to meet the employee demands

and expectations for the work and then engage them in the business process to integrate the

technological functions (
Todorović et al., 2015). The organization can use the negotiation on the
salary, working time and expected quality to ensure the desired outcomes. The acquisition tools

can be used to form the team through the acquisition of the skills and experience. It can help to

achieve the required resources on the specific task and improve the quality. Virtual teams can be

created and instructed to ensure the effective work execution.

Develop project team
: general management skills can be used to develop the team for the
project. The management skills can be used to engage members, provide communication and

increase the satisfaction. Training and team building tools can be used to develop the team for

the higher performance. Several ground rules can be created to control the resources whereas the

rules are also required to reduce the internal conflicts and improve the effective communication

and data sharing among the employees (
Kerth, 2013). Co-location can be used to acquire the
resources regardless of their locations to improve the cost effective project execution through the

arrangement of the resources. Recognition and rewards are useful to keep the resources engaged.

Manage project team
: observation and conservation are useful in the project ICT unit to
empower the integration of the voice recognition technology. The observation can improve the

performance and quality as the employees’ contribution can be verified for the integration.

5
Document Page
Appraisals and conflict management can improve the satisfaction of the resources. The log files
can be created and managed related to the project activities and outcomes to support the quality

requirements.

ICT unit of the organization can expand the contribution for effective technological features. For

example, some of the resources can be assigned and trained to gather the data for the

technological implementation whereas some of the resources can be managed during the design

and implementation phase to achieve the desired outcomes (
Le Roy and Fernandez, 2015). ICT
unit can expand the operations according to the requirements of the activities within the project

to ensure the smooth execution.

3. Provide an initial estimated cost & resource structure with appropriate justifications

The organization has to estimate the cost and resources to complete the project. However, it is

required to ensure that the organization has high consideration of the capabilities to meet the

project scope. Notably, the project has scope to deliver the higher integration of the customers in

the business practices. Also, the organization can engage the local and remote customers with the

voice recognition systems.
The systems and software can be developed with the new features
and functions to support the competitive benefits for the organization (
Harrison and Lock, 2017).
Cost structure

Analogous cost
: The organization can use the previous project and works as the reference to
determine the cost of the project. It can help to determine the cost for the project to a high

precision. However, it uses the expert judgments and limited amount of the information to

understand the potential cost required for the project. However, the cost is required for the

information gathering and expert advice.

Determine resource cost rate
: The human resource is required to be analyzed for the potential
cost. The resources vary in the cost so that the organization can determine the cost on each

resource and understand the cost. However, the rates and pay modes can be negotiated to achieve

the desired outcomes (
Marchewka, 2014). The cost of the resources, contracts, standard policies
and escalation factors is required to consider. Cost is also required for the commercial database

systems and professional support.

6
Document Page
Bottom up estimation: The project can be completed with the use of the work breakdown
structure so that the project can be completed with the bottom up approach. For that, the cost can

be estimated for individual work package. The cost for the reporting and tracking purpose also

can be considered. Activity scheduling and accuracy management can be considered to estimate

the cost for the project.

Parametric estimation
: It is used to estimate the cost between the historical data and variables
for the project. For example, lines of code in the software development and rate paid to the

developer are required to consider determining the cost on the development. The parametric

costs have high dependency on the requirements of the activities during the project execution.

Project management software
: The organization has to pay for the software to manage the
project. Project software is used to provide the communication among the team members,

manage the quality and create the schedules and plans (
Nicholas and Steyn, 2017). The cost
might be one time cost for the project management software or it might be based on the

subscription.

Vendor big analysis
: It means to analyze the availability of the vendors for the project software
and services. The vendors and their proposals for the project management software and services

are required to analyze to select the vendor which can optimize the cost with same quality and

performance. The bid analysis also helps to choose the most suitable vendor for the execution

and outcomes.

Reserve analysis
: The cost for the continuance, risk avoidance and other activity is considered as
the reserve analysis related costs. Such cost is used only on the occurrence of the additional

activity in the project which was not included in the project plan. The cost is mainly required to

manage the changes, reserve the performance and accuracy (
Mir and Pinnington, 2014).
Resource structure

The organization can use the work breakdown structure in which the skills and capabilities of the

resources can be used to analyze the roles and responsibilities in the project. Also, the resources

can be structured in the modular format so that their dynamic skills and capabilities can be used

to achieve the desired outcomes (
Nicholas and Steyn, 2017). The resources can be defined on the
several roles and responsibilities. Therefore, the resources are structured into the manageable

teams whereas they are trained and rewarded for the services and contribution.

Justification

Therefore, the organization has need of the large amount of the cost to pay for the services. The

integration of the features and function related to the voice recognition. The organization can

divide the cost factors and map the resources more effectively to achieve the desired functions.

The project can use the resources also more effectively in the distributed and dynamic manner to

improve the contribution for the performance and quality. On each activity, the cost and

resources can be mapped to improve the performance.

milestones are required to ensure that the organization has effective benefits and outcomes with
the project. The milestone for the implementation phase is 20 days including. The project is

expected to complete according to the milestones so that the delays can be avoided and risks can

be managed. The project milestones are required to achieve the performance and quality

(
Nicholas and Steyn, 2017).
Slack

The project also has some slacks those can reduce the performance and delay the outcomes. For

example, the designing phase has slack of 2 days as the activities are not completed within the

time. Also, implementation has slack as the time is required to complete the activities. However,

the more slacks can be avoided to draw the impact on the business as the slack are negotiated

with the other activities of the project.

5. Provide a complete project plan (PERT & Gantt chart)

The project can use the project evaluation and review technique to analyze the project outcomes

and meet the requirements. The voice recognition technology has supported the business for the

higher engagement of the customers. Also, wireless connectivity is provided to the customers to

operate from the local and remote systems. The organization can use PERT tool to plan and

manage the project. For that the activities of the project can be managed for the cost and time

required. Map can be created through the linking of the activities so that the organization can

understand the project cost for the activities (
Trietsch and Baker, 2012). The PERT is used to
understand the critical paths in the project those can impact the project for the execution. The

risks and issues are avoided in the project with PERT technique. The project plan has used of the

management technique to meet the performance and quality goals. The activities can be

optimized for the performance and quality.

Gantt chart is also used in the project in which activities are mapped to the time line and roles

and responsibilities of the resources. The organization has use of the Gantt chart so that the

activities can be monitored effectively for the time. If the activity is not completed within time,

then it will impact the next activities in the project execution. The organization can use the

project Gantt chart so that the activities can be managed with high liability of the resources. The

tool is used to support the project plan (
Hulett, 2016). The planning has used chart with high

accuracy and consistency and it is updated on demand to meet the smooth execution. Also, the
changes are mapped to ensure the desired outcomes.

The integration of the voice recognition technique has used project management tools and

techniques. For example, the technological implementation has used PERT to create the map of

the activities and their cost and time so that the potential path for the completion can be

considered. Also, Gantt chart has helped the business to map the resources to the activities and

reduce the chunks of delays in the project for high quality execution.

Project description
1. Cost benefits analysis

Cost system plays an efficient role in the project management information system. It is necessary

to estimated and identified the problems properly. In the project management the costs are vary

by the various types of the distinct elements. It gives benefits in the project management that are

grouped in various sections which are based by the several advantages. The cost benefits in the

project management includes the cost avoidance benefits, improved information system, cost

saving benefits, improved service level benefits. In the information system the major concerns of

the manager is in the private and public organization that are using the computers in their project

management (
Lanfranchi et al., 2014).
The cost saving benefits in the project management leads to the reduction in the operational and

administrative costs. It supports in the administrative activities that reduce in the size which is

the example of the cost saving benefits whereas, the cost avoidance benefits helps in eliminating

the future operational and administration costs. In the cost avoidance there is no need to

recommend the additional staffs in the future. The improved service level benefits the system

performance that are based on the computer methods whereas the improved information benefits

is help in taking the proper decision making process.

The cost system is associated in the information system that is outlays, expenses or arising from

the losses. There are several advantages for using the system that are intangible or tangible

benefits and costs, indirect or direct benefits and costs, variable or fixed benefits and costs. The

main issue occurs in the organization is during the evaluation of the benefits.
The cost-benefit in
the project management provided the planning tools to the organization that are assisted for the

successful implementation in the management information system (
Joseph et al., 2014).

Non-technical board members

The external or independent director is the member of the board director in the organization who

is not a part of the executive management team. The non technical members serve on the

committees and provide the independent oversight that are concerned to pay to the executive

member of the organization and the other manager which they usually pay for their service. They

are not affiliated with the director or the employees. They are only differentiated from the inside

director that are the board member and served to the organization executive manager. All the

directors are capable for seeing the organization issue in the broad perspective. The non

technical members in the information system are chosen usually by their initiative and

independence purpose that are based on their personal qualities.

The non executive director are appointed to take the interview of the board member that includes

the impartiality, independence, special knowledge, wide experience and the personal qualities.

The key responsibilities to select the board members by the non executive directors that include

2. Set of the recommendations for the project management

The information system project management is done by proper planning, managing and

organizing to accomplish the project successfully through putting the efforts by the organization.

It is one time activities which generate the suitable input or output in the organization. The

management includes the developing of the project plan that involves the confirming and

defining the objectives, scope and goals of the project. The project management is achieved by

the quantitative resources, identifying the task, determining the timelines and the budgets for the

completion of the project. In the project management there is a major stage which leads in the

success such as planning, feasibility, evaluation, implementation and realization (
Kerzner, 2017).
The sets of the recommendation that are used in the project management are as follows:

Understand the Timeline:
It planned the proper scheduling of the project when to implement
and evaluate the project which helps to the organization to achieve the desired goals and

objectives. By understanding the proper timeline it gives the flexibility to the organization that

what time period they required for the completion of the projects because the deadlines of any

projects are usually fixed in the organization.

Determining available resources:
It is necessary to determine the available equipments, people
and money which are used to achieve in the project management. It is important to engage and

identify the other stakeholders. It is essential to identify the working group, plan of

communication and plan of the evaluation in the project management (
Turner, 2014).
Project team assembling:
For the effective project management it is necessary to assemble the
group of the team members together and further start the planning of the project. The project

team members are technically experts and their supervisor are assigned them to work in the

project.

Develop a Preliminary Plan:
It is important to assemble all the steps into the plan. To do it
effectively it is necessary to use the precedence table that are used to identify the resources,

techniques and tools which are used in the project management.

14
Document Page
Work detail: The detail work of any project is a major component to create and complete of the
project. The organization requires qualified employees, team members, managers in their

project. It is necessary to understand the cost limitation, selection and options that are supported

for achieving the scope of the project.

Decision making:
To take the appropriate decision making process in the project it is necessary
for the organization to planned and determine about the machines, men and methods that are

used in every part and each step of the project.
The project manager’s in the organization that are
used to publish
the administrative procedure manually which are establishing to coordinate the
actions in many area (
Romiszowski, 2016).
Communication tools:
The project management have to use the effective way of communication
that are used to establish the revised and original ideas for the project construction. The

communication tools include the sequencing of the work time and help in identifying the cost

time trades or strategy priorities. It helps in establishing the construction of the equipment,

money and manpower in the project.

15

3. Implementation plan detailing time, cost and resource schedules
Project management plan is the process to achieve the desired goal and objectives. It involves in

the maintenance and creation of the plan to require the conceptual skills. In the organization the

planning become the management process for determining the missions and desired goals in the

future to achieve the business targets. The manager develops the plans in the step to meet with

the goals such as the marketing plan or business plan (
Marchewka, 2014).
The major characteristics of the project management plan in the organization include the proper

planning to reduce the risks. It also increases in the efficiency and utilize in available resources

and time with the maximum efficiency. The planning process includes the choosing of the

destination, deciding with the specific course and evaluating with the alternatives routes.

Time structure:
The time schedule is essential to plan and organize the project plan of the
activities effectively. The appropriate time management helps in increasing the productivity and

effectiveness in the project. The key aspect in the project management involves the skills that are

proper setting of the goals, prioritizing and planning which leads in the better performance of the

project. There are below some methods that effectively use the time structure in the project

management.

Avoid distractions:
Nowadays the worlds offer many distractions like instant message, emails,
funny videos and many more. It is essential to eliminate the distraction so that it helps the

member to focus on the work and perform the tasks effectively.

Task priorities and list:
An appropriate planning is the key aspect of the project management to
complete all the project tasks on time. It is done by task list or to do methods. And then it is

necessary to prioritize the tasks because all of the tasks are different with each other. It is

important to implement the different methods in the project that help in identifying the time

duration for completing of the tasks (Harrison and Lock, 2017).

Track and estimate time accurately:
When the task are prioritize and identifying effectively then
it is essential to estimate the time accurately. It is important to estimate the other factors and all

the constraint effectively. M
ostly the time of the things is not ruin sometimes as planned, so it
includes the buffer times to unforeseen the events in the project schedule

Create a schedule: The Gantt charts consider in the project management which help in assigning
the resources and schedule activities. It adds the critical path in complex projects to visualize the

tasks that is important for the completion of the project.

Cost structure:
It is necessary to identify the cost structure effectively through the proper team
management, negotiation, risk management, personal organization, leadership and

communication. To lead in the success the budget planning is necessary for the completion of the

projects. Controlling and developing the project budget which accomplish the objectives that is

used in the management skills of the project. To estimate the cost process, each activity is

determined in the cost, cost of the equipments, cost of the human hours, cost of the materials and

contingency cost (Nicholas and Steyn, 2017).

The four tools that are used to estimate the cost in the project management that are the three

point estimation, analogous estimation, bottom up estimation and parametric estimation.

Three point estimation:
The techniques are used in reducing the uncertainties and biases in
estimation of the assumptions in the project management plan. The three point estimation and

their average are determined to reduce the bias, uncertainties and risks.

Bottom up estimation:
This technique is used for the estimation of the cost that are more time
consuming, costly techniques and accuracy in the project.

Parametric Estimating:
This technique is used for the historical purpose of the data for
estimation of the project cost and sometimes the statistical data is also used. It takes the variable

data from the similar projects that are applied on the present projects.

Analogous Estimating:
It estimated the costs of the project by having the little details on the
project. So, it does not provide the reliable estimation. The benefits of the techniques are help in

identifying its quick results and lower the cost.

Resource structure:
The resource structure in the project management plan is effective and
efficient for the development of the organizational resources whenever they want. In the project

management such resources includes is the human skills, financial resources, production

resources, information technology and inventory. For the development of the resources the use

17
Document Page
of the project management, techniques and processes are the best approach. The goals of this
tool ensure that to provide the specific skills to the employees of the organization for the project.

Also, they have to decide the skills sets and number of the new employees in the organization

and allocate the various workforces in the various projects. There are several factors for the

production in the project management is labor, capital, land and entrepreneurship (
Fleming and
Koppelman, 2016).

There are three type of the resources used in the project management that are the capital, human

and natural resources.

Natural resources: The development in the project management is the proper used of the natural

resources that help to cover the major components that were addresses to perform the tasks

effectively through institutional aspect and specific technical aspects of the environment.

Human resources:
The human capitals are refers to the people who are working in the project
that are used to make the various workforces of the organization. It also helps in the economy

and the business sectors which the projects are using. Human resources means the work of the

people who are engaged in the project activities.

Capital resources:
It refers to the proper use of the capital resources in the project. The use of
the allocated resources leads the projects to reach with the goals and objectives in the

organization. It results is efficient when the financial resources are used by keeping the set of the

budgets in any project. The basic categories of the capital resources are the equipments, tools,

machinery and building which are used for the completion of the project.

4. Provide a comprehensive post-implementation plan
The post- implementation plan is conducted during the completion of the project. The purpose of

the plan is to evaluate effectively so that it easy to meet with the project objectives. It also helps

in determining how the project was running effectively, to learn the lessons for future and help in

ensuring the project benefits in the organization. After completion of the project it is used to

establish the new qualitative management process in the organization it is necessary to achieve

the set of plans. This leads in the success of the project.

The post implementation process is recognized that how much time is spent on the project that is

the smaller part of the ongoing timeline. The organization and people who will be work on the

same projects in future, it helps in learning from the project so that it is easy to avoid the

mistakes in the future projects. For the project benefits in the organization it is necessary to

ensure the desired benefits which has been realized by the managers and also help in

understanding the additional benefits that can be achieved in the future
(Kelly et al., 2017).
There are several ways to conduct the information that determine the work on the project. Some

of the examples are explained below:

Gap analysis:
The gap analysis helps in assessing the different plans from actual applications
that is considered as a powerful tool in the project management. It helps to start the project

charter and help to reach with the objectives.

Project goals:
The project objective and goals is refers to achieve the desired outcomes and
performance at the specific end of the date and time. It also ensures the employees to work with

the allocated amount of the resources in the project.

Stakeholders:
The project stakeholders are referring to the organization, individual or a group
who are affected by the activity, outcomes and decisions of the projects. They are the entities

who show their interest on the given project. The project stakeholders are may be outside or

inside of an organization that sponsored the project.

Benefits:
The organization is mainly focus on the desired outputs from the project. The project
benefits are targeted on the basis of the review and performance in the end by the project team

members. To achieve the benefits in the work it is necessary to do proper estimation of the cost,
risk level and time duration of the current project (Li et al., 2017).

Cost:
The project cost is the methods to adopt the technology and use it effectively which is
essential to measure the productivity and cost of the entire project. The project management

helps in identifying the cost, field data collections, accounting, scheduling and design.

Lessons:
The project lessons are depending on the project success that is largely depending on
the strength and skills of the team member who all are involved in the project. So, the project

requires the talented and dedicated sets of the individual who all are working to achieve the

common goals.

5. Recommendation
The following are some of the new process who strongly supports an idea of the project which is

going to be implemented. Together, they also provide the several elements in the project

management process.

Strategic Direction:
They are intended for getting ensured that the wide-department
