Introduction
Victoria University Information System Consulting has undertaken a contract of
implementation of SAP S/4HANA for SAP Business All-in-one. The plan that would be
followed by the VUISC team in delivering a completed project to Yes Chemist is documented
in the report. The project plan will provide a detailed idea of the works that are needed to be
executed as a part of deployment of SAP in Yes chemist. In this project plan, at first, the
scope of the project is identified to understand the major deliverables and the constraints of
the project. Identification of the project scope helps in critical evaluation of the major project
needs and the specification of the project. The project plan further involves preparation of
the business case, which helps in effective identification of business need in execution and
implementation of the project. The business case section further identifies certain dis-
benefits of the project. The plan, provides an idea of the scheduling needs and the prepares
a feasible schedule for the project. The budget and the resources needed to complete the
project in a successful manner, is identified as well. At the end, the project plan provides an
idea of the communication process to be followed and the major risks linked with the
execution of a project.
Project scope
This section of the project plan will be identifying the aim and the objective behind execution
of a project in a successful manner.
Aim: The aim of the project is to reduce or eliminate the major operational issues to which
the organization Yes chemist is exposed to. This can be achieved by updating the existing
information system of the organization and therefore this idea of deployment of SAP in Yes
Chemist is proposed.
Objectives: The objectives that are linked with deployment of SAP in yes chemist is
indicated as follows-
To look for the existing operational weakness within the organization
To identify the process by which the operational weakness can be addressed
To understand the need of deployment of SAP within the organization
To identify the benefits of the new of system to be implemented
To reduce the operational weakness of the organization by training the staffs
regarding use of the new system to be deployed
The main deliverables and the acceptance criteria of the major benefits of the project is
indicated in the table below-
Deliverables Quality Standard
The Equipment infrastructure will be
prepared for execution of the project
The entire deliverable should not take more
than 15 days for completion
The existing data is to be converted to
ensure easier data incorporation in the new
system
In this process, the legacy data structure is
to be followed

Testing and Integration The testing and integration should follow a
planned approach
Providing Users’ training The users training is to be provided by
VUISC
Documentation All the steps of the project should be
correctly documented
While identifying the major deliverables of the project, certain key project assumptions are
made.
Assumptions:
1. There will be no issues in securing the funds for the project.
2. The resources that will be needed for execution of the project will be readily available
during project execution
Constraints
1. The maintenance will be limited to 2 weeks
2. The entire project will be executed by VUISC
Business case
A SAP system will be deployed in Yes Chemist as it is linked with reduction of the
operational issues within the organization. It is necessary to address the actual need of
deployment of SAP within the organization. The SAP HANA will be implemented for
management of legacy accounting, HR and the inventory management system of the
organization. The project is justified as it will not only help in reducing the operational
weakness, but also will help the organization in saving cost of implementing the project. The
project plan identifies the most critical benefits of the project.
Project Benefits Measures of the Benefits
The operations of the organization will be
significantly streamlined
There should be a good improvement of
operations within the organization (at least
20 % in 3 months)
The cost of management of all the
operations will be reduced and the new
system will reduce human errors
The organization should be able to cut the
operational cost by a significant amount (at
least 25% in 2 months)
The data of the organization will be
managed in an effective manner
No significant issues regarding data
management is faced within the
organization after deployment of the
system.

Although, the main benefits of the project could be identified, there are certain dis-benefits of
executing this project. The project plan identifies the most significant dis-benefit that is linked
with the execution of the project.
Dis-Benefits:
1. Although the system will prove to be a cost effective approach, the initial deployment cost
of the system is significantly high
2. The correct operation of the system is largely dependent on training the staffs regarding
the use of the same. An ineffective training can result in increase of the operational issues.
Project Schedule and Approach (Rollout strategy)
It is necessary to schedule the project as per the availability of the major resources of the
project. The project schedule is needed to be realistic to ascertain that a particular project
will be completed as per the plan. The Tasks and the deliverables considered for the project
along with the milestone of the project is indicated as follows-

Certain assumptions are considered in development of the schedule for this particular
project. Considering the assumption were necessary to develop a schedule as per the
available resources. The main assumptions linked with the execution of the project are
indicated as follows-
1. It is assumed that the demolition and preparation of the server room would take no more
than 15 days. If there is any discrepancy in this particular assumption, the entire schedule
might change
2. The cost of the resources are assumed to stay in a particular rate till the completion of the
project. No overtime payment to the staffs and the resources will be needed.
Resources
Success of any project is largely related to the resources considered for the project. In this
SAP deployment project, the majority of the resources that are considered involves the
resources from VUISC. Certain external staffs and contractors are chosen for the project as
well, who have provided the needed support in execution of the project. The resources
considered for successful completion of the SAP HANA deployment project in Yes Chemist
is indicated as follows-
Figure 3: Depicting the Resources Considered
The above figure indicates the most prominent resources linked with the execution and
completion of the project. As indicated previously, the majority of the staffs are resources of
VUISC. The human resources and the materials needed and their expected cost can be
identified form the above figure.

A resource overview report is generated from MS project which in indicated as follows-
Figure 4: The resources overview of the project
The figure above indicates the resources considered for effective implementation of the
project. The work hours dedicated to each resources are indicated in the above figure. It is
assumed that all the resources will be continuously available till the finish of the project.
Budget
An approximate budget for the project is set, which indicates the cost considerations of the
project that is to be executed. Setting up of a realistic budget for the project is needed to
ascertain that no financial issues arise or risk arise during the execution and implementation
of the project. The SAP deployment project is a complex project and therefore, the budget
set for the project is quite high. The cost considerations of the undertaken project is
represented as follows-
