Part 1: Determination of Project Requirements
Task 1
This particular report is related to development of a plan for implementation of IT
solutions in Western mining. In this section of the entire report, the major project requirements
are identified. The identification of the requirements of the project is related to understanding the
detailed specification of the client’s need. The detailed description of the client’s requirements
along with the questions that can be asked to the steering committee are indicated in the
following sections.
1.1.1. Detailed description of Clients’ Requirements
The Pacific IT solutions mainly works for installation and implementation of IT solutions
for the clients. Here, the client for the project is Western Mining. Western Mining has their head
office in Sydney. The client company is planning to open one branch office in Brisbane. The
project that is given to Pacific IT include setting up of a new network in the branch office in
Brisbane. However, to implement the project in a successful manner, it is quite essential for the
company to note the clients’ requirements in an accurate manner. The detailed description of the
clients are indicated in the following paragraph.
As per the requirement specified by the manger of Western Mining, although the branch
office will start off with a lesser number of staffs, the number of staffs are expected to increase
and therefore, network to be implemented should consider, providing services to a larger number
of staffs. As per the requirement specifications of the client, the network services should be
provisioned for 510 staffs.

As per the requirement of the client, the network for the branch office should be set up
for all four departments, which include the sales, operations, management and exploration. The
requirement of the client further indicates that a non cisco router will be installed in the head
office. As per the requirement of the client, the project is to be implemented in as much less i as
possible.
Specific Requirements: 1. The initial design specifications indicates that the client want to make
use of Cisco 2811 router and 2960 switches.
2. Remote Login is required for the switches and the routers in the head office.
3. Network monitoring systems are compulsory to set up after installation of the network

The questions that are needed to be asked to the steering committee regarding the
execution of the project are indicated as follows-
1. What is the anticipated completion time that can be allocated for the completion of the
project?
2. Is the building in which the project will be conducted is accessible for 24 hours a day?
3. What is the expected budget of the project?
The above three questions are needed to be asked to the steering committee that will
ascertain that the project is completed as per the requirements. Answer to these questions will
help in effective development of the project plan.

The work breakdown structure of the undertaken project are indicated in the following

The above figure illustrates the work breakdown structure that is being followed for
execution of the project. The project is subdivided into a number of subsections that ascertains
successful execution of the project. The work breakdown designed gives an idea of the tasks that
are needed to be executed for successful completion of the project. Each phase that is illustrated
in the figure above contains a number of subtasks as well. The figure further illustrates the link
between each tasks that are to be executed as per plan.

The involvement of the stakeholders in this project is represented in the following

The figure 2, distinguishes the stakeholders that are needed to be kept satisfied, managed
closely, monitored or kept informed. The matric indicates all the important stakeholders of the
project.
1.3.3. Data gathering Techniques

A project manager is required to develop a plan that ascertain that all the concerned
stakeholders remain engaged with the project. There can be a number of data gathering
techniques that can be used by the project manager to understand the involved persons and the
relationship of the stakeholder with the project. The methods of data collection are indicated as
follows-
1. One on One Interviews: Since the project manager had the detailed idea of all the
individuals linked with the project, it was not a difficulty to identify the stakeholders of the
project. The interest and the engagement of a particular stakeholders with the undertaken project,
can be analyzed with the data gathering method of one on one interview.
2. Focus Group Discussion: Another effective method of collection of data for this
project is focus group discussion. The focus group discussion generally involves gathering of
people from a similar background for discussing a specific topic. All the identified stakeholders
of the project can gather for a focus group discussion with the project manager. Therefore, opting
for this method of data collection is justified.
3. Collaborative Workshop: This is another effective method of data collection that can
be used for collection of the data related to the engagement of the stakeholders in a project.
Collaborative workshop is considered to be effective and it enables the manager to collect
information about the stakeholders of the project.
The above three techniques are considered to be effective for collection of data about the
stakeholders linked with the project. The manager could use any of the three or a combination of
the three methods to collect data about the stakeholders linked with the project.

Three Simple Network Management Protocol (SNMP) monitors that can be used by

1. PRTG network Monitor: PRTG can be used of monitoring the entire IT
infrastructure of an organization and supports all version of SNMP. Therefore, this particular
SNMP monitor can be used by Western Mining.
2. Cacti: Cacti is recommended as another SNMP monitor which could be used by
Western Mining to graph the network of Pacific IT solutions.
3. Horizon 24: Horizon 24 is recommended for western mining to be used as a SNMP
monitor for displaying the SNMP data. The Horizon 24 include 100 key updates along with the
streaming telemetry and network traffic.
Task 6
The characteristics of successful technical teams in a project are indicated as follows-
1. A Small Team: One of the most effective strategies of developing a successful team is
developing a small team based on the skills of the members and the scope of the project. Less
people in the team reduces the project risks
2. Complementary Skills: The competencies and the skills of the members ascertain
successful delivery of project requirements. A project team should have people with right
combination of the skill sets.
3. A common Purpose: All the members of a team should work for a specific purpose.
This is ideal for successful project completion.
4. Performance Goals: The project management team that is formed should have a
meaningful purpose for establishing an accurate project goals.

5. Approach: A team should be able to identify a correct approach for execution and
completion of an undertaken project work.

Task 4: Project Closure
The purpose of project closure report is to develop a document that can be used by the
senior management of both Pacific IT solutions and Western Mining to assess the success of the
project.
The goal of a project closure document is to review and validate the milestone and the
success of the project. Apart from that, the issues and the risks linked with the project is
highlighted in the closure.
2.4.1. Project Outcomes
The outcome of this network installation project is analyzed on basis of the success level,
the benefits obtained along with the fulfillment of the project objectives and goals. The outcome
of the project is indicated as follows-
1. Schedule and the budget performance is evaluated and is found to meet the success
criteria.
2. The milestone and the deliverables of the project are evaluated and it is found out that
the project is able to meet all the milestone and the deliverables.
3. It is evaluated that the risks are correctly managed, which ascertain project’s successful
delivery.

4. The development of the communication plan ascertained appropriate communication
among the team.
All in all, it can be concluded that the project’s outcome is positive.
2.4.2. Lesson Learned
Although the project is completed in a successful manner, there are certain stages of
lesson learned in project implementation phase. The lesson learned from this project are
indicated as follows-
Time: Every project should focus on time management. A project might face issues with
scheduling of the time allocated for the project is inappropriate.
Skills: The success of a project is largely dependent on the skills and competencies of the
project team and therefore, the team should be developed based on the competencies of the team.

Part 3: Question and Answer
Answer 1
The interviews related to the project requirement, risk and the assumptions linked with
the project should involve the following two types of questions-
Firstly, the interviews should be conducted in a group. The project manager should
interview about the project requirements and the actual specifications of the project along with
the specifications of the network to be installed.
Secondly, the interview to be conducted should involve the questions related to the
financial considerations in the project. The project manager should clarify the estimated budget
and the funding sources of the project.

Review of the Policy
The privacy policy of Western Mining is not appropriate as it has a number of
shortcomings. The privacy policy needs improvement in these areas-
