Dear Sir,
Having analyzed the existing scenario in the workplace, it is being found that there are
various shortcomings still exists which may cause safety issues for the employees. Thus, a few
changes and modifications are being recommended and implemented accordingly (Zanko and
Dawson 2012). As per your order, the housekeeping and ergonomics checklist is being fully
checked and necessary replacement is being made. First of all, the location of the first aid kit is
being strategically placed in the workplace. It is now more in numbers and is placed close to the
most accident prone areas. This will make sure effective and quick first aid treatment to the
injured (Council and Room 2012). The safety signs for the first aid kit will be now sports a red
cross with having fluorescent red color. This will help the employees in having the visibility
among other equipments. The sign will be back lighted due to the reason that it will enhance the
visibility during night.

Slippery floors are another area being identified for having most accidents. Thus, it is
being recommended that a bright yellow color will be used for a signatory, which will be placed
on the wet floor. Employees going through the area will be distracted by the object in the way
and visibility will be more for the bright colors. The fire extinguisher will also be placed in the
strategic location and the signatories for the direction of it will be spread around the workplace.
The signatories will be provided in every location ranging from the wash rooms to the
manufacturing unit in order to aware the employees about the placement of the fire extinguisher
at a regular basis. This signatory will also use bright fluorescent colors in order to increase the
visibility. The instruction for wearing the helmet before entering the warehouse will be placed in
the way of entering the warehouse. This signatory will use the bright yellow color which will
portray the high level of risk being involved in the warehouse.
Moreover the lifting procedure is being modified due to the reason that the existing
procedure is not up to the mark. It is been noticed that employees are causing suffering injuries
during the transportation of any heavy items (Stave 2016). Thus, according to the new
regulations, employees will be trained to aware them about the effective and perfect procedure to
lift any heavy goods. In addition, automated process for transporting and lifting goods such as
forklifts will be initiated in the workplace. Any types of unwarranted incidents will be
appropriately taken care of. As discussed earlier, first aid kit will be placed in various strategic
positions which will further enable swift action in case of any incidents. A doctor and an
ambulance will always be kept on backup in case of any emergency. It will help to transfer the
victim quickly to the hospital. The report will be noted and informed to the health and safety
department. The report will be made according to rules and regulations of the organizations

and safety act. The cost of the hospitalization in case of any workplace injuries will be borne by
the organization.
Employees will be further trained in effective evacuation in case of any emergency. Siren
will be implemented in the premises and mock drill will be conducted in order to aware the
employees about the steps to be followed after hearing the emergency siren (Lundgren and
McMakin 2013). Appropriate exit signs will be attached in every location in the premises in
order to direct the employees the way to evacuate. They will be trained about the aspects such as
they particular safe place where they will meet after the evacuation, avoiding the usage of
elevators and following the directions of the person responsible for the evacuation. The
supervisors will also be trained about the duties and responsibilities of them during the
evacuation process (Ronchi et al. 2013). They will be responsible to check the entire premises
after the evacuation in case any missing one. They will also look after directing the employees in
leading them to the safe assembly point. They will consult with the fire brigade to status of the
building and will only permit the employees to enter accordingly. Moreover, supervisors will
also be accounted for any missing employees after the evacuation process. They have report it to
the authority appropriately regarding the reason of not founding the particular employees. Thus,
it is being assumed that the above discussed procedures to be implemented in the organization

Dear Sir,
With reference to the unfortunate incident being occurred with Mr. Ronald Smith, it is
being evaluated that he suffered a minor cut in his thump due to the reason that the cutter does
not have the cover in its blade (Stave 2016). Having evaluated the existing workplace situation in
the organization, it is been noted there are various areas being identified for improvement
regarding the safety of the employees. There are three key hazards being identified in the
organization. One is chemical hazard which may cause due to toxic chemicals being used in
polishing the finished products. The chemicals are kept and stored in the passage. Few jars are
also being kept having their cap opened. Thus, any accidental usage by the employees may cause
them injuries. Another mechanical hazard being identified in the workplace is regarding the
lifting of the heavy items by the employees. It is being seen that due to the absence of lifting
machinery, employees are forced to manually lift and transport the heavy items which may cause
their physical injuries. The physical hazard that has been identified is due to the poor and older

machinery which cause much more sound and vibration. This may cause hearing damage to the
employees.
The existing system for reporting the hazard is very complex and time consuming. This is
influencing the employees in not reporting the minor injuries being occurring on a daily basis.
Thus, necessary rectifications for enhancing the safety standard in the organization cannot be
implemented. The new procedure for reporting the hazard will be simpler and the person
responsible for the safety and health management will have his contact being accessible to all the
employees. The contact details for the HSR will be provided to all the employees and in case of
the emergency, employees can directly contact with him. According to the WHS legislations, the
PCBU is the person responsible for the undertaking of the business. He may be the CEO of the
organization. The implementation of the health and safety standard in the organization is mostly
influenced by him. He will be the sole responsible for the effective allocation of the resources for
enhancing the safety and health standard. Introduction of newer machinery and providing proper
training to the employees are being dependent on the approach being taken by the PCBU
(Enright 2014).
The officials being responsible for implementing the WHS responsibilities in the
organization will be the HSR and vice HSR. In addition, the HR department will also look after
the effective maintenance of the safety and health standard. The main responsibilities of the
concerned officials will be to report the incidents appropriately to the authority after being
consulted with the victim. Moreover, they will also look after the effective management of the
emergency situation in the organization. Initiation of minor changes in the organization in
respect to the enhancement of the safety standard will be done by them (Reiman and Pietikainen
2012). The employees have also some role in effective management of health and safety standard

it can be concluded that the newly proposed policies will help to enhance the health and safety
standard in the organization.
