Assessment Task 1 Instructions
Provide answers to all of the questions below:
1. Outline five basic rules for grammar that should be taken into account when developing written
documents at work.
The rule of grammar is necessary to construct word and provide correct communication. The
five important rule for grammar in order to develop documents at work are as follows:
Use of active voice- The active voice consist of subject or the doer of the action, then
the verb comes, then the object comes.
The formula is: subject + verb + object
Examples-
A man crossed river.
Use of conjunction- The idea behind the use of conjunction is that it adds two ideas
together with the use of some special words.
The formula is: Subject+ verb, +object, conjunction +Subject+ verb+ object.
The common words that come under conjunction are: and, or, so, for, yet, nor, but,
because, etc.
Examples-
She sings because it is her passion.
Use of comma- The connection of two ideas within a single sentence by this “ , “.
Example-
Mary walks her dog, while running.
Use of simple present tense- This is used to describe the habitual actions.
Example-
I go to church every Friday.
Use of semicolon- It is used when exact conjunction cannot be applied in a sentence.
Example-
Shawn’s dog is ferocious; it never stops barking.
2. Outline the minimum punctuation that should be included in a sentence to show how the
sentence must be read.
The punctuation are the symbols and signs that is used in a sentence so that the construction
allows the reader to understand the sentence better. The use of punctuation in a sentence
makes the meaning clear, easy to read and understand. The basic punctuation that is included
in a sentence are comma “ , “ , exclamation mark “!”, colon “ : “, full stop “ .” , question mark “?” ,
semi-colon “ ; “ , hyphen “ - “ , slash “ / “ , apostrophe “ ‘ “ , brackets “ () “ and quotation “ “ .
3. Give two situations when it is useful or necessary to include a comma.
The use of comma is necessary to use before coordinating conjunction that adds two
independent clauses together. The independent clause is a sentence that has its own subject
verb and can have a meaning of its own.
Example- “I went school” and “I saw a train”
I went school, and saw ac train.
The comma is used to separate items in a single sentence. Taking an example is I was going to
school with Jon, Mary, and Shawn. The last comma before and is sometimes used for reducing
the ambiguity of a sentence.

4. As a general rule, when should a semi-colon be used?
Semi-colon is considered to be weaker than a full stop and stronger than a comma. The full stop
indicate total stopping of sentence and comma is used for a pause, whereas, semi colon is used
for an in-between situation such as a super comma.
The rule to use a semi-colon is that it must be used to connect independent clause also shows
closer connection of two sentences. The general use of semi- colon is present when conjunction
is not used. When the second sentence is started with a conjunction, then it becomes
mandatory to use the semi-colon.
Some examples are- summer is my favourite season; but I get heat strokes.
I had a huge breakfast today; however I am hungry again.
5. Give three benefits of a plain English writing style in workplace documents.
The use of plain and simple English is expected as to reduce the waste of time in daily life as
well as in workplace. The benefits that the plain English has in the document of workplace are:
The information present in the documentation will be easier to understand for the other
employees in the workplace.
The use of plain and simple English in the documents convey the important information in
the shortest time possible.
The use of plain English helps in lowering the chance of misunderstanding the document.
Hence, explanation regarding some clarification of the document will become easier for the
person who prepared it.
6. Explain the difference between the active and passive voice giving at least one example of
when each should be used.
The active voice is the commonly used voice that reflects the actual action of the Subject. Its
formula is :
Subject + verb + object
Example- Jon collected books from school
I am going to the library.
The passive voice describes the happening of an action by the object of a particular sentence.
The formula is:
Object + verb + subject
Example- Books are collected by Jon from school.
Insects are caught by the lizard
The order of the words are different in both the voices keeping the meaning same.
7. Briefly describe each of the following: simple sentence, compound sentence, and complex
sentence. Provide an example of each.

8. Discuss in a sentence or two how audience, purpose, and method of communication influence
the tone of a document.
The three elements that influence the tone of any document is the purpose, audience and

by which the document is prepared. All the three elements help in structuring the document and
facilitate better communication.

using a particular style will help in quicker formatting of the document and less complex.
The three reasons are:
Uniform headings- It will ensure consistency and assign different headings as per the
requirement of the document.
Easy formatting- The creation of style at the beginning of the formation of the document
helps in modification of portions in smaller sections.
Smaller file size- The software for developing document reads the style of the document
first. It avoids to perform manual formatting hence saving the time as a whole.
10. Explain two style types in Word and their use.
There are several styles available in Word which makes the formatting of document easier.
However the two styles are:
List- This style is mainly used for representing information in the form of list. This style may
include indentation, numbers and bullets. This style is mainly used for showing the information
in a list format for better understanding.
Normal- The most commonly used style in preparing any document. It has simple fond of
letters, line spacing, bold of letters and italics. It can be modifies as per the requirement of the
user.
11. Describe two types of formatting that could be used to improve the appearance/readability of a
document.
The formatting of a document has a great impact on the appearance of prepared document. The
formatting is the basis of attracting the reader towards a particular document. The two types of
formatting that can be used to improve the appearance of a document are:
Tabular form- The information can be represented in a tabular form with several rows and
columns and appropriate heading for them. This makes the document clean and easy to
search for required information.
Paragraph with headings- The formatting of document as per different level of heading
makes it easier to classify paragraphs. It also helps in creating the table of content in just
one click.

The manual has been developed here for the staffs and authorities of the Grow Management
Consultants. The manual is an important part of the knowledge which is to be gained by all the staffs

of manual handling and risks factors involving manual handeling within the organization. The
importance of the planning and designing the manual at a workplace is to be understand and the
failure to develop an efficient manual for the company would be reduced with the effort put on the
