Task 2: Produce a notice of variation
a) Produce a notice of variation to the contract that covers an increase in ground
works costs. Jai estimates that excess spoil is to be removed which is over the
original bill of quantities – he estimates this to be an extra 1.5m³, at a rate of
$1150.00 per/m³. Jai needs to follow protocol and submit the variation notice.

Note: Try to keep your forms uniform to save you some work. Copy and paste

extensions of time for project variations to be completed. (Maximum 100
words)
Request for time extension
Since the extension of time for the completion of the project is an
official undertaking, (Porcar et al., 2018) I would write to client on an
official platform to put to his/her attention my request for the time
variance, stating reason for the need to have project duration
extended, siting relevant and concrete reasons for my request such
as delay in material delivery by supplier or eve unfavourable
weather conditions that might stall the construction process
I would then have a physical meeting with the client to discuss more
on the extension time limits and bind it as part of the agreement
documentations for the work process.
Letter for Time Extension
I would like to refer to the extension of time dated 25th September
2019 in accordance with section three of the agreement contract,
the extension(s) of the principal grant/s of time extension by 20
days. The contractual completion date was to be 4th October 2019
but allowing 60 more days the contractual completion dates will be
24th December 2019.

It is company’s objective to attain the maximum co-operation of all
contractors, workers and visitors who may be affected by the actives
under process to be free from safety risks at all time within the site. (Guo
& Yiu, 2015)
This is achieved by involving every stakeholder in the industry to take an
active role in ensuring that all employees are safe during discharge of
duties, this include having a functional first aid kit at the site to help in
case of minor accidents within the site. Ensuring that the site is by the
standards of health officers in terms of hygiene and what workers eat.
On safety of workers: The Company has to ensure that all employees
should have personal protective equipment (PPE) depending on what kind
of work they are involved in, (Yiu et al., 2019)
Machines should be maintained regularly to avoid break downs and health
complication to workers around the machine. Putting instruction labels on
every machine regarding their operation scheme and dangers associated
by using them (Guo & Yiu, 2015)
All safety policies to be displayed at site, placed at strategic position for
visibility, all workers and contractors to be provided with the copy of

As part of the quality checking process, describe how you would go about
making an insurance claim for loss or damage during the shed
construction process. (Maximum 100 words)
Insurance claim
Insurance is claimed after the occurrence of the risk that was covered by
the terms of contract. First I acknowledge the occurrence of the risk by
assessing the damaged equipment.
Then notify the insurance company through writing informing them of the
occurrence of accident or damage to machine or equipment.
After insurance firm has conducted assessment determining the net worth
of machine as at the time of accident, I prepare the insurance claim
requesting for compensation for the damaged items. (Maya, 2016)

To complete the shed project, you now need to look at possible defects in the
shed construction. Imagine the shed build is complete using the Fair Dinkum
Shed supplier information as the basis for materials etc used.
Through a quality check of the shed, you noted the roller door lock is faulty and
the spalling to the edge of the concrete needs repair. There are also another
three (3) faulty items.
a) Create a defects list that includes the two faulty items identified above
and an additional three items of your choice. (Five (5) items in total)
b) To rectify the defects, draft a site instruction (SI) to submit to the
suppliers/contractors for the shed. A duplicate copy will be sent to your
management at Sullivon Constructions for their records.

Handover process conducted on 2nd October 2019. At Fair Dinkum sites

Parties present. General manager Fair Dinkum Company, Project Manager
Sullivon Constructions, Site Manager, Officials from National Construction
Authorities and Two Witnesses
General inspection was carried out by all parties present around and
within the completed structure to ascertain the condition compliance with
the clients’ requirements and specifications.
Then followed by connection and commissioning of the completed
structure after Electrical authorities had completed inspection and tests on
installed electrical gadgets
Then client and contactor discuss to establish a defect liability as the
construction of the structure as per the specifications of the contract with
all the required access.
Issuance of all certificates licences and registration documents of the
building to the client officially in the presence of Authorities present.
These documents include O&M manual, Insurance policies, statutory
declaration, fire safety plan, occupancy permit, AS building drawings and
all appliance warrantees.
Finally handing over all the keys to all rooms of the completed structure to
Client by Project Manager and cutting of ribbon to symbolise handover. .
