Explanatory notes on the use of the Letter Templates
The letter template has been prepared to follow the guidelines of the organization. As it is, you only
need to fill in the sections that are indicated by brackets. For the recipients, a mail merge operation is
required; the details of the recipients are held in an excel sheet, so only one copy of the letter is
developed, but while printing out, the mail merge will take care of copies of the letter for all the
selected recipients.
The template contains a macro that automatically places current date. You will only replace the
sections indicated and sign off the letter. The mail merge function will fill in details relating to;
Customer details and address
Order details
Original delivery date
Expected delivery date
While using the template, apply the style guide formatting guidelines on fonts, color, log and language.
The letter should always be formal written in an apologetic tone. The resulting document should be
given an appropriate name to make it easy to trace and find a document.

The overall goal of the organization is to upgrade the skills of every team member to a level of an
operator. From the initial assessment of the members, major skills gaps existed for all members;
requiring each to undergo training on almost all the categories outlined. Sam and Kim were
particularly affected since they had some skills where they had not even begun leaning. For that
reason, the organization’s ability to modify and produce quality documents is greatly hampered.
