Case Study
Instructions to Student
These case studies are hypothetical situations which will not require you to have
access to a workplace, although your past and present workplace experiences may
help with the responses you provide. You will be expected to encounter similar
situations to these in future as you work in a project team environment.
In the real world you are likely to encounter the situation where you enter a
project, taking over from another project manager. The documentation that is
handed over to you is not necessarily up to scratch, and there could be serious
issues with the project. This assessment captures that real life scenario.
The case studies are the first part of dealing with “multiple complex projects”
required in all the units of this subject. The other assessment covering this
requirement is the practical assessment. When you have completed the case
studies you will be able to commence the practical assessment which covers the
generic skills needed to function as an effective project team member. This
assessment on the other hand covers the application of the underpinning
knowledge and background theory.

Though, we are expecting to obtain commercial revenue as soon as it will be
implemented but at the same time we are also expecting new contractors to be
procured. PMBOK project management methodology will be followed by the project

design processes
Information to students:
In this task you will demonstrate your skills and knowledge in being able to undertake
project planning and design processes.
2.1. Explain the purpose and importance of Work Breakdown Structure (WBS) when
managing a project?
In order to manage and implement any project the project manager should design and
develop a work break down structure at the very initiation phase of the project. It will help
the project manager to breakdown a large project into smaller segments. It is difficult for
the project manager to manage a complex and large project easily. Therefore, based on
the project complexity a large project needs to be subdivided into smaller activities. For
each of those activity resources are to be managed. It is their responsibility to accomplish
the assigned job roles within estimated budget and time. Apart from this, WBS visualizes
the entire project scope and shows all the project control points along with the
milestones.
2.2. Refer to your own project and develop a WBS to disaggregate your project objectives
into achievable project deliverables.

2.6. Refer to the project plan above and write a report on how you as the Project Manager
are going to establish designated mechanisms to monitor and control planned activity as
per the project plan. Include a diagram or flowchart in your report
Project monitoring and control are the two most important [phases of project development.
In these phases the actual progress of the project can be tracked by the project manager.
In other words, project monitoring s referred to as a process that helps to track all the
project relevant metrics. The project management metrics include the performance of the
project team members ad duration allotted for the project activities. Professional
identification on these aspects will deliberately deliver the corrective project outcomes. It
will also make sure that the project is within its budget, time and scope. In most cases it
happens that the actual project and the planned project outcome show different resultant.
In order to avoid the discriminated outcome from the planned project and actual project
the project manager needs to use monitor the project. It will oversee all project activities to
ensure that the project managers are implementing the project as per the preliminary
project plan.
With professional project tracking the current status of the project can also be visualized
and accordingly changes can again be brought. Before final implementation of the project
all the relevant data are to be collected by the project manager and project associates.
Based on the current status of the project the data needs to be gathered. Activities are
scheduled phases within a planned project that has a distinct beginning and end as well.
Any project activity is comprises of different tasks. Each of those tasks is to be completed
successfully so that it can meet the project objectives. Again, several numbers of tasks can
be all combined together to form the summary project activity. Based on complexity each
of the designated tasks has to be completed by the assigned project resource. On the other
hand, the initiation or end of any activity can also be measured with the help of the project
constraints or the dependencies among the project activities.
Whenever the project managers make important decision before the final verification of
data this approach stands very much helpful because the decisions are taken without any
evidence or small number of evidence. In order to avoid wastage of budget, time and
resources the monitoring is needful. The project monitoring outcome will give answer about
whether the project has been carried out as per the plan or not. It will help to resolve the

Project Closure and Post Implementation Report Template & Guide
Purpose
The Project Closure and Post Implementation Report (PCPIR) is presented to the Executive at
the end of the project and provides a final assessment of the project. In particular, the PCPIR
details the level of success of the project and if, and in what ways, the project has achieved
expected benefits following implementation.
The Report generally captures information obtained from a post implementation review
meeting held at the end of the project.
What should the Project Closure and Post Implementation Report cover?
The key areas that the PCPIR should cover are:
1. an end project report, covering achievement of project objectives, performance against
targets and tolerances, and effect of any changes on the project and project business
case
2. an outline of any post-project review processes to be adopted
3. follow-on actions
4. lessons learned.
5.
Key considerations in developing the Project Closure and Post Implementation Report

The Report must describe any abnormal situations which arose during the project,
together with their impact
The Report must specify follow-on actions for all issues which have not been closed at the
end of the project
Any appointed Project Assurance roles should agree with the Report.
How to use this template
This template provides a framework for the development of the PCPIR. This means that
sections can be developed at various levels of detail depending on individual circumstances
and the size and complexity of the project. If a section is not required or not applicable, it can
be deleted, an indication made that it is not applicable, or reference can be made to another
document.
Text styles
When using this template, please note that:
italic text enclosed in angle brackets (eg <text>) is explanatory and is intended to be
replaced by individual content
text in italics is also explanatory and provides a guide as to the kind of information that
should be included in a particular section. It should be deleted as part of finalising the

When developing the PCPIR, the following should be observed:
It should be deleted as part of finalising the
document
normal text should be retained wherever possible.
