Business communication is consider as a way of
exchanging information and ideas for the purpose of
promoting goals, objectives, purpose and activities of
organisation in order to make profits. This is important
for business organisation to communicate properly with
customers that can satisfy them effectively. To
understand about business communication The Little
Bus Company has been selected that is small size bus
operator company providing travelling services to its
customers. This report is categories in two part, first part
covers challenges and barriers of effective
communication, development of strategies for
overcoming the barriers and culture influences on
communication and negotiation.
Common challenges and barriers to effective
communication
Communication is the procedure of sharing information
between people within and outside a company. The main
aim of organisation of is share the knowledge and
increase the organisational productivity by satisfying the
customers. For instance, in Little Bus Company is
receiving complaints from customers since last 6 months
due to not proper and good communication. Drivers are
not able to understand customers and they behave rude
and intolerant towards who speak English as a second
language. Organisation is facing different types of
communication challenges that are as defined:
Active Listening: This strategy need to acquire and develop
with practice that states a person should concentrate on what
is being said instead of hearing only the message of speaker.
By using this strategy, The Little Bus company can reduce
the communication challenge. As drivers need to listen
actively and calmly and them give answers.
Use of simple language: According to this strategy
audience or speaker should use simple language that can be
easily understood or should avoid jargon and abbreviation.
The Little Bus company can use this strategy by providing
training to its bus operators which helps to over the
problems (Challenges and overcome strategy to
communication barriers, 2019).
Give constructive feedback: This is another strategy of
communication that states speaker and receiver should give
feedback that may be negative or positive that strengthen the
relationship and enhance future communication.
Therefore, management of Little Bus Company
should apply active listening, give constructive feedback
and use of simple language policies which will help to go
out from stress and communication barriers and increase
number of customers.
Awareness of cultural influences on communication and
negotiation
This means culture and negotiation of
communication impacted on business organisation. In
context to The Little Bus Company, management,
employees and customer are of different culture as drivers
do not giving answer properly, they do not understand
language and employees are not receiving overtime which
has impacted negatively on business organisation as they
behave rudely with customers and not communicate
properly due to which they select other bus company which
reduces number of passengers.
Language barrier: This is big challenge as people are of
different country and state whose language is also
different which may be difficult to understand because of
including specialist Jargon and abbreviations. The drivers
and conductor of Little business company are facing
language challenges as customers are using different
language.
Psychological barrier: This depend on psychological
state of receiver that states how a message received. As
driver of Little Bus Company are rude who receive
messages in anger way.
Attitudinal barrier: This barrier arises due to behaviour
and perception of people that prevent people to
communicate properly. In Little Bus Company, customers
and drivers are behaving differently that resulting
personality conflicts, poor management, lack of
motivation and poor management.
Devise and develop strategies for overcoming
communication
There are some strategies which is developed by The
Little Bus company to overcome the barrier of
communication that are as defined:
