INTRODUCTION
Communication refers to transfer of information from one person to another by using
symbols, signs and expression. It involves sender and receiver. There are mainly four types of
communication verbal, non-verbal, written, formal and visual communication.
Present study will be based on Sainsbury which is the largest retailer of groceries in the
United Kingdom. Report will include advantages and disadvantages of written and verbal
communication (Pearson, 2017). It also includes difference between important and urgent
communication. Furthermore, it will include purpose of a written business communication and
its positive and negative points.
TASK 1
a) Critical judgement of Advantages and disadvantages of written communication
Advantages are it is beneficial for long distance and can be record as evidence for future.
It is also used as a legal document. Uniformity is maintained through written communication. It
will help in creating goodwill for Sainsbury. It can be understood easily by the reader. It is
beneficial while sending information in the form of statistical data, chart or diagrams.
Various advantages of written communication are as follows -
Easy to preserve - The written communication can easily be preserved. Other
communication such as oral and non-verbal cannot be preserved.
Easy presentation of complex matter - It is the best way to represent any complex
matter in attractive form. Information can be collected in a preserved form.
Permanent record - The written communication is permanently recordable otherwise
oral and verbal communication has no guaranty or proof.
Prevention of wastage of time and money - It saves the time of meetings as in oral and
non-verbal communication there has to be get to gather of two people in minimum. Thus,
written communication has its own benefits.
Accurate presentation - The top executives of Sainsbury lookout the company
information to be presented in more accurate manner through doing written
communication.
Disadvantages are it is time consuming as writing something takes time to present ideas
and thoughts to another person. Secrecy cannot be maintained like anybody can be seen the

written document. It is not flexible and cannot be changed easily. If problem arises in between
then it takes time to solve that problem through written communication.
According to the Georgescu and Popescul, 2015 advantage of written communication
is it can be record for future references and disadvantage is it takes more time to communicate
information from one person to another.
Various disadvantages of written communication are as follows -
Expensive - The written communication is more expensive in comparison to oral and
non-verbal.
Red Taoism - It means written communication takes time at the duration of approval of
projects in Sainsbury.
Useless for illiterate person - It messages receiver is illiterate, written communication is
quite impossible. This is major disadvantage written communication.
Difficult to maintain secrecy - It is an unexpected medium to keep Sainsbury secrecy.
Secrecy is not always possible to maintain through written communication. Because here
needs to discuss everything,
Delay in response - It takes much time to get a response from the message receiver as it
prompt response that is not possible in case of written communication whereas it is
possible in oral communication.
b) Critical judgement of Advantages and disadvantages of verbal communication
As per the Deasy and et. al., 2016 advantages are it is time saving and also do not
involve any cost to communicate with others. Tone and pitch of a person will have an impact on
transferring of thoughts that sometimes become effective to listeners.
Disadvantages are it is difficult to record information for future. It is also considered as
expensive medium of communication. It can create misunderstanding while listening to person.
c) Difference between important and urgent communication
Important communication do not require deadline for communicating with others. It is
not compulsory to communicate in a certain period of time (Uhl and Gollenia, 2016). While
urgent communication is done within a specific timeline that is given to person.

a) Purpose of a specified written business communication
In Sainsbury written business communication plays an important role in transferring
information and carrying out functions. Another purpose is that it allows sharing of information
from employees to manager. Therefore, communication is one of the crucial aspect that aids to
build relationship by conveying the message. However, clear message aids to create integrity
between the writer and reader. Hence, well developed communication aids to defines the goals,
identify the issues and to provide the solutions.
It is crucial aspect in each kind of the business enterprise. Hence, it can be stated that
written communication is one of effective term that aids to create the integrity between writer
and reader. However, well defined communication supports to identify the goals, identify the
problems and brings better performance that leads to achieve success within the enterprise.
b) Collate information needed to create specified written communication
The main purpose of collecting, combining information is to provide relevant information
to the suppliers of the company. Targeted audience are the customers to whom product is to be
sold. Information is to be transferred from company to supplier. Email is being done that
contains purchase order details, raw material details that have to be purchased from the supplier
of Sainsbury.
c) Business written communication for specified audience
There are so many ways to communicate written business information to audience such
as through email, report (Ruben and Gigliotti, 2017). Before sending an email proper
information is to be taken from receiver so that it will help in communicating information to
specified audience. For example: In Sainsbury marketing officer have to take proper information
regarding the audience of the company so that it may provide all the details to customers.
d) Amendments to the communication to different audiences
There are different stakeholders in Sainsbury such as employees, customers, government
etc. For communication with these different audiences letters is to be forwarded to different
audiences regarding information that is to be conveyed to audiences through different medium of
communication.

a)Report ideas verbally to others with fluency and confidence
I think communicating verbally it is necessary to maintain fluency and confidence while
speaking in front of many people. If the speaker is not fluent then listener cannot take interest in
it. In my opinion matter that is being speak by the speaker will be concise, easy to understand so
that listener cannot get bored from it. If speaker cannot speak fluently then it will create
misunderstanding to listeners and that may lead to any problem in future course of action.
Therefore, fluency is important will speaking anything in front of people.
b) Actively listen to others
It is necessary to listen person who is speaking in public. Active listener is the one who
listens what is being said by the speaker clearly and able to express its thought again. A good
listener is one who concentrates on speaker and listen all the things that is to be said by it
(Rossano and et. al., 2016). Skills that is to be needed while listening are paying attention to it,
provide feedback after listening and responding appropriately to the speaker shows that it is
being heard properly by listener.
c) Question to confirm understanding
Q.1. Have you understood what is being taught in the class?
Q.2. Is it the right way to teach you or can I change the way to teach you?
Q.3. How many types of communication anybody can answer this question?
Q.4. Do you understand the purpose of speaking fluently and confident in from of people?
d) Actions that is being taken to improve teaching
For improving teaching in class presentations have been made so that it will be more
understandable to students. Class notes are being prepared and give to students so that it will be
beneficial to students in learning and it may be useful for future. Feedback is given by the
students with the response to teaching that it is understandable or not.
E) Summary of the discussion
The above study contains advantages and disadvantages of written as well as verbal
communication. Important differ from urgent communication as in urgent there is deadline to
complete the task while in important there is no deadline to complete that task on given time
period (3 Main types of communication, 2019).While speaking in front of people fluency will be
maintained so that it is easily understandable by listener.

f) Body language and voice tone
While teaching facial expression will be happy so that students also take interest in
learning. Positive posture is to be maintained in front of the students so that it will give positive
attitude towards students. Open hand gestures are being used that give good impression on them.
Tone will be softly so that students also take interest in teaching. As providing better gestures
will give positive impact on students as teacher is giving full attention towards student. At the
time of making communication with other individuals there is need to have better body language
skill so that things can be easily understood.
TASK 4
a) Feedback on communication and its purpose
Other staffs gives positive feedback towards teaching as the methods that is being used is
good and it fulfils the purpose of communication in teaching sector. Hence, it can be stated that
positive communication skills are one of the most crucial aspect as this have the great impact on
the career. I have achieved the purpose of communication by properly teaching concepts of
communication. Feedback is termed out as the positive and valuable information that aids to
conduct the crucial decision. Henceforth, effective feedback has the benefits for the giver.
Therefore, feedback intended to maintain the progress of active communication. On the other
hand, it can be stated that feedback is the response from the receiver that gives the communicator
the idea about how the message is being received and how to modify the work.
b) Positive and negative points of communication
Positive points are through communication thoughts can be expressed directly to receiver
and it is easy to give feedback directly. Therefore, it can be stated that positive effects on the
performance inclusive of the enhanced productivity, higher employee morale, repeat business ,
improved employee retention and to develop the healthier working environment overall.
Negative points are sometimes thoughts cannot be expressed in right manner that will create
misunderstanding among people. Therefore, technical advancement has reduced the amount of
face to face interaction or the number of actual telephone conversation. It creates the employees
who are more productive and happier in order to have the greater flexibility in the working
enterprise.

c) Plan to improve communication skills
Effective communication is the kind of the interpersonal skill as this aids to improve
communication. Communication skill can be improved by taking following points into
consideration such as listen properly to the listener so that it will help in developing cross
question through that communication will be improved (Wang, Pauleen and Zhang, 2016). By
practising public speaking helps in improving this skill. It is important to note out the points
while listening so that if any doubt comes can be asked after conversation is being done.
Effective communication skills are fundamental as it aids to bring out success in many aspect of
life. In order to communicate effectively an individual needs to enhance their interaction with
another employees so that they can able to communicate them. With the help of developing the
self-esteem they can easily talk with the people and can manage the things effectively. Therefore,
people with low self-esteem skills are always anxious and this barricades them to deal with
unfamiliar situation
CONCLUSION
From the above study it can be concluded that communication plays an important part in
the organisation. Without communication information cannot be transferred to other person.
Communication is having both advantages and disadvantages. It includes speaking fluently and
confidently that can be under stable by listener. It can be observed from the study that
communication plays crucial role that enhances skills of person through interacting with each
other in the organization.
