d) Subject: Problems faced due to the new decisions are taken for a campaign and their
mitigations.
2. Objectives and background
a) Description of the communication audit process: The audit process that would be
carried out consists of four steps. This process usually takes around three months overall
but after it is completed we would be able to plan out a strategy for communication,
along with this the members would have clear goals as well as clear direction which
would have the ability to save a lot of time of our organization (Aydogdu et al., 2016).
The communication audit would also help in achieving the goals of the organization. The
steps that are to be undertaken are as follows
Research: in the research part of the procedure the organization would dive deep
into its business challenges, goals and what it hopes to accomplish with the help
of the audit (Cihan & Acar, 2016). After that internal as well as external research
is conducted. The key members, external influencers and many more are talked
to. The existing marketing as well as communication channels are also looked
into and decide if any changes are to be taken place.
Analysis: After the research is carried out, the organization would consider all the
findings, interviews and put them into context, a SWOT analysis is also carried

out of the business, opportunities, competitors and various threats that the
company would face.
Recommendations: after all the outcomes are received the results are considered
and they are planned to apply in the organizational principles (Cihan & Acar,
2016). The organization also includes some personas that are fleshed out like
fictional representatives of the ideal audience or prospects. Along with the
personas, the company’s strategic recommendations would outline the key
messaging and the ways to reach the audiences of the company with the help of
messaging using an appropriate vehicle and channel for communications.
Next steps: Recommendations usually include a plan which would improve the
working process of an organization (Engindeniz & Ucar, 2016). In this case, the
strategies that have been prepared by the organization are considered and a plan
of action is decided and then the team starts implementing various tactics or
determining various resources that are required to do.
b) Specific purpose: The specific purpose of this memo is to provide knowledge to the
members regarding the communication gap among themselves and ways to remove the
gap and explain the employees regarding the changes that are to be undertaken.
c) General purpose: The general purpose is to convince citizens to consume turkey every
day and not only on Christmas (Aydogdu, Karli & Yenigun, 2015). This would help the
turkey producers to expand their sales as well as improve the diet of the people.

3. Problems
a) Problem 1: The members of the campaign do not know why the decisions have been
taken (Aydogdu, Karli & Yenigun, 2016). This problem can be proved to be a major one
because every member should be informed regarding the decisions that would be taken.
b) Problem 2: The members of the Turkey Farmers Association are located all over
Australia which results in poor communication. This is a problem because in case the
members need to appear for an important meeting, they would not be able to do so
c) Problem 3: The third problem is that the smaller producers who agreed with the proposal
of campaign find it difficult (Hazneci & Ceyhan, 2015). Every member was asked for
their suggestions and it took them a month to provide suggestions and feedback. This
resulted in miscommunication and created a gap between the members.
4. Action steps to solve problems
a) Problem 1: All the members of Turkey Farmers Association should be informed
regarding the decisions that have been taken (Mutura, Nyairo & Mwangi, 2016). The
members should know why the changes are to be undertaken and these changes should be
explained to every member of the association. Before taking any decision, the members
should be allowed to provide opinions regarding the decision that has to be taken, their
suggestions should be taken into consideration. They should not be ignored because they
are small enterprises, they should be given equal priority like the big companies. The
small enterprises must not feel that they are not given proper importance, this would
result in less dedication from the side of the small enterprise
b) Problem 2: The communication process of the company should be improved in order to
keep the members in a synchronized form. It is very important for every member to

cooperate with every activity of the company. This requires improved communication
system especially when the members are located in different placed all over the country
(Mukhtarov et al., 2015). The steps to be taken in order to improve the communication
process are as follows
Video simulcasts: It is difficult to share information personally with everyone in
one organization or a team whereas the sharing of data is very important for the
organization to be successful (Xhoxhi et al., 2014). The only one solution for this
is a video conference. With the help of a simulcast, every member can hear as
well as see the speaker who speaks regarding various upcoming activities that are
occurring and would occur in the future. This process helps the members to gain
knowledge regarding the wear bouts of the company irrespective of their
geographical location (Mutura, Nyairo & Mwangi, 2016). In case a particular
member is not available due to some reasons at the time of the meeting he can see
the entire video which would be saved automatically in a particular folder. This
would help the employees not to lose any bit of information.
Group events: similar to video simulcasts, group events can also unite the
geographical distant or the large businesses (Hofmanová et al., 2015). The
operations department might not be able to interact with the marketing team
regularly but there are chances that both the departments would overlap during a
project. Understanding the responsible one or simply taking a random name
would greatly facilitate the communications of the company. Group events result
in sharing various experiences irrespective of them being formal or informal

(Yagci, 2018). This would help the individuals to relate to each other in a better
way.
c) Problem 3: The third problem can be avoided by arranging a meeting among the
members and allowing them to provide suggestions for the campaign (Mutura, Nyairo &
Mwangi, 2016). This would consume less time than just letting the companies take their
time to think and provide a suggestion. The companies should be provided with a
deadline by which they should have been provided recommendations along with its
benefits to the organization. This would help the members to conclude in a particular
decision sooner than expected and steps can be taken accordingly (Yagci, 2018).
Providing recommendations within a given time period would help the enterprise to
select the best recommendations for the company and work on it accordingly.
5. Closing
a) The benefit of compliance to the member or employee and organization: The
campaign would help the organization to bring about a change in its working
environment. New strategies would be recommended by different members belonging to
different working backgrounds (Mutura, Nyairo & Mwangi, 2016). This would also be
beneficial for the employees and members because the huge companies as well as small
companies both would be working together for similar goals which would lead them to
think in different prospective. The employees belonging to smaller enterprises would gain
an experience of working with bigger enterprises and know the way they think and plan
their strategies (Mutura, Nyairo & Mwangi, 2016). This would as a result help them to
implement the strategies in their companies and improve their working experience.
