INTRODUCTION
Communication is said to be utmost important system of an organization. It used to keep
all their staffs and members of the business to inform regarding internal and external relevant to
any specific activities those are done during the time. This seems to be related with all factors
which are influencing the action of an individual or a group. This project is all about explaining
various theory of communication and discussion about oral interview with a panel is mentioned
properly. This report would be summaries with a formal report, CV and emails. However, all the
evidences are providing vital aspect to communicate data by using reliable business style and
techniques (Cotton and Falvey, 2012).
TASK 1
1.Communication model and system used in business
Communication procedure is said to be exchange information, idea, feeling an emotion by
which signal or behavior of people can be determining in effective manner. At the time of
communication phase, a sender sends or encodes a reliable message by using a preferred channel
or medium. The receiver used to receiver all those message that are send from sender side or
decoded the message and after processing the data, a reviews is being taken back through using
the same mode.
Model of communication are known as one of the effective conceptual models that is being
used examine the human communication process (Conrad and Newberry, 2012). This will assist
business organization and other association to determine about communication works. All the
messages are transmitted, how it would be received by other parties are understand by using this
model.
Different communication model:
Shannon’s Model: It is known as one of the vital or earliest models of communication
that are implemented by Shannon. This would be laid down the foundation for various types of
communication model that are greatly helpful in respective fields.

From the above chart, it has been illustrated that communication would take place and
also assist one to determine what would go wrong for the company. Sources is basically said to
be person or an individual that send message with the use of a channel called transmitter. The
role of transmitter could be used such as phones to computer and other peripheral devices. All
the signal that are send by the person are relies on the method of communication.
Berlo’s model: This seems to be another communication model in which the relationship
among individual sending message and receiver is analyzed. As per this model, message to be
accurately encoded and decoded. It has been found that communication will only get effective in
case both the parties are having appropriate skills and ability. It has mainly four main elements
and every of them has their own sub component.

Types of communication systems:
Voice over internet protocol: It would offer a great alternative to a landline phone
system. This will work through transmit phone calls via using digital connection that are
combining the style of traditional phone call with all accessibility and internet speed
(Chen, R. P., 2011). It is used for the purpose of international calling, special features of
caller ID and voicemail.
PBX phone system: It is known as one of the effective tool of business communication.
This system is happening to be the private telephone line that will be used within a
company and users used to share a wide range of outside lines to make external phone
calls.

Video conferencing: It can be more exclusive to get all team member together for any
kind of training meeting or seminar. It will reduce travel expense and increase
productivity. There are plenty of benefits those are associated with making certain

Range of processes used to communicate with different stakeholders:
This seems to be more essential aspects in stakeholder communication that is being
determine the overall target of audience. Through effective and deliberate input from all known
panel to search the unknown group (Al-Mahrooqi, 2012).

Formal method for communication:
Meeting: It is one of the simple ways to communicate. They used to change from one
person to thousand based on message and audience in reliable manner.
Conference calls: It requires low cost of phone call and their plenty of paid and free
services that will be facilitate by using conference call line for many people.
Email: This planning is one-way communication and utilise emailed updates, hard
copies, poster and emailed.
Informal method of communication: It is said to be more crucial aspect that is not depend on
formal channels but to employ informal communication. It is categorising into various parts.
Hallway conversation: These meeting is huge way for one to one communication, but
also be clear and does not establish false predication with dropped aspects.
Lunch meeting: These similar environments can be more reliable for connecting, getting
feedback, ideas and work to build appropriate support to the company.
2. Communication method and technology in businesses
It consists of imparting or changing opinion or information among people through using
speech, writing or sign (Bramhall, 2014). There are various ways to make overall communication
between to people. It consists of two aspects. Such as:

Verbal communication: I t is demanded that use of words in delivering all intended
message. The two important forms of verbal communication that consist of written and
oral communication.
Written communication: It consists of traditional pen and paper letter and types
electronic documentation such as e-mail, text messages and other SMS.
Non- verbal: It is entails communication that is being sending and receiving wordless
information from one areas to another. Such kind of messages are mainly reinforcing as
verbal communication, but can also be transfer thought and feelings on their own.
Visual communication: It is known as one of the easier and simple communication that
is done through using visual aids such as signs, drawings and graphic design and
electronic aspects.
Advantage of formal communication:
Increase overall efficiency: Such types of communication is predetermining rules so
enhance the productivity of the company.
Permanent record: This particular copy of communication is always preserved to seek
the copy of their necessary.
Disadvantage:
Wastage of time: It is more effective for top level management with their staffs by
maintaining the board of succession at any given point of time.
Lack of initiative: Every individual does their role and duties by following particular
predetermine systems which is missing in this communication.
Advantage of informal communication:
Interpret: This information is given through top management under the formal system. It
is more easy for all employees to take all the discussion by using informal ways.
Current grievance: In this system the employee must disclose their required sentiments
and other emotions to various department without having any kind of hesitation.
Disadvantage:
Spread rumour: Under this system, the miss-data or rumour can be more spread vastly.
The real data can be transformed as incorrect information.

Misunderstanding: In the informal communication the employees do not follow the
formal system of an organisation. This will create much of opportunity to formulate
chances of misunderstanding.
Various types of technology in business communication:
Companies need to use a wide range of mobile device and other application that
employee can use for marketing and overall networking purpose. Some of them are discuss
underneath:
Internet: It is more than any factors that has been changed the manner that companies do
their business in effective manner. Most of the companies have various kind of websites
that allows them to reach a wide range of customers (Schell, and et. al., 2012).
Mobile Device: There are various internet resources consist of other mobile devices such
as laptops, tablet computers and other smart phones. These are considering more reliable
and easy ways to make appropriate communication among more than one parties.
Chat and private messaging: Such kind of spaces which would provide individual or
panel messaging and chart operations that are often analyse as one of the reliable business
communication tool to keep team working together.
3. Making communication effective
The information that can be made in the form of written and spoken, personal or impersonal
as per the demand of the situation (Pearson, and et. al., 2011). Basically, the communication
process consists of sender, receiver and reviews of employees.
Principles of simplicity: It is the role of people to make message more simple and easy
so that it would be easily understood to everyone.
Clarity: All the message that is being prepared to communicate must be clear.
Brevity: It would be concise in nature. The reader can feel disturbed in receiving a long
term message.
Accuracy: The data and facts provided in the message would be accurate. Any wrong
data can create confusion among two parties.
Attentiveness: Effective listening is more concern in communication mode. The receiver
would be attentive during receiving any specific message (Kurtz, Draper and Silverman,
2016).
