INTRODUCTION
Project management refers to the practise through which initiating, planning, executing, controlling and closing of work will
get evaluated in order to achieve specific goal or objectives. In this report project management activities will be conducted on student
presentation which compete on the topic “ how to lead a sustainable business in 2019” where proper execution of planning will get
developed. Other than this, explanation will be provided on work break down structure, Gantt char, network diagram and on critical
path with their individual use in the management of project. Further, explanation will also be provided on key stakeholders of the
project management and to manage them for present business event. Moreover, project risk will also be discussed in this report and
the ways to manage it. Project evaluation and need of project for completing specific work will get analysed.
TASK 1
1. Preparing project scope statement
Project name: Graduation ceremony
Project objectives:
In this report, a task will be organized on student presentation competition on the topic called
“how to lead a sustainable business in 2019”. The role here is the chief student representative in
business strategy class with the budget of £3000 provided by business faculty. The aim of this
project is to raise money for a national trust charity. National Trust is a type of registered
charity which was founded in 1895 in order to preserve places of historic interest or to prevent
natural beauty permanently so that nation will able to enjoy. It is the place which protects and
open for public historic houses, gardens, industrial monuments and mills which generally looks
after forests, woods, fens and farmland. Thus, the event will be conducted on 30th March 2019
which will be taken place in East London at Mile end Ariana venue. From the budget of £3000,
2000 will be used for hiring venue where the amount of table chairs, lighting and decorations

will be included. Other than this £300 will be used for hiring Jazz with 2 members and £200 is
for printing tickets and for making event relates posters. Remaining amount that is £500 will be
used for food and snacks. Entry fee will also be collected on the day of event and the money
which was generated through such will again contribute for National trust charity.

Technical requirements:
 Firstly, a large size sample required to display at the entrance which will be of 61cm x
by 91 cm. The stand will be one meter high but it will not be higher than 1.5 meter.
 For detailing the event, 70 tickets will firstly print and same will further be used for
printing them out.
 JAZZ will be required for 2 members.
Milestone:
The venue which has been hired for organizing the event will have the capacity of holding 70

people under which both adults and children will be included. In case if public increases, he
venue has the capacity to hold up to 100 people. In this event, there will be 7 round tables
because it tables will be allocated to 10 people which is sufficient for 70 guests.

1. Explaining what is WBS and it used
The work-breakdown structure in project management and engineering refers to a breakdown of projects into a smaller
components. In simple words it is the process of conducting any event of project in more precise manner so that team work will get
developed into more manageable sections. It also refers to hierarchical decomposition of scope of work for achieving objectives of
projects and to create required deliverable (Fleming and Koppelman, 2016). The element included in this structure may be of any
combination which may be product, ideas or services. It also helps in estimating and controlling costs through which proper
scheduling and controlling of work will get developed.

Why to use:
This is the type of tool which has number of benefits in order to organize effective project work. At its top level, project budget
will get allocated in the levels of WBS, through which each department of budget will get calculated quickly. It is also used for
identifying specific sections in regards with the work breakdown structure which can be tracked quickly for identifying cost
performance of project and to identify the issue and problem areas in project organization.
It also uses for identifying the types of potential risks for a specific given project. If there is a branch which will not perform
effectively in work-breakdown structure then it will represent a scope through risk get mitigated (Globerson, Vardi and Cohen, 2016).

Work-breakdown structure refer to a means of organizing system development activities which is based on certain project
which needs to be conducted. For the present report, we have developed incorporated several milestones based on which another sub
activities have been identified for conducting success business event. In this report major areas we focus through work-breakdown
structure are planning, organizing, setting, branding, creating, determining, identifying and project closure. Based upon such activities,
firstly proper plan will get created for types of table and chairs which will developed for arranging 70 people so that no one had to

1. Explaining what is Gantt chart and network diagram with its use
A Gantt chart is the type of bar chart which used for describing schedule of the project. This is the chart which lists all the
tasks which will be performed. It simple words, it is the type of pictorial representation for scheduling specific project. Its focus is
generally on management of task and time (Heagney, 2016). It is considered as in-depth plan through which project tasks will get
understand effectively. It generally in developing clear understanding of project time lines. Effective allocation of resources will get
developed through the use of this format. Task description will get updated any time.
Why it used:
Gantt chart is considered as timeline which will used for a project management tool in order to illustrate how project will run.
It will be used for viewing individual tasks, its duration and the sequencing through it gets completed (OKANO and et.al, 2019). It is
mainly useful for planning and scheduling the projects which helps in assessing time and resources which required in completing a
project.
Network diagram:
It is generally considered as visual representation of network architecture. It is the process which helps in mapping out the
structure of networks with the different symbols and line connections (Lock, 2017). Network diagram generally considered as visual
presentation through which it becomes easier for users to understand the connection between the items.
Why it used:
Project manager generally use this diagram for planning and tracking project from its beginning to finish date. It is generally
considered as quality management tool which charts the flow of activity between separate tasks (Tonchia, 2018). In other words, it the
type of diagram which graphically shows interdependent relationships between groups, steps and tasks which mainly impacted the
project. It is very important to prepare network diagram before proceeding any of the project work.

3. Explaining the critical path and how to identify them
Critical path is considered as a type of algorithm through which a set of project activites gets evaluated. In simple words, it is
a sequence of stages when a user will able to figure out the least amount of time through which a task will get completed (The
Ultimate Guide to the critical path method, 2019). It is step-by-step technique of project management in order to process effective
planning through which both critical and non-critical tasks will hey evaluate in order prevent problem of time frame and process
bottlenecks. Generally is a tool which contain number of activities in a complex manner (Robles, 2018). Thus, it can be evaluated as
the longest length of time which a project will take for completing a specific project.

Through the following parameters, critical path will get identified:
The Earliest start time (ES): here, analysis will be developed on earliest tome through which the task gets started. It provides a
specific predecessor through which task will be completed first (Carstens, Richardson and Smith, 2016).
The earliest finish time (EF) : through this, critical path will get analyzed with the earliest start time for the task plus time which
required for completing such task.
The Latest finish time (LF): critical path will get analyzed with the measurement of the latest time which can be completed without
delaying any specific project.

Stakeholders are either individual, group or organization who generally impacted by the outcomes of project. They generally
have the interest for getting success of the project which may from within or outside the organization and which will sponsors the
project. They provide both positive and negative influence on project (Talman, 2018). Thus, in the context of project stakeholder they
may be a person, group or organization which generally provide their interest in succession of projector they avail the funds through
which needs and resources gets established for conducting successful event. In other words, the person or entity which generally takes
care of entry fees until prize money will get awarded is called stakeholder.

people and activities in order to complete the project in the effective way to derive better result. With the help of project manager and
the project team the project cannot be successful completes because they are the main people related to the project that work and

4. Ways to manage the stakeholders
The stakeholders related to the project can be managed by providing them satisfaction by meeting their needs and requirement
related ton the project. The Stakeholder analysis help in managing the stakeholders by identification and analyzing their needs. It

completed in the effective and efficient manner. It includes the project manager because it manages the activities related to

include the stakeholders such as government etc. Because they are the people that have the authority of realization of the
project.
 Monitor : The people in the team that require motioning are involved in this group. It consists of the project team, suppliers
etc. because they are the people that perform the work and require the monitoring of the manager. Moreover, the supplier is
required to be monitor to have continuous flow of the supplies require for completing the project.
 Keep informed : It involves the stakeholders which require keeping informed related to the activities which are being
performed for the project and the information which must be provided to the people that are important for this project. It

The stakeholders which are being keep satisfied the moderate priority group is required to be satisfied by keeping them
involved in the project. Moreover, In manage closely group the stakeholders such as project manager are given higher priority and are
managed through their active engagement in the project activities. Stakeholders which require monitoring include the project team etc.
In this the project manager is given the lowest priority. The priority group in the stakeholders are the moderate and the objective of
keeping informed is to sustain their interest and leverage when it is useful to the project.

1. Definition of project risk
It is the uncertain event or condition which hamper the project outcome. The project risk affect the project outcome and this
can lead to the delay in completion of the project which may leads to inefficiency in delivering the result to the people having interest
in the project. The project risk may be internal or external which may lead to inefficiency in the project activities and can lead to
increase in the cost of the project. The project risk leads to failure of the business and affect the organisation process and operation due

to the failure of the project (Harrison and Lock, 2017). The risk affects the project in the negative way due to which the activity's
related to the project are hamper. The risk can be mitigated for prevented by managing and identifying the risk in advance. The project
risk affect the whole project as well as the people related to them because their interest in the project is reduced by identifying that the
project is so much risky which required close monitoring of the activities in order to complete the project by mitigating the risk
associated with the project.
2. Management of the risk
Project risk affect the overall project which leads to failure of the project and leads to ineffectiveness in completing the goals
and objectives which are related to the project. It is important to manage the risk in order to increase the chances of success related to
the project. By analysis the risk the project manager is able to manage the risk which assist in completing the project in effective way
by mitigating the risk. There are two methods through the project manager can analyze the risk associated with the project which
consist of qualitative and quantitative risk.
The objective of conducting quantitative risk analysis focus on implementing the safety measures that can be established in
order to mitigate the risk. With the help of this analysis the project manager is able to interpret the measure which will be effective for
resolving the project needs. The risk related to the project can be managed by identifying the risk associated with the project after
which the risk can be evaluated on the basis of the probability of occurrence. The risk response strategy can be developed by the
project manager for mitigating the risk by taking steps to response to the risk. With the help of risk monitoring and controlling the
project manager is able to effectively manager the risk. Qualitative risk analysis is related to identifying the probability of the
occurrence of the risk. It prioritizes the risk according to their potential impact on the project.

There are different types of risk associated with the project which affect the overall project and leads negative impact on the
project. The following are the various risk associated with the project:
 Cost risk : It is related to the project cost which may act as the risk due to poor estimation of the cost which may leads to
inefficient cost allocation to the project activities and the project will suffer.
 Schedule risk : It includes due the risk of time allocated to the activities of project which may affect the project and delay in
execution of the project may occur. It leads to delay in getting advantage of the project and the allocation of the time to

 Performance risk : It includes the risk associated with the project results because their may be possibility that the project is

 Market risk : It consists of the competition, commodity market as well and liquidity and credit risk.

well as managing the operational activities. It consists of the information that will be used for examining and analysing the outcomes
to make best judgment based on the research program and decisions making by the professionals. There can be analysis over the
different types of project evaluation such as:
Pre-Project evaluation: Before initiation of any projected plan its is being required that one must have adequate analysis over
the project viability which would be effective in mitigating the project risks.
Ongoing Evaluation: It is being required to make an effective ascertainment over monitoring the progress and meeting the
planned expectations. However, in relation with meeting the obstacles as well as managing the issues which is being required that the
professional’s analyses expectation of the firm.
Post-project evaluation: It is the time when project have been completed. Thus, this is the process on which evaluation of work

reduce the chances of risk. The other factors related to success of the project other than cost, time and quality are communication,
involvement of staff, risk associated with the project, training and development program etc. are the factors help in the successful
completing the project.
Evaluation plan for the project
The plan for the graduation ceremony will be evaluated on the basis of the cost associated with the activities through the
project manager is able to understand the cost of the activities. Moreover, by monitoring the time and the resources used in the project
(Kerzner and Kerzner, 2017). The project manager by continuous monitoring is able tom understand the that the project is going on
the right track or not or there are any changes required to complete the project in effective and efficient manner.
CONCLUSION
From the above project it has provided information about project and the various success factor related to the project. It
consists of effective communication with the software provider, planning for the management of the project, identifying the risk
associated with the project, developing and managing schedule etc. Moreover, it included the in formation about the risk management
through the help of qualitative risk analysis in which the risk register has been used to identity the risk and the mitigation strategies.
