AI Summary
This assignment requires you to design a Data Flow Diagram (DFD) for a Sports Club Information System. The DFD should illustrate the various participants involved in the system (members, advertisers, editors, newsletter publishers, and president), their interactions, and the flow of data between them. Specific processes include member registration, advert placement and payment, article writing and publishing, and newsletter distribution. The diagram should clearly depict these roles, processes, and data flows to effectively represent the system's functionality.

Introduction
This report is aiming at designing a system model that will enable the solving of the problems
faced by the club called all sports is a multisport club that offers a variety of games.
There are other various activities that are performed in this club including the publishing of the
newsletters which has various articles written by the members of this club.
However the news letter contains some adverts from the from the advertisers and it is obtained
and published by the selected editor who is a member of the club.
The main aim of this report is to ensure that all the transaction done in the club are tied
together under one system in order to enable the president to do various activities easily
including track of the editors of certain editions of news letter, tracking of the club members who
had returned their articles for publishing, and also enable president to track the adverts that are
already published (Senn , 2014) .
Among some of the objectives will to ensure that the systems has been able to do the
following processes.
a. To list the sports and the member players
b. To give a list of the members and their edited newsletters.
c. To list articles for publishing in the upcoming newsletter.
d. To list adverts for publishing in the upcoming newsletters
e. To list the members and their edited newsletters.
f. To be able to list various members and their personal email address.
g. To be able to list the members who has no email addresses.
Therefore by implementation of the new system will end up giving the club best services to
ensure all activities are in co-operated.

Critical Use Cases
The use case diagram will enable us to have a view of the various activities that tend to
be done in the organisation however the use case diagram will have the use cases which are the
activities done in the organisation, there will be actors which will represent the people associated
with a given use case and below is the diagram for the use cases (Whitten ,2015) .
Publishing of the newsletters
Writing articles
Participating in Sporting
activities
Scheduling editors for next
editions
Obtaining the article
Tracking published adverts
Tracking submitted articles
Obtain adverts
Receiving newsletter

Context Level diagram
The context diagram is for this club system is going to indicate the various entities which
are linked to the All sports Club Information System (ASCIS) and they will be referred to as the
external entities ,however for each entity in this context diagram shall be accompanied with the
events that he does to the system .
However this system will be referred to as the All sports Club Information System and
the external entities will be club members, advertisers, newsletters publishers, editors ,and
president .
Below is the simplified context level diagram for the ASCIS system.

Level 0 Data Flow Diagram (DFD)
The level 0 diagram for the club system is mean to give the representation of the way
information flows in the system visually.
However this diagram will be able to indicate the information entering and leaving the
systems ,the one that change and shows the storage of the information .
This diagram however will have created a good point for the system development since
none it give the system developers and analysts good view to see how the system will be
implemented.
Below is the diagram for the level 0 data flow diagram.

Entity Relationship Diagram (ERD)
The system has various entities which are the one that interacts with the each other where
they have different types of the relationships; however among the entities are president,
members, editors, advertisers and the newsletter publishers below is the resultant clubs system

CRUD Table
The CRUD table for this case is used to show the relationship between the various
processes and events that are done in this club system and the respective entities, this indicates
whether the entity will either be able to create, read, update and delete the process( Priestley,
2016).
The below table shows how the system entities relates with the processes.
Entity

publishing of the newsletters R R RU

A prototype of website design and architecture.
The system is made using the web based technology this will ensure that the users of the
system are able to store their records in the respective tables in the databases, the below is the
diagrams representing the prototype of the proposed system that will be having four
modules ,these modules includes the login, members ,editors, newsletter and advertisers as
shown below (Kenneth, 2013).

Details of individual group members’ contribution.
During the system development the group members were able to do different tasks this is to be
able to contribute to the delivery of this report (Bansal, 2015) .
However for my case I did contribute in several parts which includes the following :

i. Writing of the introduction part and stating the various aims and the objectives of this
system.
ii. Assisted in identification of the use case diagrams and also drawing some of the uses
cases and actors.
iii. Participated in the designing of the context diagram where I was able to identify the
systems and entities and show how they related in the system .
iv. Then I participated in planning and designing of the prototype of the proposed system as
well..
Reflections and Conclusions
The system design is a process where there are various procedures that are to be followed
,however the whole process had enabled me to learn and achieve a quite number of
things ,among the achievements that I had gained is to know how to identify the system’s aims
and objectives ,I learnt how to identify the various uses case in a system, I learnt the various
components and development of the context diagram ,I also managed to draw the level 0 DFD
diagram and its components and finally I was able to design the prototype that is related to the
designed system (Alan, 2014)
However the only part that caused constraints was the designing of the Level O DFD and
the entity relation diagram but finally I managed after practicing.
In the system development I found some few things where the system development
requires to be systematically where the context diagram and entity relation diagram are drawn
also for one to be able to design a working system or website the first approach is to design a
good and a clear prototypes.
In conclusion the club system will be very useful to the organisation and it will enable
easy management of the information and will boost the data back-up and retrieval unlike the
manual or excel based system.
