INTRODUCTION
Business Environment is defined as a combination and mixture of internal and external
factors which influence operating situation of an organisation. With the changing business
environment, it is very important for an organisation to develop its business activities in a
professional manner. This report is based upon the importance of professional development in an
enterprise named Avolites Ltd which is a technology multinational organisation situated in
United Kingdom (Anolfatto and MacDonald, 2019). For the purpose of providing information to
staff members regarding the significance and relevance of professional development, this report
is prepared. This report covers comparison between various documents utilised to present
information to other staff members. It also includes comparison between formats in each of
documents and a report is prepared that focus upon a specific document. Further, it includes
selection of an appropriate format and than a structure is organised for each document.
AC 1.1 Different types of document
A training session is developed in Avolites Ltd for the purpose of informing staff
members about the significant of professional development in an organisation. For this purpose,
a document is required to be prepared. There are various types of document which can be used
by this organisation to inform its staff members. It can analyse and compare between these
documents and than choose the appropriate one as follows-
Printed- This document consists to mark through pressing on something, by writing letters with
hand, and by producing mechanically copying a document. Types of these documents are-
Letter- It is a written document which outlines the understanding among two or more
parties for formalising in a legal binding agreement.
Agendas- These documents are written in a paper that contains necessary information and
it is distributed among all staff members (Birru and et. al., 2019).
Electronic- It can be determined as an electronic media content which is intended to utilised in
an electronic form. Avolites Ltd can use any of the following electronic document type-
Data Sheets- Such documents are in two forms, either in a excel or world format. It is
used for collating specific data needed to be communicated within an enterprise.
Slide Shows- These are power point slides that are needed to be demonstrated in any
meeting or training session and it contains necessary information.

Formal- This document is used for recording all kinds of business processes and it is basically
utilised providing necessary information related to functioning of an organisation.
Spreadsheets- It can be used for statistical or analytical purposes and are in electronic
format. It contains analytical information which is relevant for an enterprise (Crane and et. al.,
2019).
E-mail- It can be defined as a information stored in a computer or laptop which is
exchanged between two individuals over telecommunications. It contains file, images, text, or
any other attachment.
Informal- Such documents are more casual and conversational form of transferring information
and data.
Memos- These documents are utilised for informal communication in an organisation in
an electronic format.
Fax Document- Such documents are utilised in an enterprise and these are in paper
format, either in black or white colour. It is considered as the fastest way to transfer and transmit
information.
From all the types of documents mentioned above, the most suitable document that can
be used by Avolites Ltd is Slide Show. It can use this form of document by developing graphics
and texts from a file. Avolites Ltd can use this document in order to inform staff members
regarding the training session taking place.
AC 1.2 Comparison between formats
For the purpose of providing information to staff members, Avolites Ltd can use various
formats to transfer information and data-
Text format- In this format, information is transferred in texts and not in numbers or
graphics. It is very easy to understand as the information is very clear.
Number- In this form, data is evaluated in a numerical form and these numbers are used
to analyse the information required (Cyphert and et. al., 2019).
Graphics- This is a statistical format to analyse and interpret necessary information and
data. In this, a graphical representation is created such as line graphs, bar graphs, histograms, line
plots, frequency table, circle graph, and so on.

Charts- It can be referred as a graphical representation of information and data under
which data is represented as through symbols.

Professional Development- It is a learning in order to maintain and earn for maintaining
professional credentials like academic degrees. It helps in improving the performance of
employees and prepares them for higher position with more responsibilities. The importance of
professional development in Avolites Ltd are-
Increase the efficiency- The goal of an organisation is to enhance overall efficiency of its
business activities. Efficiency and effectiveness of a business entity can be achieved through
professional development by developing and mastering new skills (Gaganis, Pasiouras and
Voulgari, 2019).

Improve performance- Professional development helps the organisation in improving the
overall performance of a business entity. More skilled people will result in more improved and
efficient performance which will help in achieving overall objectives of a business entity.
Enhancing the knowledge and skills- The another important and benefit of professional
development is that it helps in enhancing knowledge and skills of workers in an organisation.
Skilled and efficient employees will give best results which are beneficial for an enterprise
(Huang, Ran, and Liu, 2019).
Further, the content of this report includes the approaches of professional development
which can be utilised by Avolites Ltd. These approaches are-
Skill based training- These trainings allow the participants to learn about the conceptual
information and practice to learn new skills. It also helps the employees to receive feedback of
their performance.
Job assignments- This approach believes to learn things by practically doing those
things. It is a kind of challenge that stretches people and push them out of their comfort zone.
AC 2.3 Comparison between different types of technology
Technology can be defined as a application of scientific knowledge for the usage of
practical purposes in an industry. For the purpose of creating a document, Avolites Ltd can use
the most suitable technology among various technologies that are-
Computer Software- It refers to a instructions set that includes various software
programmes available on a computer like operating systems and applicants. This technology is
the most common form to prepare a document that carries necessary information.
Communication Transfer- It can be defined as a procedure to transfer information from
one person to another, like from an organisation that holds it or owns it to another organisation or
individual. In this procedure, data is circulated from one employee to another in an organisation.
The best technology which Avolites Ltd can use while preparing documents is computer
software technology as in this system, information is transferred fast from one person to another
and retrieved more quickly (Lu, Wang and Xu, 2019). Moreover, the information in computer
software is more accurate and reliable as it is fresh and non-filtered.

Each document such as informal, formal, electronic, and printed, requires different forms
of formats such as text format, graphics, charts and number. The most appropriate format for
each document are-
Letter-For this document, the most suitable formatting that can be utilised is text format as it can
be easily understandable by an individual who is reading it.
Agendas- For this document, text formatting is the most suitable one as it is a written form of
document.
Data Sheets- For such document, the most suitable format is number as data sheets are prepared
on world and excel (Quinlan and et. al., 2019).

and text both as it will make the presentation more attractive and statistic.

this purpose is number.

each document, different format, layout and structure is being utilised which are explained in
detail as follows-
Letter- It includes name and address of sender, reference number of sender, content regarding
which letter is developed, date when a letter is being addressed to sender, salutation like dear
sir/madam and heading of the subject (Rofiq and Pramono, 2019).
Slide shows- It includes various slides that contains necessary information. First slide includes
table of contents in which topics are written which are about to covered in power point. In

E-mail- The structure of e-mail document is simple and easy to understand to a large extent. The
structure of this document includes header, set of lines that contain information regarding
transportation of message, address of recipients, and timestamps that shows what is the time at
which the message is sent.
AC 3.3 Produce Documents
Avolites Ltd is an multi-national technology organisation which is located in United
Kingdom that manufactures lighting control consoles, media servers, stage dimming document,
and media control systems. It is conducting a training session for its staff members regarding
importance, relevance and significance of professional development in a business entity. For this
purpose, this organisation is preparing a document in order to demonstrate the importance and
need of professional development in an organisation (Sewchurran, Dekker, and McDonogh,
2019).
1. Slide show document- An slide show document can be prepared with formatting of text
and graphics. These power point will contain five power point slides and each slide
shows the important topic needed to cover in this document as follows-
Slide 1- In this first slide, table of content will be prepared which will demonstrate the topics
which are needed to cover in this power point presentation such as introduction, main body and
thank you slide.
Slide 2- In this slide, a brief introduction is given about professional development and how it
impacts a business entity.
