This document discusses project management techniques and tools for opening Andreea's Beauty Room. It assesses the usefulness of Prince2 and Agile methodologies in light of changes due to COVID-19. It also provides a plan for implementing the project.

MANAGING PROJECT IN
THE ORGANIZATION

INTRODUCTION
Project management is defined as application of procedures, approaches, knowledge,
competences, skills and experience that a project manager is used to achieve specific aims and
objectives of particular task according to acceptance criteria. It encompasses varied strategies
and methods that play vital role in success of projects that has been conducted for commercial
purposes. It considered as procedure of leading work of a group of people to reach at target aims
and meet success level at a particular time frame. It helps to organize each element of a project in
effective and systematic manner, which is quite important in order to gain desire outcomes. The
entire project management process falls into five categories such as initiating, planning,
executing, monitoring & controlling and closing.
The current study is based on Andreea's beauty room as beauty cosmetic shop, which
open soon. The study will introduce project management techniques and tools that will utilize in
the context of chosen company. Furthermore, it will explain their extent to which management
think they are useful in light to changes that have taken place in business environment due to
COVID-19. The report will justify development of plan for implementation of project and
relevant stages that will be followed. It will also explain how it is going to be implemented and
ways used to communicate project plans with right stakeholders and colleagues. Moreover, the
assignment will critically evaluate individual ability to manage a project in light with COVID-
19. It will define usage of feedback from others to evaluate project manager ability to plan and
implement it by determining key strengths and weaknesses. Lastly, the study will explain self
development plan to improve performance of project handler in managing process of opening
shop as new project.
The main thing that motivate me to engage in this project that is opening a beauty
cosmetic store, is to satisfy the need and expectations of women's who seeks to purchase those
cosmetic items that are paraben free, and good for skin as well as made from natural ingredients.
The concern of most of the females in the whole world who are worrying about their skin care,
specially during pandemic, is the main motive which drive my attention to make myself engage
in this project. The beginning date of this project is 12 April 2021 and the ending date is 25
August. The idea of opening a new beauty cosmetic shop named Andreea's beauty room is
introduced by the owner of this store, who wants to enhance the satisfactory level of each woman
as their buyer. With the help of implementing this idea into practical manner, the owner of this

store may provide benefits to its venture. Owner and buyers are the main beneficiaries, who take
benefit from this shop in term of achieving aims and objectives and fulfilling needs. When the
project does successfully it will bring a lot of advantages for each stakeholder as it help to
increase profitability, customer base and sales level, but when it will not done systematically, it
put negative impact on plans of owner, which is not acceptable for them as well as other
stakeholders. When the project of opening a beauty shop is not done, it affects expectations and
needs of customers. Take away chance of gaining competitive edge in term of increasing
customer base and obtaining desire outcomes. It makes each customer dissatisfied and will not
meet their expectations. When the project is not successful, it will be a huge loss of venture and
bring challenge for the owner, which they may overcome by taking initiative and right decision.
MAIN BODY
1- Critically assess usefulness of project management tools and techniques and also assess extent
to which project manager think they are useful in light of modifications that have taken
place in venture environment due to pandemic
In recent time, due to COVID-19 several companies are facing issues to manage their
work and operational as well as functional activities of businesses. It is not that easy to develop
and manage any project, just because of pandemic. Here, certain project management techniques
and tools taken into consideration that may help to handle the situation and are helpful in light of
changes that has been taken place in current business environment (Saeed and Ahmed, 2018).
Prince 2
It is one of those project management tools that are widely utilized and adopted all
around the world by many organizations and people from wide-ranging sectors and industries
(McGrath and Whitty, 2020). It is the best and most effective tool, because it guides project
manager via essentials for managing a successful project like opening Andreea's beauty room.
Prince 2 method encompasses four key elements such as principles, themes, processes & project
environment. This approach is suitable in the context of current project, because it gives simple
and easy guidelines which may take into consideration and get benefits. Furthermore, along with
this, it defines key elements that provide benefits to project manager in term of obtaining desire
outcome and successfully opening a new beauty cosmetic store. It may implement by following

the principles of Prince 2 method and considering seven themes as well as stages of project life
cycle.
Strengths-
The key strength of Prince 2 as project management method is that is embodies the best
practices and helps to promote effective communication by offering a common vocabulary. The
best thing about this method is that it help to handle each project in effective manner by defining
phases of project life circle, from initial idea to closure. It covers important principles that a
project manager may follow and allow them to gain desire results in term of making project
successful, which is quite essential and beneficial for venture as well as customers who are
seeking to buy the best cosmetic item and take stress about skin care during pandemic. Along
with these strengths, it has other as well. For example, Prince2 approach is flexible and easy to
adopt.
Weaknesses-
The main weak point of Prince2 project management approach is that it is the process
oriented so when modifications are needed in middle of opening shop that not be accepted.
Furthermore, along with this, change management in this method is complex as compare to agile
as another project management tool.
Agile-
Just like Prince2, it also included in list of project management tools that are used by
many project managers or handlers to achieve strategic goals and objectives. Agile is an iterative
method that utilized to deliver current project throughout its complete life cycle (Cooper and
Sommer, 2018). The main objective of this approach is to release benefits via process more than
focusing on only at the end of project. At the core, it exhibits central values and attributes of
trust, empowerment, flexibility and collaboration.
Strengths-
Most of the companies has adopted this tool just because of its key features as strengths
and benefits that it provide to users. For instance, it is quite easy to make test related to
integrated part of current project execution stage which means that entire quality of cosmetic
product is greater and according to the expectations of target customers.

In Agile methodology, customers engagement in decision-making process is prior, as it
leads to excellent consumer retention even during pandemic, which is quite beneficial for
organization.
Weaknesses-
Just like Prince 2 method, Agile project management tools also have certain weaknesses
that make it effectiveness less beneficial. For example, it is based on idea that group may not
understand what their end outcomes may look like from initial stage. It is quite challenging for
project teams to predict attempts like time, cost, key resources needed at starting of opening new
shop in complex business environment where everything is changed due to pandemic.
Another drawback of this tool is that it documents happens via a project and often at the
time of building output, not at starting stage, which may put negative impact on team
performance and productivity as well as their roles as they are unable to know what needs to be
taken into action.
Reason behind choosing specific project management tool in the context of managing
project of opening Andreea’S beauty room-
Two types of tools related to category of project management discussed above, among
them Prince 2 method may choose and utilize to open a new beauty cosmetic store in market
where situations being affected because of COVID-19. Chosen approach is useful in light of
changes that have taken place into overall environment of business world. For example, Prince2
provides guidances and good practices which project manager may consider and determine
whether their work is genuinely being managed (Vaníčková, 2017). The main purpose of using
this approach as opposite to other project management tools is that it encompasses four different
layers in which each state specific methods which provide a lot of benefits when manager
consider and follow. It helps to manage the project successfully, effectively and systematically. It
defines clear principles that are less complicated, which may not found in other techniques of
project management. For instance, according to the principle of Prince 2 method, project
manager must identify and justify the reason behind managing and running project, which made
them able to conduct further practices systematically. Furthermore, the second principle stated
that, project manager and their team members need to learn from earlier work, which they may
use in the context of this project.

Third principles drive the attention of teams towards making a clear organizational
structure and plan in which roles and accountabilities of each applicant may mention. Just like
these, rest of the principles provide clear guidelines to each of them who are connected with
project of opening beauty cosmetic shop, and because of this reason, Prince 2 is chosen.
There are variety of project management tools and techniques available in the business
world that many project managers and their group members using to handle specific project. For
example, Agile is also included in same category in which Prince2 is considered. It is as valuable
as other have, but still not relevant for current project, because Agile project management
methodology is mostly utilized in regard to project related to software development where it
helps to promote adaptability and velocity (Rasnacis and Berzisa, 2017). It breaks requirement
relate to project into smaller pieces that is quite good, but do not define how to do that. This
method is not suitable for project of beauty cosmetic shop opening, because it is useful and
relevant for IT related projects (Hanslo and Tanner, 2020).
Waterfall methodology is another project management tool, which play vital role in
success and achievements of projects. It is quite valuable in term of focusing on defined and
clear set of stages. Instead of having key strengths, still this approach is not suitable for existing
project because it was utilized for software development, just like Agile. It may utilize when
trams fully collect needs before work begins, which is important to overcome further challenges
and prevent process of achieving objectives.

In order to implement project in systematic and efficient manner, it is quite important to
develop an effective plan in which varied stages are included and going to apply in action of
presenting plan that has prepared in regard to open Andreea’S beauty room.

In order to complete this project and handle it in systematic and effective manner, after
implementation, specific number of skilled and talented workers require who may work better
and support to open & run beauty cosmetic store successful even having changes in market due
to pandemic. Under the plan for implementing project, this stage comes at first because without
talented and knowledgable employees no one may get success in any project. The organizational
structure is flat and according to that approx 12 candidates are require.

The third step of this plan moves project manager to take initiatives to recruit talented

according to pre and post changes that have been implemented in the world of business due to
COVID-19. It can be said that in order to hire people, an manager used effective and the most
suitable approaches. For example, job advertisement is the best and useful approach that here
may utilize to hire people who discussed above (Volodko, Cockbain and Kleinberg, 2020).
Furthermore, project manager may use other methods as well in order to do so, such as
recruitment agency. With the help of this approach, they may recruit right person for right
position, who perform efficiently and encourage other to do so.

Risks associated to project and measures to overcome these-
Varied types of risks are associated with this project in which manager attempt to open
beauty cosmetic shop, to satisfy need and expectations of customers that has been affected by
changes occur due to pandemic.
Operational risk is related to current project, which manager may identify by looking
for important dependencies in workers, systems, procedures and external structures. This risk is
defined as risk of indirect and direct losses that provide negative outcomes.
Financial risk, is another major risk that is associated to this project and affect
negatively in term of overseeing capital requirement when resources require more than

expectations. By conducting internal research and reconsidering budget, project handler may
identify this risk.

Before and after opening cosmetic store, project manager needs to consider both pre and
post modifications that have been implemented in the business world. For example, before

pandemic no one need to wear mask and carry sanitizer bottle, but due to COVID-19 it is
mandatory for every one even business owner, workers and customers to wear mask and sanitize
their hand. It drives the attention of each person towards purchasing those items which are free
from chemicals, paraben and other elements that affect health in negative manner. The main
reason for these changes are health and safety of individual person.
3- Using SWOT analysis to determine the key strength and weaknesses of individual in the
context of managing project and developing self assessment plan
Here, Swot analysis as specific tool is utilized to identify my strength and weaknesses
that may affect my work as project manager.
Strengths-
 My strength is my skill such as effective communication, which made me able to
communicate with varied stakeholders of this project, who seek to get information about
specific things. With the help of this strength, I had provided clear guidance to staff about
work for which they may consider the pre and post changes happen due to COIVD-19.
 My another strength is time management, because I am able to manager my time
according to work by creating an appropriate schedule.
Weaknesses-
 In conjunction of project management, my weaknesses may affect final outcomes. I am
unable to work in a team in which more than 6 people are working together for making
this project successful.
 I want to improve my leadership skill in which I am lacking as it's my another weakness
which may put negative impact on my work when I had responsibility to lead a team.
 By using above tool, I have identified my weaknesses such as ineffective in collaborative
practice, which I need to improve and utilize in managing projects.

(Konstantinos and Miller, 2021).The varied projects will further head on focus towards larger

ideologies towards effective knowledge practically. Also, i need to further focus towards
determining varied scale competent growth towards new ideologies, which will keenly also
enable me to be confident professionally. The varied knowledge working towards keen
ideologies by usage of best business frameworks, models will enable me to generate wider scale
functional roles actively.
CONCLUSION
By summing up above discussion, it has been concluded that project manager has
successfully completed their project in term of open beauty cosmetic shop, because they had
utilized Prince2 as project management tool, which made them able to achieve desire outcomes.
From above study it has been identified that this method provide a lot of benefits to project
handlers that is accountable to manager process of shop opening from initial stage to end. It has
contributed to implement project by providing directions to do so, which is quite important. This
tool is useful and beneficial at high extent that has been used by project manager in light of
changes that have been taken place in business environment just because of pandemic.
Furthermore, from this report, it has been determined that by project handler has
implemented their project successfully, and generated market share by selling quality cosmetic
products via Andreea’S beauty room. As they had followed each step under plan that has created
to implement project and get success through it, in term of increasing customer base. Project
manager has utilized an appropriate communication plan under which they have used appropriate
tools to communicate with project stakeholders and fulfil their needs.

Moreover, by summing up above analysis, it has been summarized that by using SWOT
analysis tool, individual has successfully identified their strengths in related to project
management and weaknesses as well, which they have overcome by creating self development
plan. It has contributed to improve the performance of project manager in managing their project
and strengthen them to achieved set aims in term of opening and managing shop in pandemic
situation that has been affected the entire world. By considering more suggestions in the context
of work, project handler may handle complex business environment in the future.
RECOMMENDATIONS
 Project manager can take more initiative to handle the project in environment where
everything get affected due to pandemic as there are many rules and regulations emerged
that drive the attention of management towards implementing changes within existing
practices. In order to handle, current project, they can continually take updates about
COVID-19 guidelines provided by the governments in each nation which made them able
to take further initiatives and steps towards beauty shop opening.
 Furthermore, they can conduct market research before opening outlet and mid of this
process, which allow them to understand exact needs and expectations of customers, that
may change due pandemic.
 It strengthens them to work accordingly and offer what people expect from an beauty
brand or company. By following these recommendations, project manager can get
valuable benefits which made company able to be competitive for longer period of time
in the world of corporate.
