INTRODUCTION
Operation management is an area of management which is related to design, controlling,
production and redesigning of the business operation of an organization for manufacturing
effective goods & services. The concept of operation management is mainly utilised to intensify
the efficiency as well as effectiveness for preparing all the activities that influence on the
procedure of business entity (Artto, Ahola and Vartiainen, 2016). Moreover, all the project
management activities associated with the business practices in order to create higher level
efficiency within a business. This project based on the operations of Luton Town residences
(LTR) in which is housing association in Luton and offer effective housing to all local
community with proper concentration and assistance and help to vulnerable individuals. In this
report concentrate on the data storage and sharing all internal communication and collaboration.
There are identified the problem that face by the LTR and wants to sort out it effectively.

Define and discuss data silos and their impact in operations
A data silos is a facility that keeps remains under the control of the one department and is
detached from the rest of the business. It is mainly like to farm silo is closed off from outsider
aspects. A data silos have technical as well as cultural ways. It is tend to be occurred in naturally
manner in the large business entity because of each business have different goals, responsibilities
and priorities. Thus, it is mainly impact on the business objectives as well as on organizations to
effective set breakdown silos that become barrier for cooperation, accessibility and efficiency.
Many time Data silos become harmful for the organisation because it impact on the
productivity and wastages of resources. There are identified two overarching condition that
based on the data silos so there are identified different teams which are working on same data or
store complementary but separate data. These problems are related with different situations and
according to that take appropriate actions. Data silos become reason of inhabited productivity
where facing various condition and have different teams that create problems same data. It
creates many barriers by business that can set particular limit in order to get effectiveness and
require to create balance organisational cost and profitability and receiving central milestone. If
leverage of all the type of key information that creates operations lean, precise and powerful to
supply all the customers (Binder, 2016).

Data silos impact on the operational activities of business in direct manner because all
operational activities based on these data that maintain by he company at particular system and
according to that take effective decision. Some times it become bad and impact on the business
activities and wastage of all resources and lead to bad decision making. It is mainly utilised to
many security threats are identified and evaluating traffic data with unusual patterns. It is costly
which is not maintain by every one and mainly utilised by the large size of organisations to
proper maintain all the activities (Nicholas and Steyn, 2017).

In LTR use 360 facility to manage all the data at particular server which is based on
cloud system. The customer services team usage a mixture of excel spreadsheets for maintain
data for particular four housing blocks alongside word and keep track of present and modify
issues with particular person residents. There are each department use separate system to hold
and analyse information in particular functional areas. For this using emailed requests to transfer
information when requested and also attach file of word and excel documents. The finance team
usage primarily excel sheet in order to record all the transactions and this folder can be transfer
on share point server with restricted analysis to non accredited staff members. The LTR use
share pint server to share information from one department to another department and
collaborate effectively with each others. All the information are handling by each team own level
and use various system that helps to maintain data effectively (Fleming and Koppelman, 2016).

There are specific problem identified in LTR of Emailing system. The communication
system of Luton town system mainly based on the Email and most of the staff members are
complaining the problem of manager the large volumes of email send and receive each day. The
LTR share all the daily news information by emailed services at LTR every morning. As a result
each staff member face the problem of lot of email that not easy top check out easily. Key
information shared here often is missed or ignored by the staff members. Thus, manager remind
the employees in regard of emails after distribution of new letters. Along with customer service
team face problem due to getting response from the company because team members getting
difficulty to clear all the email responses for information to other teams (Perry and et. al., 2018).

As a result in residents having to wait several days. The company also issued some laptops to
staff members bot mostly employees have access to their own PC with a local storage area that
can be arranged and share by the share point drive that is managed centrally (Glukhov, Ilin and
Levina, 2015).
There are identified two potentially alternatives instead of email which are Skype and
personal meting.
Skype: It is a telecommunication application which is mainly utilised by company for
video chat and voice calls between computers, mobile devices, tablets and other smart devices
that connect with the internet. Skype can provide facility of instant messaging as well as video
services. Along with also share images that allows video conferences calls. Such as, LTR usage
this service to communicate with all the team members and provide all the detailed information
in regard their work, internet by voice,, using a micro phone. It is mainly use as freemium
business model that free of charge and for advance features take credit policy and charged by
debit card based user account system called as Skype credit. There are mentioned advantage and
disadvantage of this optional system such as: Advantage: It is useful communication system that utilise by most of the organisation to
work in a team and work from home. This system have various types features where
consist of group video calling that helps to save times or money for the organisation,
businesses can discuss with colleagues and supports to business entity in communication.
In context of LTR is is effective system that utilise by the manager and circulate their
work according to responsibilities and can chat on this system. Along with it provide
advantages to conduct program that allows to discuss with another team member and
connected for free by the PC and other type system anywhere in the world. It is a safe
method which can easily utilise by company and share their data easily (Heizer and et.
al., 2017).
 Disadvantage: The main drawback of this system that face different types of technical
issues of Skype that cut out connections, camera malfunctions and choppy video streams.
Through this system easily connect with each other that become frustrating or useless.
There is a loss of interpersonal connection and government could potentially allows with
wiretapping capabilities. Additionally, due to less internet connection face low quality of
video and voice that impact on work that are conducting by LTR on daily basis.

In the context of LTR it is working in specific manner where manager connect with
particular team and distribute their work for routine activities. The employees easily understand
their task and clarify problem that occur in the business activities.
Personal meeting: It is a effective tool for communication that apply by business and
inform all the specific information face to face. This tool provide advantage of clear all query at
the time of meeting and discuss about the work responsibilities of every person. It is possible to
meet a person that can be introduced to some one where don't have an opportunity to really talk
to them (Heldman, 2018). There are outlined different merit and demerit of this system such as: Advantages: This tool is advantageous for the business where employees feel motivated
and easily understand their work easily. Time to get every person related with the
independent work. Along with sort out problem in regard of work at the time and develop
trust and empathize. This meeting provides a space where conduct all the meetings to
create bond with one another before, during and after meetings. This bonding experience
impact on the foster feelings of trust and require to stay successful business relationships.
 Disadvantage: This tool is ineffective for face to face meetings which is comprised with
numerous number of person attendance. Large meeting become boring particular in a
specific situation where a single person talks for hours. It is taking lot of time and not get
effective results for business. The cost cost may not be much of a concern with particular
income that may increase operational costs.
There are identified two other channels of communication which are helping for internal
communicate and take right decision in regard of business other wise face loss. With the help of
these alternatives communicate on time and do not face problem of lot of emails which is not
easily to maintain in daily routine. It is suggested that company use these tools as per the
situation and circulate among the staff members as per the requirements (Lam and Lai, 2015).

bring out effectively to achieve set target and goals of a project. In this business case consist of
reason of conduct this business project and identify problems to find out appropriate solutions.

There are discussed various option to replace the email and identify all the benefits and de
benefits. Moreover, prepare a time scale and costs that will be incurred over the benefits
realisation time scale.
Reasons
The reason of prepare of this project that focus on data storage and sharing internal
communication and collaboration. To identify the problem of LTR that face by them and create
many problems in regard of business effectively. There are trying to resolve these problem and
replace effective tool in order to establish good internal communication system (Maylor and
Turner, 2017).
Business options
There are identified two options that can be implement as per the requirement such as
Skype and Personal meetings. Both are helpful for business to circulate work on time and sort
out all the problem at the meeting time. Company may be applied according to options but they
are mainly focus on personal meeting where all team leader understand their team work and
according to that take right action on right time. There are not selected Skype because it is
mainly depend on the internet connect and people related with this system software. In case of
low server and connecting problem take more time. And for this system require expertise who
have specific knowledge and know how to maintain all these activities. Thus, there are selected
option f personal meeting that helps to understand of work and take right decision on right time.
Expected benefits
It is expected that through this replacement of emails LTR easily communicate with their
employees and distribute their work as per the requirement. They do not face problem of lot of
emails and focus on those area where required to sort out effectively. With the help of personal
meeting an organisation conduct meeting about their team work and how to complete in certain
period a time. As a result reduce problem of misunderstanding and on time complete of task.
These helps to achieve organisational gaols and objectives on time.
Expected dis-benefits
The expected disbenefits of this system that it takes lot of time and In case of absent of
team leader face the problem of guidance and how to do work. Thus, it is required to take all the
responsibility by leader but in many situation they do not take responsibility and staff members
face these activities. There is not focused on each staff members in regard of work. Moreover

face the problem of low legal and reference value and poor retention by listener (McArthur,
2015).
Time scale
To conduct this project required to lot of time that can be about 6 months because off
require to implement changes in organisational culture and operational activities. At the starting
require to more effort and scheduling in regard of work in proper manner.
After the project it also take time to provide benefits like 3 months because in starting
they get 800 something email but it reduce slowly and complete time on time without any
hurdles.

The Project cost: To conduct this project require to money that can invest into different
activities in order to get effective results on time. These costs are calculated at different level that
are categorised below such as:
Ongoing operation: At the processing of project calculate those cost that direct impact on the
