LITERATURE REVIEW Principles as well as purposes of strategy behind various forms of communication As per the perceptions ofNagle and Müller (2017), it becomes essential for management team of a corporation to design and devise strong communicate strategies so that flow of information within the organisational premises is smooth as well as fast. This would provide assistance to workforce of an entity while interacting with each other on a daily basis. Communication is a crucial aspect that depicts the way in which personnel facilitate interaction within the premise of a company. There are various forms of communication that can be used by individuals or enterprises to interact, such as verbal, written, oral and electronic. A person or a group can select the most appropriate and relevant form in accordance with one's needs and requirements. The staff and management of a company can communicate easily with the help of such forms of communicate and an effective strategy. When flow of information within an entity takes place in an effective and efficient manner, this ensures the sustainability of company in market place for a long period of time. In this regard, it becomes imperative for the leader and manager of a corporation to determine the purpose for which a strategy has to be devised and then carry out structured and well defined planning for actually devising such strategies (How to write an internal communications plan and strategy,2018). This provides aid while ensuring no confusion and ambiguity at the time of interaction between employees and top management or internally among the workforce. When the purpose as well as principles associated with communication and strategy are complied with, this implies clear exchange of vital data in a timely manner. In accordance with the views and opinions ofBerkenkotter and Huckin (2016), it is essential that a strategy is made by managers of a company while taking into due consideration the principles that guide and govern this process within the hyper competitive corporate world. Such principles have been ascertained to be stipulation of purpose and objective of flow of data, clarity, adaptability in terms of linguistic and/or cultural interaction. They utilise eye contacts along with facial expressions with a view to depict their likelihood in the subject of conversation. When effective speaking and listening takes place simultaneously, communication occurs in the desired manner within the stipulated course of time. A business person must not be engaged in interrupting other individuals while speaking. This is so because it demonstrates lack of formal conduct and etiquettes. ANALYSIS AND DISCUSSIONS Southern Group of Hotels has been carrying out its operations within Sri Lanka. This organisation has been constantly facing communication issues owing to which it is considering to adopt certain measures through which this process can be significantly improved within the premises of entity. Effective principles and purposes guiding organisational communication Asevaluated,SouthernGroupofHotelshasbeenimpacteduponbyineffective communication taking place between personnel and departments over the passage of time. It becomes essential for top management team to devise an effective communication strategy. The purpose of this strategy is to facilitate effective communication between the employees and 2
management of an entity. This helps in ensuring that relevant and accurate information gets exchanged within organisational premises in a feasible manner within due course of time. Besides this, it has been assessed that the HR director should keep in consideration various principles that guide and govern the development of strategy. These principle are clarity, integrity, timeliness, simplicity and language that should be used by personnel while interacting in Southern Group of Hotels. By designing an optimum communication strategy and employing all the principles of communication, managers can ensure that necessary information is suitably transferred in a desirable manner within time. Principles of effective communication to enhance practice According to the above made discussion, it has been evaluated that human resource management department ofSouthern group of Hotel does not feel satisfied towards the existing communication. Therefore, they are planning to find out alternative way to overcome the situation. It is important for them to them to strictly follow all laws and regulationsso that communication barrier could be overcome. Also, employee ofSouthern group of Hotel are required to learn develop confidence in themselves so that they can become an effective speaker. Whereas, individuals are also required to observe their surrounding and analytical skills for improving their listening skills. It will also help them out in avoiding chances of distraction or miscommunication at workplace. In addition to this, it is essentials for employees of Southern groupofHoteltodevelopeffectivecommunicationstrategywhichcontributesinthe development of communication skill of employees. Evaluation of communication practices of themselves and others On the basis of feedback taken from team members, superiors and subordinates at Southern group of Hotel, I have identified that my written as well as spoken communication skill is strong but still its essential for me to bring up gradation in my skills so that their efficiency can be enhanced with the changing time. According to the self evaluation, it has been identified that my writing skills are highly professional and adequate as I am writing short but understandable paragraphs which makes it easier for all to find out there accurate meaning. Along with this, all of my statements are elaborative enough which make it easier for reader to understand its actual meaning. In addition to this, it can be further said that I always trying to write specific content which enhances value of my writing. In addition to this, I have uses certain presentation tactics in 3
order to represent my work accordingly so that my batch mates could easily understand my intentions and also receive relevant data. Apart from this, my colleagues have also stated to me that my effective presentation skills gives stiff competition to rivals as my work is of high quality. But at the same time, it has been further analysed by team mates that in some cases I got failed at oral communication as many time I failed to express my actual intention to the batch mates. In addition to this, it has been further analysed some times while giving presentation to colleagues, my stress level becomes heavy on my verbal communication. At this time, in order to overcome this issue I got suggestions to use certain non verbal communication styles such astone of voice,body movements, eye contact and facial expressions for reducing affect of stress level. It also diverts mind of concerned audience and gives me time to manage my stress effectively. CONCLUSION On the basis of above discusses report, it has been concluded that it is essential for business organisations to build up certain strategiesmaking communication effective at workplace. Along with this, it is essential for individuals to develop their verbal as well as written communication skills time to time in order to sustain longer in the company. In addition to this, it is important for HR manager to focus on conducting some training sessions so that skills of employees can be developed in effective manner. Along with this, it can be further said that top management team should also give equivalent opportunity to employees so that they can learn work of others and improve their performance with the experience. 4
