INTRODUCTION
Every project reports requires lot of plan and strategies in order to execute the task in an
appropriate manner. Project management can be defined as a procedure of managing the project
which utilises particular ability, tools, techniques, knowledge so that all the projects goals are
accomplished (Cerdeiral and Santos, 2019). The intention of the project management is that it
assists in analysing the risk and challenges while completing the project. This particular report
deals with the music festival organised by Transport for London (TFL). The report will deal with
the various methodology involved in project management along with the network diagram and a
Gantt chart. Moreover, stakeholder analysis and various risks as well as methods for mitigating
them will be discussed in this report.

Project objectives
The project management plan is referred as a formal document which includes the
structure of the project as well as how a project is going to be executed. This document interpret
the goals, objectives, scope, budget, project time in an effort to keep the record of the project.
The main objective of this project is:
1. The project management plans for staging an open-air music theatre event which are
being executed by the Lords Mayor Appeal Charity (LMAC).
2. The intent of the event is to raise awareness of the LMAC, honour the "A Better City for
All" initiative, and highlighting the work of one of the LMAC's key important charity
partners.
The Methodologies Used For This Project
Methodology Number 1- Waterfall
This method is a development procedure that looks like waterfall because
it includes all the levels that crucial to manage the project and those stages are noted in waterfall
style. It consists of all stages of a project like identification, designing, checking out,
controlling and plenty of others (Cruz, Fernandes and Sardinha, 2021). It is crucial for

the administration to finish first assignment and and then start the second according to this
method. There are 5 degrees on this technique which are requirements, design, implementation,
verification or checking out and deployment and maintenance.
Agile methodology
This methodology assist in organising and managing of tasks to get the better outcomes.
The management of the music event can adopt the agile methodology to response
the assignment as wanted for the process rather then waiting until the process is over. Due to
the numerous functions of an agile methodologies such as quick, open to data-driven change and
collaborative, this approach can be very useful for the administration (Lyra and et. al., 2018).
The testing, adaptation, & common revaluations are executed in short levels of work.
This approach must be utilized by organizers due to the fact the assignment is subject to the
change and outcomes can not be predicted. The Publicity Crew, Production Crew. Cast

Advertising Plan and several different stakeholders are taking part on this occasion, they need

makes it easy to make changes at any level of process. If the organizers adopt
this approach, the music event could be less complicated to manage.

Development of network diagram
Network diagram will assist the project manager to track every component of a project
within a presented time period. It also helps in analysing the shortest time needed to accomplish
the project.

This is one of the phase of project management which consists of one or more actions.

Gantt Charts:
Gantt charts is a tool of project management that displays a plan of a project.

Stakeholder Analysis
The basic step while managing the stakeholder is the analysis of the different
stakeholders and the essential roles they play in the success of the project (Ashaye and Irani,
2019). Along with this stakeholder analysis will assist in identifying the power and influence in
decision making process.
Stakeholder Analysis – Steps
 Determine all the stakeholders: There are different kinds of stakeholders who
participate in organizing a music event. The several stakeholders are administration unit,
audience, the proprietor of an event, finance group, contractor, suppliers and many
more.
 Categorize the stakeholders : A team of management consists of several stakeholders
such as the production crew, audience and many more. Beside this, supplier are regarded
as the people who provide various resources and the contractor with musical group,
designers and many more.

 Measure the stakeholders respond: Every stakeholders who participate in event have
different aspects towards the event as the team of management is used to make decision,
the people will come to watch the event, contractors and suppliers will seek to gain the
money from this event and the proprietor of the land where event is held will have
curiosity in the rent.
Importance of stakeholder in a project.
It is very important for the organisation to analysis the stakeholder as it helps in
executing the project in an effective manner. As they can get involved in decision making
process and can influence the action of organisation which can be beneficial for the project
manager while executing the task of a project (Barabaschi, 2020). Besides this, stakeholders can
affect an event at major portion in both positive and negative manner.

In every event there is a chance of risk. The risk analysis is the accessibility of
equipments, engagement of a children, safety of personnel and serviceman, fire hazard,

atmospheric conditions, poor communication, lifted temperature, expenditure, sound and many
other risk in this event.
A risk register is utilized to control the risk in the project (Khor and Shamsuddin, 2019).
This is utilized to discovery pre determined risk with the purpose to prevent it and to recollect it
for the coming events.

Quality Expectation
Typically, project qualities are expressed in wide terms to assist key stakeholders
to understand each other. Grading the quality expectations will assist in finding quality

tolerances (Henderson and Salado, 2021). They must be expressed at the end of each phase of
management to understand if they need to be cleared or changed because of external factors. In
context with the music festival the expectancy of project quality is high, to fulfill the consumer
expectation. An expectation is defined in a framework then it is altered in respect to find out the
criteria of acceptance.
Acceptance Criteria
The acceptance criteria can be measured in a variety of ways, including cost, dependency,
major functions and even security.
Measures for controlling the event Look at the laws: In an effort to manage the event, organizers must check the local laws. Assess the risks: Management is accountable for measuring the risks, and formulating
plan of action for reducing them. Assess the capacity: Management must evaluate the capacities that are accessible and
make planning in accordance with them.
 Plan for an emergency: with the purpose to organize the event, a plan B must be made.
CONCLUSION
The report can be concluded as project management is the procedure of leading the team
to achieve the goals in suitable time period. The project plan and suitable methods were
mentioned in this report. With the aim of deciding the shortest time, a network diagram and a
Gantt chart are also made. Stakeholders are also examined as some of them have the power as
well as interest in the project. Strategy are adopted in order to reduce the risk.
