As per the project management Institute (PMI), the “Project” is called as the temporary endeavor
which has been undertaken for creating some unique product for the service or the result. Also a
project is considered as temporary as it belongs a definite commencing and ending time. The
project is also defined within a specific scope.
At present day the project plan is considered as the very broad level of plan that is prepared
initially while there is the main focus on the scheduling. Contrary, the project management plan is
considered as the detailed document which has dealt with how the part of the project.
Under scenario as stated in the Dubai Project, the formal document has to be prepared with the
purpose as well as objectives by creating the project charter for carrying out the project. It has
provided with the preliminary delineation for the role along with the responsibilities and also the

Project Description
DUBAI has recently been chosen as a venue for hosting "BEST MUSIC
AWARD 2018" scheduled for 06 May 2018 during evening at Atlantis
Hotel arena from 2000 hrs to 2230 hours. This shall see celebrities and
other dignitaries from all over the world visiting the UAE with an
approximation of 500 persons expected to be in attendance for this event.
The opening ceremony shall be inaugurated by famous music artist
"Shakira" and the best music award shall be presented by his Highness
Sheikh Al Makhtoum. Total budget for this event is AED 250000
maximum including all arrangements which is to be mobilized from potential
sponsors and AED 100000 grant from Ministry of Social Affairs.

i. Venue Management staff failing to show up at designated time for arranging the
stage as Municipality/Event location owners have given specific time to work:
For the effective event management along with the risk mitigating factor, the location of the event
is needed to preoccupy for specific time as the music award program is international one and it
will be broadcast throughout the globe within that specific time.
First of all there must be an approval from the government of the country for taking permission for
this kind of international standard event. Together with this there is needed have the approval from
local area councilor to conducting the program. The local government is found to be respond

along with the advice with specific information so that the team or project members should not be
getting any problem from other localities or any offensive problems would not be happened.
At first time the local government will concerned with at the stage for how the event will be

not be affected by the neighboring community (Larson & Gray, 2013).
ii. Fighting between Stage workers and local security staff
The risk of fighting may be occurred while the stage workers and the local security staff would get
into a conflict. In this situation, the project producer needs to be alert so that there would not be
any political party or the local staff cannot get over any issue for any kind. For this the
Government security and permission should be very helpful to mitigate the risk.
iii. Pivotal error committed by Invitation distribution team by sending invitations to
wrong addresses and no confirmation received from key invitees.
There can be risk of sending invitation to the wrong invitation address as there is more risk to face
as this would be a gathering of many special guests from all over the world. For the risk
management plan is needed to design for eliminating the impact of the wrong invitation. The
invitation thus is needed to be confirmed thrice with the recipients for making it zero percentage
(Open Book Publishing, 2018). Another contingency plan is needed to maintain for this kind of

members. As per the project schedule, there are both easy or hard segments within this project and

initiative the client demand is needed to adjust to reach it by 250 and also the demand which is
increased by 10% annually over the last five years will disappear from the last five years and will
again appear while the increment will continue for the purpose of foreseeable future.
For the purpose of the improvement of the manufacturing processes through the changes as
directed as well as the upgradation of the equipment while the goal to production is increased up
to 400 widgets per day. Depending on the present projections, this company has to experience for
five year timeline before it have to undertake other for increasing the production for satisfying the
growing client demand. In this aspect, while the demand of the client is continued for increasing,
there would be better position for investing another manufacturing site in case they can meet the
demands after the mark of five years.
In addition with this the present production line, there was a 3.6 % defect rate in case of widgets
produced. With respect to this project there is the specific directive that has to attempt for reducing
the defect rate by half in next two years.
Also, for the following project, it has been discovered during the project as below:
1. Capacity of procurement that has been limited due to cash flow along with the budgetary
issues along with the storage. For the new process it is needed to have the consideration
once the production will increase and that would allow the smooth flow within the
procurement as well as the manufacturing.
2. Also, once the widgets of the manufactured have been increased, the demand for the
warehousing and also the delivery would increase accordingly ( HEFLO BPM, 2017).
The project has to run slightly over the projected timeline and thus it would remain within the
budget. From the other underestimated timeline, the space thus required has to store as
manufactured the widgets prior with the delivery. Thus it is needed to occur with the great extent
as there is lowering of the defect rate by 0.6 % approximately, and this will increase the goal by
1.8% significantly. Also the increase in the number of widget unites is needed to store. As there
was not any anticipated contingency plan, it would not unhappy their executives.
