Questions relating to Element 1 – Provide information to the
workgroup about WHS and the organisation’s WHS policies,
procedures and programs
1. Explain in detail how you ensure that you are only providing accurate and
current information on WHS legislation and council WHS policies and
procedures to your workgroup?
Answer: The first and foremost activity for ensuring that the workgroups are
provided with the current information on WHS legislation and council WHS
policies will be the collection of information with precise evaluation of the
Latest Review Date or LRD. The evaluation of the currency of the WHS
legislation and council WHS policies will be conducted with mutual
consultation with the WHS managers of the council as they will be the
responsible authority for any sort of change in the WHS policies and
legislations of their council. Along with that, an efficient cross check of the
information related to the WHS legislation and policies of the council with
the literature of WHS will be significant in evaluating the accuracy of the
information.
2. Detail the strategies you would use to regularly inform your workgroup
on identified hazards and controls relevant to your workgroup.
Answer: In order to regularly inform the workgroups regarding the identified
hazards and the control policies, the best possible technique will be the
consultation with the members of the workgroups. The members of the
workgroups will be invited for a meeting once in a fortnight. The WHS
managers and the executives will be present in the meeting, where they
will share their opinion to the members. Along with that, there will also be
a presentation for the members highlighting the fatal consequences of the
hazards and the control techniques that are required to be applied for
tackling the detrimental impact of the hazards. At the end of the session,
the members will be asked to share their feedback regarding the session
or the content of the session as well.
Questions relating to Element 2 – Implement and monitor participative

1. Explain your council’s procedures for consultation on WHS issues with
identified workgroups
Answer: The council generally follows the practice of the newsletter format for
informing their employees regarding the WHS issues to the identified
workgroups. Within the newsletters, the council share the WHS reports which
contains the general overview, units of competence regarding the maintenance
of the workplace safety with the BSBWHS301A unit. Along with that, the council
shares the BSBWHS404A unit for the elaboration of the techniques that are to
be applied for the identification of the hazards and for the management of risk
assessments along with risk controls. As a result, the connection of the
members of the workgroups with the council through their website access will
be significant for smooth consultation.
2. Explain in detail how you would ensure that issues raised through
consultation are resolved promptly or referred for resolution to
appropriate persons
Answer: It is understandable that the consultation process with the employees
regarding the WHS issues will lead to a situation where the employees will be
able to contribute with various inputs. In such situation, it becomes important
to ensure that such issues or queries get resolved in a prompt manner and the
below mentioned steps are required to be followed for the same:
Primary communication regarding the issue with the WHS managers.
Discussion with the WHS managers and executives regarding the
identified challenges.
Mutual evaluation of the issues and the formulation of the course of
actions for resolving the identified issues.
3. When the issues are resolved, what strategies would you implement to
let your workgroup know of the outcomes
Answer:
As per the comments of (), it becomes important for the workgroup managers
to communicate the progress of a project to the other members of the groups.
With a close look at the strategies that can be employed for communicating the
progress on managing a particular issue, the suitability of the strategies such
as team meetings, individual meetings, formal mails and discussion at the
discussion forums will be significant. From personal preferences, the
significance of the team meetings is observed to be notably high.
