Upgrade of Network in the University Introduction Project planning is one of the significant areas under the domain of Project Management. The document is the project plan for the project of network upgrade in the university. The document comprises of the details of the project scope, costs, schedule, resources, risks, and other areas under project planning and management. Project Scope The scope of the project will include the project tasks and activities around planning and analysis along with the execution, control, and closure. The planning of the project areas along with the collection of the data sets for requirements analysis will come under the scope. The project team members will prepare the network architecture design and the upgrade will be done as per the design (Abrantes & Figueiredo, 2014). There will be a special focus on the security aspect as information and network security will be essential for the University. The integration of the security controls will be done as an outcome. The quality control and assurance activities along with the closure processes will come under the scope. The members of the project team will not carry out the network upgrade for the third-parties and clients associated with the University. The procurements will be done as per the fixed price contracts and the resources apart from the Project Manager will not participate in the negotiation activities. Work Breakdown Structure (WBS) The project tasks and activities are included in the form of a Work Breakdown Structure (WBS). The activities are represented in a hierarchical manner (Ren, Xue & Wang, 2013). The inclusion of these activities in various levels as represented in the diagram below. 2
Upgrade of Network in the University Estimated Timeline The estimated timeline for the project is shown in the images below. The total duration that is estimated for the project is 199 days with the start date being 4thJune 2019 and the end date being 6thMarch 2020. The project will be carried out in a total of five phases. The first phase will include the initiation activities and it will take 22 days to complete. The next will be the planning phase and all of the estimations and plans will be prepared in this phase. It will take 40 days to complete this phase. The execution phase will run for 69 days and the actual upgrade will occur in this phase of the project (Nguyen & Chua, 2014). The fourth phase will be the control and implementation phase that will run for 32 days. The last will be the closure phase which will run for 36 days. The technique that is used for determining the project timeline is bottom-up estimation technique. The activities at the end of the hierarchy in the WBS represented above were estimated first. It was then followed with the activities above the level. 3 Upgradation of University Network Phase 1 Analysis of current network architecture Listing of Loopholes Development of a detailed project proposal Milestone 1: Project Proposal Project chartering Milestone 2: Project Charter Phase 2: Planning Detailed feasibility analysis Information gathering and requirements analysis Project scope definition Schedule and cost estimation Resourcing and mapping of the stakeholders Planning of project knowledge areas Milestone 3: Project Plan Phase 3 Procurement of tools Network architecture design Network upgrade - architecture, topology, security Improved network architecture Security tools and controls - Integration Data conversion and migration Milestone 4: Network Upgrade Phase 4 Quality assurance and control Determination and management of the changes Security testing Milestone 5: Quality review report Phase 5 User trainings and acceptance testing Implementation of the final changes Determination of the final project performance Milestone 6: Closure Report

Upgrade of Network in the University Resources Needed There will be a number of resources that will be required to accomplish the project tasks and activities. The management and planning of the project activities along with the overall control will be done by the Project Manager. The Network Specialist will be involved in the project and will be primarily responsible for the network analysis and will provide guidance during the network upgrade processes. The 4
Upgrade of Network in the University resource will also make sure that the data conversion and migration processes are streamlined (Turner, Huemann & Keegan, 2008). The Security Officer will be involved to ensure that the security tools and controls are effectively integrated in the project. The security testing will also be conducted by the resource. The responsibility of managing and controlling the overall quality will be on the Quality Review Officer. The resource will also participate in the training processes and acceptance testing methods. There will be networking resources as Network Analyst and three Network Engineers that will be involved in the project. These resources will carry out the analysis, upgrade, implementation, and closure activities as per the project requirement. Gantt chart 5
Upgrade of Network in the University Network Diagram Estimated Cost The estimated costs for the project are shown in the images below. The total budget that is estimated for the project is $233,096.00. The project will be carried out in a total of five phases. The first phase will include the initiation activities and it will take $20,296.00to complete. The next will be the planning phase and all of the estimations and plans will be prepared in this phase. It will take $41,480.00 to complete this phase. The execution phase will require $79,832.00 and the actual upgrade will occur in this phase of the project. The fourth phase will be the control and implementation phase that will require $40,800.00 for completion. The last will be the closure phase which will require a budget of $50,688.00 for the completion of the activities. The technique that is used for determining the project 6

Upgrade of Network in the University timeline is bottom-up estimation technique. The activities at the end of the hierarchy in the WBS represented above were estimated first. It was then followed with the activities above the level (Sequeira & Lopes, 2015). Quality Plan It will be extremely essential to make sure that the quality of the project is managed correctly. The quality plan will be needed so that the resources have the guidelines to manage the project quality and meet the defined quality standards. The quality standard that the resources will adhere with will be Total Quality Management (TQM). According to this standard, the quality management activities will begin from the project initiation phase itself and will continue till the project closure (Milunovic & Filipovic, 2013). 7
Upgrade of Network in the University The quality management plan will be prepared in the beginning of the project and the management of the project quality will be done accordingly. The quality control and assurance activities will be performed in the form of security testing, quality reviews, and audits along with the verification of the integration of the network components with the other technical components and applications. There will also be user acceptance testing that will be carried out. The results and outcomes of these testing processes and activities will be used to determine the quality status and will also be used for the purpose of continuous development. Stakeholder Analysis The analysis of the project stakeholders is done to determine the stakeholder type, level of involvementofthestakeholdersintheproject, contributionandinterestlevels, and communication mechanisms. Upgrade of Network in the University It will be essential that the expectations and demands of all of these stakeholders are targeted and included. It will be done with the aid of communication management plan that is covered in the following section. Communications Plan The projectcommunicationswill be conducted in two types as internaland external communications. These communications will be regulated on the basis of the stakeholder types as internal or external. The risks will be managed in phases as initiation, planning, execution, control, and closure (Selim, Hagag & Yousef, 2018). The risk register for the project is included in the table below. There may be scenarios wherein the internal project team members may pass on the information associated with the project to the third-party members unauthorized to access the information. This may be deliberate or accidental activity. There may also be transparency issues among the project team and the external stakeholders. Such ethical issues, if occurred, can have a negative impact on the project (Brioso, 2015). Project Deployment Plan The deployment will be done in the closure phase after the completion of the user acceptance testing activity and the training processes. The deployment will be done once the final set of changes will be implemented in the project. Crash Total Project Duration by 2 Weeks The total project duration will be reduced by 2 weeks without having any impact on the project deliverables. The due date will also decrease by two weeks and it will be possible in the phase 3 of the project. The activities 1.3.4 and 1.3.5 shall run simultaneously and the activity 1.3.6 shall be reduced to 8 days instead of 10 days. This will lead to the crashing of the overall duration by 2 weeks. 11
Upgrade of Network in the University Project Signoff Project Sign-off Name of the Project Stakeholder (Client) Date Sign Off Comments Post Project Review The use of certain indicators as network security report, network response rate, bandwidth consumption, throughput rate etc. will be used to determine and review the project. The post-project review will also be documented and the report will be shared with the internal and external stakeholders. Lessons Learnt I could learn various lessons during the project timeline. I could gather experience on various project knowledge areas and could also determine the execution of these knowledge areas in the project. I could plan the project tasks and activities as per the project requirements and could enhance my skills in the areas of risk management, communication management, and quality handling. I also got a chance to use some of the automated tools to manage the project activities and enhanced my skills in the areas of project handling and management. 12
