INTRODUCTION
Management of project is an art of initiating, planning, executing, controlling and closing
the work of a team to meet specific goals in a specified time (Managing a project. 2018). To gain
the objective of project, it has become essential to manage it more efficiently and smoothly. The
main aim of the project is to produce or manufacture some specific or unique products and
services within dedicated time. In this report, a new hotel City Towers requires to implement IT
facilities into its premise. In order to do this, characteristics, scope, importance, Gantt Chart,
budget, response to risk and quality methods of project are discussed. In the second task, analysis
of the skills and competencies along with project management process, Project Life cycle stages,
leadership theories, administration and control and the problems associated with the managing
the projects are also discussed.
TASK 1
Characteristics of project
In order to implement Audio Visual facilities for conference rooms there are mainly five
key characteristics of project which are defined as under:
Scope
This is the first characteristics of project in which the covered contents are included
(Amoatey and et. al., 2015). The requirement details of steps, procedures, resources and other
aspects are included in this section.
Resource
This section includes different perspectives of what steps ca be taken to meet the desired
objective. The details of different ways is analysed to the project aim.
Time
This section includes the time bound of the project. It includes the details of allotted time
for each of the tasks separately. This helps in dividing the projects in small spans.
Quality
This characteristics states that the quality of completing the project should be up to the
mark. This helps the company in satisfying the needs and wants of customers easily.
Risk

This characteristics helps the project manager to outline the areas in which risks can be
hinder the project to meet its objectives. Apart from that, different ways through these risks can
be altered is also done by project manager.
2. Scope statement of project and its importance.
A cope statement clearly defines the scope of a project. This allows the project manager
to identify the areas in which it is usable. The employees, teams and stakeholders should agree to
the scope of project before it's start. The resources and time allocation is also done with the help
of scope statement (Bayiley and Teklu, 2016). In case of City Tower hotel, the project scope will
help the project manager identify its boundaries, constraints, assumptions, deliverables, criteria
etc. hence it has large importance. Implementing the AV facilities services in hotel has a wide
scope because it helps the customers and management to communicate with their seniors easily.
3. Identification of critical path and Gantt Chart.
Gantt chart is the graphical representation of the activities with respect to time. The
representation is done with the help of horizontal and vertical axis. Horizontal axis represents the
time span and the vertical axis represents the activities of project. Following is the Gantt chart of
the project.

Critical path
This is the method through which shortest time of completing the project is determined.
This helps the project manager to identify the best path in large organizations. According to the
Gantt chart, critical path of completing the project is shown below:
4. Project budget
Project budget is the capital required to complete the project within time. In order to
identify the project budget of AV facilities in City Towers following are the key costs in a
project budget.
 Defining the labour costs.
 Estimating the labour cost and check against these needs.
 The travel cost is also included if the project site is far from the company's head office.
 The cost of project office should also be identified in order to accomplish the project with
its objectives (Bhoola, 2015).
 In order to meet the needs of labour's requirement, the cost of machineries should also be
included.
 In order to administer the project, cost of project administration should also be included.

 In the end, if there is any requirement of project management software, than its cost
should also be included by the manager.
All the above details will help the project manager to identify the budget of implementing
the AV facilities in hotel City Towers.
5. Response to risk
It is the process through which different risks to be eliminated at the time of completing
the project. As it is discussed in the project scope that there cold be many risks which can come
while achieving the project objective such as lack of capital, market or strategic risks etc.
Financial risks could be eliminated with the help of preserving back up funds and the strategic
risk can be eliminated with the help of proper surveillance of project under the guidance of
manager (Cleden, 2017). In case of AV facilities, risks can be eliminated in order to achieve the
objective of providing better IT services to Hotel City Tower.
6. Quality method to ensure the succession of project.
Quality methods are used to ensure the success of project whether it is completed or not.
In order to check the quality of product there are many methods which are stated as below:
Project evaluation
Project evaluation is the process through which the success and failure of the project is
evaluated. The project manager has the responsibility to check the outcomes and the desired
objectives of project so that they can identify whether the project has reached to its objective or
not. The project manger should also evaluate each stage of project life cycle to promote it
towards the way of success. In case of AV facilities, the manager should visit the site of City
Tower so as to satisfy the desired outcomes of implementing the IT services.
Monitoring
This method is used from the starting stage of project life cycle (Davies, Gore and Khan,
2015). Each stage of project should be evaluated by the project manager so as to take the project
on the way of success. This process is used to identify the progress and performance of project.
Controlling
This is one of the most important method for quality checking. In case of any failure, the
project manager should control the risks in order to make the success of project. Eliminating the
risks helps the project to be completed within time and accuracy. Thus the IT services within
City Tower could be implemented in an efficient and better way.

TASK 2
Based on the above discussed scenario, City Tower hotel which is establishing in
Dockyard area of London requires to establish IT services within the hotel premise. These
services include communication and therefore AV facilities are provided to the Hotel. In order to
complete the project of AV facilities there are some skills and competencies which are stated as
below:
Skills and competencies
In order to complete every project with accuracy and effectively there are some skills
which should be in each employee who are engaged in the project. These skills are helpful for
them to identify the basic criteria of succession of project (Hillson, 2017). The skill required by
the employee in order to complete the project are stated as below:
Time management skills
This is one of the important skills which are required by the employee engaged in project
completion. Succession of the project depends upon completing the project within specified time.
To complete the project within time employees should divide the tasks in short spans. These
spans help the employee to achieve small targets easily and thus the project can be completed
within time. In order to implement the AV facilities, the manager should identify already each
and every resources so that any delays can be eliminated.
Leadership
This is also an important skills in order to make the project successful. The team
members and the leader should have this skill so that any type of issue can be overcome. The
leader should act as pioneer to the employee before implementing any tasks (Laudon, 2015).
This will help them in completing the IT services progressively and efficiently. The AV
facilities of City Tower requires a wide range of leadership activities so as to satisfy the
administration of hotel.
Problem-solving
While completing any project, the arrival of issues is general. The project manager has
requires to have the skill of problem solving at the work place. The problem could be conflict-
ion among the employee, lack of funds and capital etc. In case of implementing the IT services
within City Tower, the leader should resolve the problems as soon as possible so as to confirm
the success of project on time.

Communication
Better communication is also necessary for the succession of project. To complete a
project formation of team is required. An individual cannot compete a project of its own.
Completing the project in team communication is an essential part so that completion of project
can be done with same perception. Apart from that, it can also help in eliminating the conflict-
ion among the employees. Therefore communication can help in implementing the AV facilities
on time.
In order to complete the project on time, the project manager should split the team in
maintenance team, customer support team etc. (Matinheikki and et. al., 2016). This will help
them in working with their own abilities and giving their full potential. Perfection will come
when expertise of the field allows to do their work.
Leadership
There are many leadership style which are helpful in competing the project within time
and accuracy. These leadership styles define the type of support and decision-making style of
leader within project.
Situational Leadership
This leadership style suggests that leaders should adopt the leadership style according to
the situation. Sometimes condition arises when the universal leadership style does not fits,
therefore a leader should be flexible in nature so as to implemented the leadership style
according to situation (Pinto and Winch, 2016). The leadership style chosen at the time of
implementing IT services within City Towers should depend upon the requirement of situation.
This will help the leader and employee to develop its decision-making skill. This will also help
them in implementing the AV facilities in efficient and effective manner.
Autocratic Leadership
This leadership style is helpful for the leaders to take quick decisions. The leaders within
the organization have full right to take decision alone, therefore they will be able to take fast
decision. With the help of this leadership style, the leaders can help the employee to provide
quick solution whenever needed. Therefore the completion of project will be done on time. Apart
from that, leaders can also develop its boldness while making the decisions. New and innovative
ideas also come when the leader have to take quick decisions. In case of implementing the AV

facilities in City Tower hotel, this leadership style will help the team to complete the project
within time as of the power of making quick decisions.
Transformational Leadership
This leadership style mainly focuses on to motivate the employees in order to increase
their productivity and efficiency. This style help the employees to enhance their skills and
abilities according to the current situation (Remington, 2016). In addition to this, leaders set
higher targets for the employees and expects from them to achieve those targets with higher
accuracy and efficiency. This allows the employees of Hotel Communications Ltd to enhance
their skills and competencies. In case of implementing the AV facilities in City Tower hotel.
This theory help the leader to motivate its employees to complete the project within time and
efficiency.
Democratic leadership style
This type of leadership style focuses on to engage the employees in the decision-making
process. The leaders while making the decisions engages the employees. This will allows the
employees to feel important for the organization. The opinions and ideas of employees in making
decision will help the leader to take effective decision in favour of the project. Due to the
motivation, employees work better and in an efficient way. In case of implementing the IT
services in City Towers, this motivation will help the employees to work harder and thus the
probability of succession of project will increase. Apart from that, effective decision making also
help in making the way of succession of project.
All the above mentioned styles of leadership are necessary for the proper implementation
of AV facilities in Hotel. This allows the employees to have proper leadership which will guide
them in doing their work within time and in an efficient manner.
Project Life Cycle Stages
Project life cycle is the must tool to follow before completing the project. This model
help the leaders to finish the project with more chances of its success (Shokri and et. al., 2015).
This method help the leader to decrease the wasted money and resources and the stages of it
allows them to inspect the in between phases. Project life cycle has four main stages which are
stated as below in diagram:

These phases allows the project to be completed after testing and surveillance of the
leader. The four stages includes are explained below:
Initiation
This is the first phase in which identification of the project, required resources, feasibility
of the project, problems, opportunity and the ways through which different issues can overcome.
Apart from that, objective and the deliverables are also identified within the first stage. There are
some aspects also which are necessary for the company to start the project life cycle in initiation
phase. These aspects include identifying the project stakeholders to whom the the project affects
or not and the cost and benefits of the project are also identified. In case of implementing the
AV facilities in City Tower hotel, all the above aspects needs to be identified by the project
manager so that they can start their project without facing any issue in future. This stage help
them to identify the future risks also and thus the succession of project starts.
Planning
This is another phase through which planning of the execution of project is done.
According to the planning phase the project is divided into smaller tasks, formulation of team
and the time schedule to complete the project is done (Torrecilla-Salinas and et. al., 2015). This
allows the tasks to be completed within smaller targets so that it will be easy for the managers to
investigate the project in between it. In case of implementing the AV facilities in City Tower

hotel, the task should be divided in smaller tasks. Smaller tasks have higher chances of success
therefore the chances of project succession will increases in this phase.
Execution
After the initiation process and planning process, now its is the time for executing the
plans and other ideas for developing the project. This phase helps the leaders to turn the plan into
action. The work of team leader in this phase is to keep the work on track, organization the team
members, organize the timeliness of project and keeping an eye over the work which is done
according to the original plan or not. In this phase the leader has to distribute the tasks to all its
team members according to their capability. This allows them to do their tasks as per their
expertise. Thus the implementation of AV facilities in City Traders help them in doing their
project on time and with accuracy.
Closure
Once the work has been completed by the team of project, than is the time to close the
project by applying the final deliverables and determining the success of project (vom Brocke
and Lippe, 2015). Although the work has been done by the employees but still the task of leader
not finishes. It has to evaluate the success of project whether it has meet its objectives or not. The
leader has to determine the progress of project and performance of its employees and recommend
about any changes if required. In case of implementing the AV facilities in hotel, closer will
finalise the project and implementation of the project has been evaluated.
Administration and Control problems
There are various problems which can affect the successful completion of the project life
cycle which are stated as below:
Undetermined goal
Undetermined goals cannot take the way to towards the succession of project. They are
helpful in setting the plan and course of action so that desired result can be achieved (Walker,
2015). From the initial stage of project life cycle, the goals of project are defined and thus it
forwards. For example: if the company is unaware of the quality of projector and audio or video
equipments than they will not satisfy the City Tower hotel.
Lack of skills
If the skills in employees are not up to the mark than succession of project cannot be
determined. The employees should have skills like, time management, problem-solving skills

etc. These skills help the employees to move forward in completing the project with an ease. In
case of AV facilities, if the employees have not the skills than project could be delayed by time
and thus it will not worth for City Tower hotel.
CONCLUSION
In this report, it can be concluded that managing the projects is an essential part in order
to make them succeed. To allow the project on the way of success, characteristics, scope, Gantt
chart, budget risk evaluation and quality methods help the project manager to identify the main
aspects of completing the project with more efficiency and productivity. Apart from that, skills
and competencies help the employees to develop their skills to finish the task. In the end, project
life cycle also allow the project manager to identify different stages of successful completion of
project. Different leadership styles help leader in making decision and the evaluation of issue in
project life cycle also help them in detecting the problems and eliminate them.
