Procedure for Workplace Planning
Step 1: planning and consultation
This process involves developing and implementing the workplace policies to promote
awareness ownership, understanding, and compliance. It helps to determine when the
systems are supposed to apply including the possible scenarios.
Step 2: research and define policy terms
The analysis should be explicit whereby it can identify all the keywords in the policy so that the
employees can understand them. The system should be able to explain the acceptable and
unacceptable behaviors in the organization. They should also be clear about whom the
policy implies. They even to need information on what to do if it is not possible to follow
the procedures
Step 3: Draft policy (How the Systems should be)
Written in plain English the laws are easy to understand. When the language is not interpreted,
then it is essential that the policies be translated into other alternative words in their first
in word if not English. It is mandatory that all the employees have understood the
meaning of the policies
Step 4: Implementation
Publication of the policies makes them effective and accessible all existing and new employees.
Explanation of the policies to employees through information and training sessions, at
employees meetings and during induction is also resourceful. Reiterating the policies and

discussing them on a regular basis ensures that they remain relevant. Copies of policies
should be easily accessible. Copies may be kept in folders, policy manuals and available
on the organization’s intranet system
Step 5: Compliance
It is important that policies apply consistently throughout the organization and a breach be
properly dealt with promptly and in accordance to the procedures set out in the policy.
The consequence of the breach should also suit the severity of the breach – whether it be
a warning, disciplinary action or summary dismissal (Taffer, 2013). A
termination/disciplinary policy highlights what the organization considers being serious,
willful or gross misconduct, for example a breach of a confidentiality policy.
Review policies regularly to ensure they are current and in line with changes within the
organization. Where policies are significantly changed, they should be re-issued to staff
and the changes explained to ensure staff understand the organization’s new directions.
These changes should also be widely publicized.
