Executive summary
Yachts Australia operates in the heart of the Great Barriers Reef on the tropical coast of the
Queensland at the Whitsundays islands. The business deals with charter yacht fleets in the
best cruising grounds with access to over 90 national park islands and 9 different resorts
ranging from wilderness to 5-star luxury.
Alice and Paul who own the business have currently increased the fleets and the services
offered to the customers. The owners have franchised operations to include various outlets in
several pristine locations in the northern and west of Australia. Additionally, the business
intends to establish self-skippered one-way trips across Australia for the more experienced
yachtmen.
However, with the expansion in operation, the business has started to experience challenges
in operations. The challenges include the continued use of printed sheets, doing calculations
manually and scheduling from one master calendar. The business would like to shift to a
computerised system that reduces simplifies the activities. Furthermore, the business has
stored past customer information in Alice’s head, which looks unprofessional and frustrates
the employees. Therefore, the business would like to have a system with up to date details
about the yachts, staffs and customers. Moreover, the receptionists have security concerns
about the ease of access to the computer system, which calls for a more secure system.
Additionally, the business lacks a method of identifying whether the business grows at the
same rate as the market, which calls for an analysis method.
System request
Yacht Australia requires developing a system that improves operations and portrays a
professional image to the customers and the employees. Therefore, the system requires
achieving all the requirements by developing a software that solves all the problems
experienced by the business. The system requires an online booking system where the

customers log in and book the services. The new system should allow the customers to
identify the yachts available on the required day together with the prices (Boag, 2018).
Moreover, the customers should automatically book the yachts with the accompanying
services and complete the booking by paying using electronic payments. The solution will
bring to an end the manual booking and calculation of the amounts that the customers should
pay.
The system also requires a backup system that will provide all the information about the
customers to stop relying on Alice. The backup system will provide both past and current
information about the yachts, staff and customers. Therefore, the business does not suffer the
risk of losing information and the operations will look professional (Sahoo, 2018).
The other requirements focus on increasing the system’s security to prevent unauthorised
access to the information. The system will require firewalls to prevent access by external
unauthorised persons such as hackers. On the other hand, the business should create a
password only known to the authorised persons and not easy to guess.
Furthermore, the system requires an analysis software that collects data from the market to
establish the level of operations. The analysis software should give continuous reports about
whether the operations align with the market trends (Sahoo, 2018). The software should also
give solutions to the factors that result in the business operating at lower levels than the
market.
The work plan
The system will adopt a work similar to that of a project. The first stage includes planning the
various components of the system that will solve the challenges within the business (Boyer,
2018). The components include the development of security measures, a backup system, a
booking system and an analysis software. Additionally, the planning stage will include the
selection of the experts to involve in the system development.
