4.1 Solution for a work based problem
Being a director in EU Trans Ltd. I was facing communication problem
within the organization. Many of the employees were not having
communication with other department employees, this was also
increasing communication gap between them. Due to communication gap
team conflict was also taking place and affecting whole working practices
of the organization. However, with the coordination of firm's management
team we organization a team building meeting which started with the
introduction of all employees to each other. This team building meeting
was carried forward by the team building activities, Where team members
have to perform a task with each other's coordination and collaboration.
After this activity, training and development session was provided to all
the employees for improving their communication skills. In this training
program trainer evaluated the benefits of listening and communication
with each other.

As a result, this team building activity played significant role in resolving
the issue of communication problems and team conflict. With the team
building activities employees are now able to communicate with each
other easily. Moreover, with better collaboration and coordination
between different departments, the organization got the healthy
environment which increased the efficiency of work and increased the
productivity. With the help of effective communication the firm can easily
achieve its goals and objectives.

4.2 Communication styles used at various levels
Communication is very important for achieving goals and objectives of an
organization. Efficient communication is essential for individuals for their
personal and professional development. The communication styles varies as per
the level in the organization. However, there are three types of communication
skills are there, These communication skills are as follows,
Interpersonal communication skills: This style of communication
includes a process in which people exchange information through verbal
and non-verbal messages. Interpersonal communication is a face to face
communication. Interpersonal communication in organization is used for
give and collect information which influences the attitudes and
behaviors of other employees. This style of communication at
organization helps in maintaining relationship. In EU Trans Ltd.
interpersonal communication is mainly carried out by employees for
routine work operations. As per this communication they communicate
through meetings, group discussions and telephonic communication etc.

involves facial expressions, eye contact and gestures displayed through
body language. This style of communication allows people to Reinforce

EU Trans Ltd. the employee can efficiently communicate with gestures
and body language.
Written communication skills: Written communication plays significant
role in current business environment. Effective written communication is
necessary for creating worthy results for business development. Effective
written communication includes careful choice of words, so that recipient
can perceive the message in correct manner. Written communication helps
EU Trans Ltd. in implementing effective strategies and policies for
business growth. In cited firm Written communication normally used
between management level and middle level employees to communicate
with each other. For example, communication through emails, reports,
circulars and notices.

4.3 Evaluating the use of effective time management strategies
The effective management of time is essential for individuals and for the
organizations as well. The word time management is not correct because time
cannot be managed only events can be managed. Every individual gets the same
time frame to complete their works. Being a director in EU Trans Ltd. I have
implemented few time management strategies. These are as follows,
Set Priorities: For managing time effectively it is very important to create
distinction between important work and urgent work. One of the very
effective way to prioritizing the task is by making works to do list weekly,
monthly, or on daily basis. However, it is very important to be careful
while prioritizing so that multiple lists at the same time should not be
created.
Utilizing a planning tool: Further, after prioritizing the tasks the firm can
use planning tools for improving productivity of the organizations. These
planning tools can be electronic gadgets, pocket diaries, calenders,
computer applications, index cards and note books etc. Thus, the
individual can note down their tasks and schedules in this planning tools
for effective time management.

Get organized: Being a director in EU Trans Ltd. once my weakness was
also disorganization. But now by applying effective time management
strategies I have organized my work in efficient way. Disorganization is
a result of poor time management. However, to organize the works and
things all the documents, bills and reports should be saved in files and
folders with labeling, so that it does not consume so much time
whenever those documents are required.
Schedule your time appropriately: Time scheduling is not just a
recording of tasks to do but also it makes a time commitment for the
completion of tasks. However, tasks should be scheduled as per the time
per task is going to consume.

Stop procrastinating: Moreover, putting of so many tasks for variety of
reasons is not good. Delay in work affects the personal and professional
growth of an individual. If some task seems uninteresting or unpleasant
than also it can be continued perfectly. However, it is very important for
individuals to complete the tasks without any delay.
Avoid multi tasking: In recent research it is observed that multi tasking
does not save time actually it consumes more time of an individual in
switching one task to another which result in decreased productivity.
However, it is recommended that individual should not do multi tasking,
they should complete their work one by one for effective time
management.
