INTRODUCTION
In the present era, company places more emphasis on team work rather than individual
aspects. For working with other people such as supervisors and staff personnel require high level
of qualities and competencies. When, staff of the organization effectively work in a team then it
may result into high level of productivity and profitability. Besides this, for provides right direction
to the individual HR manager must have all the leadership qualities and characteristics. Through
this, human resources(HR) manager is able to motivate the people to the large extent.
This project report is based on the case scenario of Purple Mail company (PMC) which is
one of the largest courier company of London. Now, company is facing effective leadership,
administrative and management problems. In this regard, the present report will discuss the process
which PMC needs to follow while recruiting and selecting people. Further, it will also describe the
effectiveness of the different styles of leadership which helps in managing people more efficiently.
It will also shed light on the motivational aspects of personnel and team work which is vital for
the growth and development of PMC.
TASK 1
LO1: Be able to use recruitment, selection and retention procedures
1.1 Preparing documentation towards the recruitment and selection process
On the basis of the cited case scenario PMC is facing problem in managing the
administrative aspects. In this, being a HR manager following Job description and specification has
been prepared to fill the position of administrative manager are as under:

With the aim to attract suitable candidate for the vacant position PMC can use newpaper
for placing advertisement regarding the job. Moreover, it is the most effectual way which will help
in attracting the large number of potential personnel. Further, PMC can also invite more people by
making advertisement on the social networking sites. Through this, business unit can develop
awareness among the large number of skilled and talented people about the job. Thus, this standard
process will help company in recruit and select the best personnel for the job.
1.2 Assessing the impact of legal, regulatory and ethical considerations to the recruitment and
selection process for PM company
Legal, regulatory and ethical aspects have high level of influence on the recruitment and
selection process which is employed by PMC. With the aim to hire the best personnel for the
vacant position PMC follows the several rules and regulation which are enumerated below: Legal and regulatory considerations: In order to build effective corporate image and to
attract the best candidate for the job business unit requires to follow the below mentioned
rules and regulations:
Discrimination act: On the basis of basis of this act company does not discriminate people
on the basis of age, sex, race, religion and caste etc. According to this act, PMC requires to give
preference to the skills, competencies and potential of the personnel rather than other aspects.
Company needs to offer employment opportunity to each people who possess the desired level of
skills for the job advertised by the company (Bose, 2002). Through this, PMC is become able to
build or sustain good image in the mind of existing and potential personnel.
Equal opportunity act: According to to this act, company needs to offer equal employment
opportunity to all the people for the vacant designation who possess the skills and qualities. In this,
PMC do not discriminate personnel on the basis of their disability and colour. On the basis of
company needs to consider the abilities and competencies of people while recruiting the personnel
rather than their colour such as black or white (Brezina, 2008). Besides this, company also needs to
offer opportunity to handicapped or other disabled people who having required level of qualities.
Thus, business organization needs to prepare distinct job description and specifications which offers
high level of convenience to them.
Ethical considerations: As per the ethical consideration PMC should not disclose
information of candidate in front of others without their permission. Besides this, company
also needs to treat the candidate in a polite manner irrespective that whether they will recruit
such personnel or not (Brody, 2005). By following such aspects PMC is able to raise

Hence, by complying with all the laws and legislation which are framed by UK government
PMC is able to talented people for the job. Moreover, productivity and profitability of the firm is
highly affected by the potentials and competencies of the personnel. In this, if PMC will offer
employment opportunity to all the potential personnel then they are able to get and build skilled
workforce. In this, with the help of highly skilled people PMC is able to deliver quality services to
the customers. Further, by taking into consideration the standard process of recruitment and
selection process PMC is able to develop job security among the personnel. Through this, company
is able to motivate and thereby retain the personnel for long run. This in turn helps in enhancing
their productivity and thereby makes improvement in their financial position.
1.3 Participation in the selection process
Being a HR manager of PMC, active participation has been made by me in the recruitment
and selection process. For this purpose, first of all HR manager have identified the need to
personnel. Thereafter, as a HR manager job description has prepared by taking into consideration
the qualities which require for performing the business activities more effectively and efficiently.
This job description provides high level of assistance to the manager in evaluating the skills and
proficiency level of the personnel according to the desired level of job (Hayes, 2002). Once job
description has prepared, then working as a HR manager in recruitment team advertisement has
been made with the aim to attract suitable personnel for the vacant position. Moreover, by placing
advertisement in the newspaper company can attract all the potential who having skills or qualities.
Thereafter, being working as a HR manager there are several applications has been
rejected and only few were selected. By keeping this fact in mind, interview round has organized
for the selection of suitable or best candidate. In the interview session, recruitment team ask
questions from the personnel with the aim to evaluate their qualities and abilities (Latham, 2007).
On the basis of this aspect, recruitment team of PMC has been selected the personnel who scores
high in interview session. By taking into account all the above aspects PMC offers job to the
skilled personnel and thereby make employment contract.
1.4 Evaluating the contribution in the selection process of an organization
As a HR manager of PMC I have made my best efforts during the selection process of the
personnel. Working as a HR manager I have responsibility to make decision in relation to the
recruitment and selection of personnel by identifying the needs of human resources. Further, I
have also discussed all the aspects with the Board of Directors(BOD) before making any decision in
relation to the recruitment and selection. Moreover, final decision about the selection of personnel

has taken by the BOD of firm. Along with this, I also having right to motivate the team member of
recruitment team to follow all the legal rules and regulations.
Being a HR manager I have performed my duties and obligations to the large extent by
following the all discrimination and equal employment opportunity act. During the selection
process I have placed advertisement and invites both men and women. This aspect shows that equal
opportunity has been provided to both both men and women. Further, I have not discriminated
people on the basis of the caste, religion, disability etc. Hence, during the selection process different
members of the panel plays varied roles and responsibilities with the aim to hire the best personnel
for the job. During selection process I have shortlisted the people who are interested to work in
PMC. Whereas, BOD has discussed the salary and other terms and conditions with the personnel
who have applied for the job. Besides this, senior managers has mapped the abilities and
competency level of the personnel (Hawkins and Cole, 2008). On the basis of this aspect, it can be
stated that each member of the selection panel has made their best efforts for the selection of best
candidate. In this, by hiring the right personnel company is able to improve their performance to the
large extent.
LO2: Understand the styles and impact of leadership
2.1 Explaining the skills and attributes which are required for leadership
Leadership refers to the influence of one people on the decision making aspect of others. In
the present scenario, effective leadership is required for fulfilling the aims and objectives of the
business organization. On the basis of the cited case situation PMC is suffering from the leadership
problems. This is turn resulted into low level of motivation among the employees and high level of
employee turnover. In this, leader of PMC must haver the following skills and attributes are as
under:
In regards to PMC, leader having ability in relation to motivate the employees of the firm.
Besides this, leader also inspire the workers to make their best efforts which helps them in
raising the employee productivity and profitability to the significant level (Pors and
Johannsen, 2002). This aspect will assist firm in improving their performance and position
in an effectual manner.
Leader also must have ability to solve the issues of personnel more quickly and in a unique
manner. It evolves high level of satisfaction among the personnel and thereby motivates
them to work with the firm for longer duration.
Further, being a leader of PMC personnel needs to make focus on building an effectual and
harmonious relationship with the employees, suppliers and customers (Stirling and

having ability in regards to framing competent strategies and policies which will help in
attaining success in the competitive business arena.

2.3 Comparing the different styles of leadership according to the varied situations

leadership style. PMC can adopt the below mentioned leadership styles to manage the business
activities in an effectual manner are enumerated below: Democratic leadership style: Under this leadership style, manager of the firm encourages
employees to take part in the decision making process. In this, manager evolves feeling
among the employees as their suggestions are most valuable for the firm. Democratic or
participative style of leadership places more emphasis on the decentralization of the roles
and responsibilities (Waltz, 2009). It helps in boosting the employee morale and thereby
helps in implementing the change to the great level. For instance: when company is
planning to introduce change within the business organization then this style of leadership
provides high level of benefit to the firm. In this, personnel of the firm easily accept the
change because they are also the part of decision making.
Autocratic leadership style: In this, manager takes decision by their own without taking any
input from others. Hence, in autocratic leadership style manager imposes their decision on
the personnel which they require to follow. This style is highly suits to the employees which
requires close supervision. As compared to the participative style, autocratic leaders
negatively affect the innovative aspects of the personnel (5 Different Types of Leadership

Thus, this style of leadership is not highly effective because it negatively affects the
motivation and morale of the employees.
Laissez faire or Free-rein leadership: It is suitable when employees require very little or less
supervision. Laissez faire leadership style may be practised in those organization where
personnel are highly trained, skilled or talented (Petty, Manroop and Linton, 2015). In
comparison to democratic style, free-rein leadership affects the productivity of those
employees which require training and close supervision. For instance: Google follows
laissez-faire leadership style because it having highly skilled and talented people.
2.4 Stating ways to motivate staff for the achievement of objectives
According to the cited case scenario, employee turnover of PMC has increased significantly.
Low level of employee motivation and morale may one of the main causes due to which they prefer
to leave the organization. Given case situation describes that along with some senior managers, 100
employees of PMC has left the organization. In this, there is a high level of requirement for PMC
to motivate their personnel. Ways for motivate the personnel are enumerated below:
In this regard, PMC needs to take assistance from the Maslow's need hierarchical theory
which clearly reflects that needs and wants of the individual are arise in a specific order such
as psychological, safety, belongingness, esteem and self-satisfaction needs. According to
this, when once level of needs are satisfied then others are arise.
Along with it, PMC also needs to follow Herzberg's theory of motivation which clearly
entails the factors which may cause of satisfaction and dissatisfaction among the personnel.
Thus, by making assessment of all such factors company is able to undertake suitable factors
which help them in evolving satisfaction among them (Pinder, 2014).
Manager of firm also needs to develop positivity within the business environment. By
developing harmonious and effective culture company is able to encourage their personnel
in the best possible manner.
Besides, leader or manager of the business unit requires to offers quick solution to the
personnel by listening the issues or problems which are facing by them (Taylor, 2014).
Hence, by following all the above mentioned aspects or theories PMC can enhance the
motivational aspect of the employees. It enables personnel to strive their best efforts which will
make contribution in the attainment of organizational goals and objectives.

3.1 Assessing the benefits of team-working for PMC
In order to improve the business performance of PMC manager needs to make more focus
on team work which will offers the following benefits to it: Foster innovation: In team, different people comes from different backgrounds and having
varied skills, knowledge and ideas. Thus,in team people share their knowledge and ideas at
workplace and thereby build up their proficiency level. Besides this, in team people combine
their efforts and try to think in a unique manner. Thus, team work will increase the creativity
of the employees in PMC. By this, organization is able to offer quality services to the
customers. This in turn, helps in maximize the productivity and gross margin of the firm
(Seabra and Almeida, 2015). Improving the morale of personnel: In team, members having right to take decisions by their
own about working aspects. In this, greater responsibility increases the morale of employees
to the large extent. It enables firm to retains the personnel for long run. Building trust: When people work in a team them it facilitates effectual relationship among
the members. It enables firm to develop positive working environment which may result
into high level of employee productivity and profitability.
Encourages risk-taking ability: Individual are encouraged to take risk while they work in a
team. Risk and return have high level of positive relationship with each other (6 Benefits of

motivate the team member to perform their tasks with the high level of efficiency. In
addition to this, I will make evaluation of the performance and skills of personnel in against
to the set standards. By this, I can easily assess the training and development need of the
members. I will also understand effectual leadership and problem-solving skill to address
or removing the conflicting situation in the best possible manner.
As a team member: In team activity, I have played the role of the customer assistant. I
having responsibility to give satisfactory response to the customers in relation to the
queries which are facing by them. It provides deeper insight to me in relation to the
problems or issues which customers of PMC might face while getting or receiving the

courier services. Thus, it helps me in developing the customer handling skills in an effectual
manner. Hence, by developing the skills I become able to make vital contribution in the

3.3 Reviewing the effectiveness of the team in relation to achieving the goals
Team activity has proved to be more beneficial for me which will assist me in performing
the business activities more effectively and efficiently. Through the role play activity, I have
developed several abilities which will help me ion offering the effective courier services to PMC.
Further, team-working activity has also developed my ability in relation to work in a highly
cohesive manner in a team. Along with it, I have also learned the skills in regards to deal with the
conflicting business situations. Besides this, communication, decision making as well as problem
solving skills of mine are also developed. On the basis of this aspect, it can be stated that team
working activity has made contribution in my proficiency level. Through this activity, I become
able to perform the business activities more effectively and efficiently. It will ensure the timely
accomplishment of the organizational goals and objectives.

work performance
Being a HR manager, there are several factors which has been considered while monitoring
and assessing the performance of the employees:
During the evaluation of the work performance of the personnel of PMC, as a HR manager,
needs to undertake the organizational goals and objectives. Moreover, each effort or activity
of the personnel must be integrated with the vision and mission of the firm.
Further, business enterprise needs to set benchmark for the assessment and monitoring of
performance. In this, as a manager actual performance of the firm has been evaluated in
against to the set standards. By this, company is able to assess the training need of individual
in an effectual manner.
Besides this, I will also communicate the parameters and benchmarks to the personnel
which are set by the business organization. Through this, they are able to perform their
activities by taking consideration the set parameters.
Hence, all the above mentioned aspects will provide assistance to me in assessing and
monitor the performance of personnel in an effectual manner.

4.2 Writting a plan and delivering the assessment of the development needs of individual at PM
company
In order to communicate the development need of employees to the higher management I
will undertake the auditory and visual styles. By employing such styles I become able to
communicate the management of PMC about the areas in which they require improvement. Besides
this, for assessing the development need of individual I will take feedback from the personnel in
which they are facing difficulties. Furthermore, I will foster open communication system within the
business environment. Through this, business unit is able top assess the development needs of
individual in an efficient manner. Hence, by following all the above mentioned aspects, business
unit is able to take strategic move within the suitable time frame.
4.3 Evaluating the success of the assessment process of PM company
In order to assess the success of evaluation process I will make comparison of the previous
performance of personnel with the present. Through this, I can easily assess the extent to which
training session has made development in the skills of personnel. Further, I will also take feedback
from the employees in relation to the problems which are still facing by them. Along with it, I also
make evaluation of the productivity and profitability of PMC with the previous years. Besides, I
also evaluate the employee absenteeism and turnover rate which will help me in the growth which
takes place in employee morale. Thus, benchmarking system of the evaluation is highly effective
which helps in raising the motivational aspect of the employees. Moreover, when personnel have
idea about the criteria on which their performance are going to be evaluated then they are
encouraged to make their hardest efforts. Thus, such system of performance evaluation will help in
evolving the satisfaction among the employees. However, it is to be critically evaluated that if
company fails to make set proper benchmark then it will placer negative impact on the
performance and morale of the employees (Townley, 2014). Thus, business organization needs to
consider this aspect while evaluating the performance of personnel.

From the above report, it can be concluded that effective recruitment and selection process
plays an important role in hiring the suitable candidate for the job. Moreover, growth and success of
the firm is highly influenced by the competency level of personnel. Thus, PMC needs to adopt
standard format while recruiting and selecting the personnel. Besides this, it can be inferred that by
following all the legal, regulatory and ethical aspects company is able to hire the talented
personnel for the vacant position. It can be revealed from the report that manager needs to adopt
leadership style by making proper analysis of the situation. It can be stated that, leader of the firm
