Operation manager- good morning to all!! Today’s meeting is being organized in order to discuss
the requirement of WHS plan and try to implement it in proper and effective manner.
CEO- good morning!! What is the main area of discussion in WHS plan?
Operation manager- the major area which will be discussed in meeting includes identifying and
controlling risk, maintaining compliance and monitoring the implementation of safety action
plan.
CEO- fine!! Kindly proceed with the meeting
Operation manager- thank you sir !! firstly with respect to identifying and controlling risk, the
major risk is of people meeting at the gym.
CEO- how can you say that this is a risk?
Operation manager- the major reason for saying this is that when people will come to one place
and will meet then they will come in personal contact with one another. Thus, this can increase
the chances of people getting infected.
CEO- ok, this is the major risk which can be faced after reopening the business. but what are the
solution to this problem?
Operation manager- the major solution to this problem is that limit the people coming to gym by
providing them different time.
CEO- how this can be done?
Operation manager- sir, firstly we must count total of machines and equipment present in our
fitness centre and then calculate total number of people. After this per machine one person must
be counted and must be called in that number only.
CEO- this is fine, but how the compliance will be managed and maintained?
Operation manager- for this a person must be hired who will monitor that whether all the people
coming to place are abiding by government guidelines relating to COVID 19. This includes
social distancing, use of sanitiser and many others.
Further on our part as a business will ensure that all the equipment will be properly sanitized
after one person has used it. We will also provide for proper sanitiser, contactless payment,
providing towel when laying on bench and many other measures.

This is an email to inform you that there is a requirement of reviewing and revisiting the proper
implementation of WHSMS. This is very essential as if the WHSMS policy will not be
managed and reviewed in effective manner then this will have negative impact over the working
of Endurance Fitness. The major reason underlying writing of this email is to draw your
attention over the proper monitoring and review of WHSMS that whether it is being
implemented in intended manner or not. This is due to the reason that the major objective
behind implementation of WHSMS was safety and security of people coming to fitness centre.
Hence, if this will not be reviewed time to time then this can risk the health aspect of people
coming to place. Hence, for the purpose of reviewing the policy we are thinking to make use of
different tools and techniques for collecting information relating to performance of policy. For
this major policy thought to be implemented in order to review WHSMS is taking feedback
from people coming to Endurance Fitness. This is a good tool as people coming to gym are
experiencing that whether the gym is complying with WHSMS policy or not.
Further I would also like to request all committee members to kindly share your views and

PART B- Evaluating and reporting on WHSMS implementation
Abstract
The below study relates with use of different methods used for proper evaluation and
analysis of WHSMS implementation within the business. this included making use of different
type of method for evaluation like evaluation protocol and the incident and injury register.
Further it also included the poor performance area like inappropriate sanitisation, wet floors and
many others. In the end it recommended some measure for their control like sign- in sheet,
sanitiser dispenser and many others.
Methods
For the evaluation of the implementation process of WHSMS the different methods were
used in order to evaluate proper compliance of working of Endurance Fitness at time of
pandemic (Colosio and et.al, 2017). For this the first method used was the WHSMS performance
data collection plan. With help of this plan the data was collected relating to objective of plan
and the target relating to that objective. Further under this plan it also included the action taken
and monitoring of action and person responsible. This plan was very helpful in assessing the fact
that whether company was able to attain its objectives or not.
In addition to this another method which was used to evaluate and review performance of
WHSMS implementation was the use of Incident and injury register. This method was also very
assistive in analysing the fact that whether Endurance Fitness was able to manage the various
incidents taking place. With this register also the managing committee can check that how much
of incident and mishaps has taken place in the gym. Further another major data which was
assistive in evaluating the process of WHSMS implementation the information relating to
implementation of the WHSMS program which included facts like the safety audit, skill audit,
training activities, employee feedback survey, manager report and many others.

With the assistance of above method, company was able to assess the performance of
gym with respect to the WHS policy and health and safety measures (Do, 2020). With the
analysis of the plan including objectives and target it was analysed that all objectives were

attained and this resulted in better working of company. But then also by looking at incident and
injury information it was seen that there were many areas wherein there were issues relating to
complying with WHS policy (Bland and et.al, 2020).
The major three areas of poor performance were as follows-
COVID 19 sign- in sheet- this was the major area of weak performance of Endurance
Fitness. The major reason underlying this fact was that there were many members who were not
filling the sheets but were attending the different classes. Hence, because of this the data was not
proper relating to people who are attending different fitness classes.
No sanitiser available- Another major area of poor performance was that there were no
sanitisers being available in the dispenser many of the time. The major reason underlying this
fact was that the people coming to gym uses the sanitiser made available near fitness equipment.
But many a times there is situation where the dispenser are empty and there is no one to fill it
again.
Slipping on floor- this was also a major reason for poor performance as due to COVID 19
the cleaning has to be done very frequently. Due to this the floor are most of the time wet and
due to this many people and employees slip and fell and this is risky for the people coming to
Endurance Fitness.
Probable causes of poor performance
The major cause of the poor performance was majorly the risk factor being associated
with the not filling of COVID sign- in sheet was that may be members were having fear of
getting in personal contact and getting infected. Hence, for this many people ignored the protocol
of filling sign- in sheet.
For the no sanitiser problem, the major reason can be the fact that employees or people
working in Endurance Fitness will also be in fear of getting infected. Another reason for this
poor performance was that monitoring and evaluation of Endurance Fitness was also not good.
The major reason for this is that if gym was having a good sort of management then company
was able to manage all its sanitiser dispenser (World Health Organization, 2020).
For the issue of slipping floor, the major reason for performance to be poor is that if same
person will be allotted duty of cleaning then this will affect the working efficiency of person
performing the task every hour. Thus, it might be possible that if same person will have to

perform the task then this might develop frustration among that person and due to this they will
not perform in appropriate manner.
Conclusion
With the above whole discussion, it is clear that there were many flaws in the effective
implementation of WHSMS plan in Endurance Fitness. Thus, it was concluded that major issue
faced were in sanitiser issue, sign- in sheet relating to COVID and wet floors. Further it was also
seen in the discussion that the monitoring method was also helpful in assessing the performance
of WHSMS like evaluation protocol, use of register relating to incident and injuries.
Recommendation
The major recommendation for improving the issue of COVID sign- in sheet is that
fitness centre must implement CCTV cameras above the table where person need to fill the sheet.
This will assist in tracking that whether people are filling the sheet or not.
For improving the situation of no sanitiser available in dispenser is that company must
appoint a person near the dispenser so that they can have a look at the bottle and sanitiser and as
and when it gets empty that person can refill it (Andreucci, 2020).
Further for the wet floor the major recommendation is that fitness gym must fit more
cooling instrument like fans, air conditioners and others. This will be assistive as this will help
the person cleaning the floor and switch all fans on and this will dry the floor immediately.
